1. INTRODUCTION

1.1 Background

Vibes Motel was opened back 2019 in Nyandarua county. The hotel is owned by
Stephen Mariku as a family business . The motel offers accommodation, meals,
free parking, laundry and room services. For the past 3 years the motel has being
using manual system to do booking, payments where clients have been coming
physical at the motel .

1.2 Problem Definition

The current manual system uses paperwork and direct human language
communication by mouth to manage the motel. This delays information
transmission in the motel. This has led to complains from guests due to poor
communication among departments, time wasting due human and computational
errors hence lack of accuracy, large storage space and untidy office due to use of
many paper work , personal data exposure since a book has no lock and
passwords, tracing records that are urgently needed becomes hard and very
cumbersome to find due to having many files from different guests, Difficulty in
data analysis due to some records missing

1.3 Objectives of the study

Main objective

The objective of this study is to develop a system that will ease the day to day
operations associated with the existing manual while focusing on a reliable
system

Specific objective

1. Develop a system that ensure efficient and reliable communication within


the motel.

2. Develop system that avoid data entry errors by use of input masks and
enable easy authorized modification of data.

3. Develop a system that enforce security measures to avoid unauthorized


access to guest records.

4. Develop a system that enable fast and easy retrieval of guest records and
data for fast reference activities.

1.4 Project Scope

The system will cover; booking accommodation, meals, and accounts details.
Moreover, special services such as laundry, ironing and room service will be
automated by the system also, not to forget the additional facilities information
that will be efficiently handled by the system. To help the system smoothly carry
out its intended purpose to meet the needs of the motel management. The
following tables will be used to store data

• Booking table :(regno, fname, sname, nationality, id card no, gender


contacts, address, email, Date)

• Meals table :( date, regno, fname, sname, id card no, Meal, charges, recipt
no, payment, Nationality, Amount charged, Total amount, Room service).

• Admission table :(room no, out date, in date, luggage, Id card no,
nationality, sname, fname, regno)

• Conference hall table :(date, type, fname, sname, regno, Recipt no,
duration(days), charges, payment).

• Employees table :(residence, mobile no, account no, salary, position,


department, position, office tel, officenumber, email, address, contacts, id
card no, staff names, staff no).

1.4 Project Significance

The system will do the following

a) enable easy and fast access to the guest files and provide better data
management facilities.
b) enable online booking of guests into the motel hence international guests
can easily book and high customer service standards attract more guests to
the motel
c) provide performance evaluation of the employees to ensure maximum
output from the employees.
d) provide security measures to access to the motel’s information lowering
data security threats.
e) help reduce the congestion of guests ensuring best service output for
customer satisfaction purposes.
f) Reduction of data entry, processing error, paper use and easy update of the
guest records.

2.0 LITERATURE REVIEW
2.1 Introduction
We are in a technological err and what companies or businesses want is “systems”
that works. Hence there is an urgent need to appreciate and embrace the power of
Technology. The motel sector remains vigilant to face change challenges by
employing a new strategy that facilitates easy management of motel (Hetologix,
2020). Hence the need to develop a Motel Management System that can simplify
works for the managers so that all their work can be efficient and effective.

The Manual way of managing motel mostly is paperwork. Paperwork can easily
get damaged or get lost, leading to loss of data. It is also expensive to buy files to
store your records. Many files make a place look untidy and consume a lot of
space, not to mention retrieving specific data from the bunch of files, and it
becomes too tiresome.

Considering those facts, I was convinced that I ought to develop a Vibes Motel
Management system that can solve most of the problems experienced with the
manual management system. The system is to be developed to provide an excellent
Graphical User Interface that will be user-friendly.

2.2Related Studies
1. Advelsoft

Is a company that supplies property management software (PMS). They


provide software solution for Strata Properties Management and developers.

Advelsoft’s comprehensive software solutions enables property managers to
simplify and facilitate their routine residential property management
functions ensuring the property is effectively and uniformly managed.
According to, (Advelsoft(M) Sdn Bhd,2020), operation on 16th January
1991 with the original concept of providing customized commercial
packages such as Accounting Systems, Payroll Management Systems and
turnkey software project management to small and medium size companies
in trading and manufacturing sectors.

2.3Summary
In the studies above it is evident that Motel Management System has eased how
operations used to be carried out in Motels with different functions on the system
one is able to pay accommodation services, check vacancy, Among many other
cool services. Since the above system are expensive, the Vibes Motel Management
System will at least make it a little bit cheap and more effective

3.0 METHODOLOGY
3.1 Introduction
This chapter highlights the methodology to be used, methods for data collection,
system design, system implementation, and testing and validating Vibes Motel
Management System to be developed. Research is significant as it will generate
statistics for whether the system is essential.

3.2 Research Methodology

• Observation – we will observe how our guest feel about the old system and
our employees.

• Interviewing – we will interview our employees and guest to see they need
and wants and if the proposed system will be of help.

• Documentation Revise - both the guest and staff documents will be revised
to see how many data entry errors and retrieval problems were encountered.

3.2Development Methodology and Justification
Spiral model methodology will be used in the design phase. The Spiral model has
four main processes which include: planning, design, implementing and evaluation
state. The project will be repeatedly passed in these iterations (Kuntze, 2018)

 Planning phase - involves collecting business requirements and


identification of system requirement are done in the phase
 Design –Logical design of business modules, physical product design
and final design in the successive iterations
 Construct – Development of real and working software.
 Evaluation- identifying and estimating technical feasibility.
