(ADM) Module on Organizing Dance Event

This module was collaboratively designed, developed and reviewed by


educators both from public and private institutions to assist you, the teacher or

while overcoming their personal, social, and economic constraints in schooling.

This module delivers you one important factor in dance and that is on
how to organize a dance event. The organization and management of dance
events has a sound implementation that is necessary to steer an essential,
well-organized, and valuable program. This involves collaboration of the
administering body, the participants of dance class and other programs.
Organization includes management that involves long-term strategic plans
and programs such as resources, financial, legal and safety management. An
organized event that does not only involve the dancers, the facilities, the crew
but the application of it to our life.

What’s New

Dance and events has been very popular in our society. People who are
into dance are everywhere. Whether in school, community or at home. People
enjoy any form of event that allow them to gather and watch. Aside from fun,
showcase of talents and skills, having a break from work and school life can
be made. Dance events allows you to develop your social skills. Behind the
success of these events and are the people who work hard and understand
how to manage and organize these special events.
Organization is a structural planning of roles to implement necessary
functions. The total development of an individual is centered on a
philosophically sound program structure and activities.
Management deals with the tasks and accountabilities to accomplish
the objectives through cooperation. It requires harmonious effort amongst
members to fulfill the target objective.

Importance of Management
a. Assists individuals to realize their objectives or goals.
b. Provides guidelines in the collaborative strengths of people.
c. Defines the groups’ development, efficiency and
accomplishment of goals.
d. Defines whether members within the group are contented,
cooperating and productive.

Importance of Management in Dance Events

a. Management gives a grasp and value to the essential ideals


of the field’s discipline.
b. Understanding management helps an individual consider
having a career in a certain field.
c. Majority of organizers do certain management work; thus,
skills in management will provide better performance.
d. Management is vital to collaborative effort.
e. A grasp of management facilities continuity.
f. Management skills help foster good human relations.

What is It

The application of project management to the creation and


development of small and/or large-scale personal or corporate events such as
festivals, ceremonies, concerts and dances. It involves studying the brand,
identifying its target audience, devising the event concept, and coordinating
the technical aspects before actually launching the event. The process of
planning and coordinating the event is usually referred to as event planning
and which can include budgeting, scheduling, site selection, acquiring
necessary permits, coordinating transportation and parking, arranging for
speakers or entertainers, arranging decor, event security, catering, and
emergency plans. Each event is different in its nature so process of planning
& execution of each event differs on basis of type of dance event.

In the scope of organization and management, it involves five (5) major


functions like planning, organizing, staffing, leading, and controlling

A. Planning. Program strategies are laid out to achieve the desired


outcome. It includes processes such as forecasting, developing
objectives, programming, scheduling, budgeting and formulating
procedures.

B. Organizing. It aids in developing a group structure with definite


scope of work for every member. This includes the development of
the organizational structure, delegation of responsibilities and work,
and the relationship among individuals.

C. Staffing. It is the recruitment, selection and retention of members


wherein they are given appropriate assignment with proper training
and professional development. It also concerns establishing an ideal
work environment and ensuring human resources to get the work
done.

D. Leading. Directing the organization to motivate and empower


individuals in carrying out the program. Leading includes decision-
making, communication, selection of people, and enhancing the
performance of individuals.

E. Controlling. Ensures proper plan execution within the goals of the
organization. It requires monitoring, assessment, evaluation, and
feedback which can lead to re-engineering, reframing, or rewarding.

Qualities of a Good Leader in Organizing Events

A. Administrative mind
 having an open mind and objectively evaluating
circumstances.

B. Integrity
 Trustworthy of classified information; truthful, genuine, and
committed to his/her words.

C. Good human relations


 Gets along with others while instilling good relations

D. Healthy and fit


 For an interrupted floe in getting a demanding job done.

E. Ready to take on responsibility


 Accountable to tasks and handling of personnel.

F. Awareness of work
 Know-how on specific field of organization.

G. Intellectual Capacity
 Competitiveness in thinking and logical reasoning; effective at
imparting and applying knowledge.

Activity 3: Strategy Phase
Direction: This activity is connected to Activity 2: Planning Phase. Adapt the table
you have created in activity 2 following the functions of your family member/s and/or
relative/s. Follow the given procedure:

a. Create a 10-30 seconds commercial.


b. Theme: Family Advocacy (Frontliners)
c. Script writer needs to accomplish the scrip of the commercial. Iloko and
Tagalog language is advised to use.
d. After the script making, characters need to memorize their lines.

What’s More
For a dance event to be successful it requires a clear and robust
concept, which is aligned with the event aims, the needs of the target market
and other relevant stakeholders. As part of the dance event design process
you should ask and answer the 5 W’s – what, why, who, where and when?

A. What – type and scope of proposed dance event?


This requires a detailed consideration of the core or primary
activities and attractions of the dance event, which will be determined
by the event nature e.g. music, sports, arts or culture. In addition to
the main features and attractions, it is also common to have a range of
ancillary and secondary activities, which will increase the scope and
attractiveness of the event to different stakeholders.

In determining the mix of features and programming of event


elements, it is also important to consider the unique attributes, history
and heritage of the event location and venue and how these can be
incorporated into the dance event to complement its outcomes.

Aspects such as programming need careful consideration to


achieve the correct balance of activities to meet the needs of all the
different stakeholders in the dance event. Depending on the dance event
nature, a committee, comprised of different groups involved in the
event, can be one way of identifying and programming suitable activity.

B. Why– what is the event supposed to achieve?

In considering the scope of the event and the features within it,
there must be continual reference back to the aims and objectives of
the dance event. For example, is the focus of the event bringing the
community together, attracting visitors or a range of both? With limited
resources come difficult decisions, so it is always a case of balancing
aims and objectives, against different elements of the event to achieve
the best outcome.

C. Who – is the event for?

This requires a detailed consideration of the dance event target


market (potential audience) both in terms of their characteristics and
also the number of people the event is seeking to attract.

D. Where –location and venue?

In terms of where to stage a dance event there are two broad


considerations which are location and venue. The location relates to
where the event takes place for example a specific town, village or
geographical area. The venue is the actual site of the event, which could
be an existing event venue or a greenfield site.

Decisions over where an event should it be held may be relatively simple


or very complex depending on the requirements of the event itself.
However, regardless of size, decisions of venue and location must relate
back to the dance events purpose and aims, whilst also conforming to
the selection criteria below:

 Marketing – match needs of target audience.


 Functional – Size and capacity, layout and design.
 Operational – Access, stage size, power, water, facilities,
parking, ticketing.
 Risk management – safety and control, emergency
provisions, infrastructure.
 Financial – affordable within budget.
 Aesthetic – attractive and complementary of event.

E. When – time of year, day of week, start and finish?

Target audience, dance event activities, venue availability,


market characteristics and event organizers’ preferences help define
suitable dates, e.g. if the market segment targeted is families with young
children, then school time must be avoided. Likewise, it must not go on
for too long in the day. Depending on the nature of the dance event,
decisions about when to stage it may or may not be an option, as they
may be governed by an external set of factors.
