Chapter 1

1.0 Introduction
An information system is an organized system for the collection organization storage and
information keeping. More specifically, it is the study of the complementary networks that people and
organization use to collect, filter produce, create, and distribute data.
Barangay Arco Information Management System, a system with database which is capable in
handling numerous records from its area, certificate and barangay ID records.

The barangay is very essential place where it contains information about the people living. Some people
would seek some information they need that can only be found in the barangay. With only manual
processing it would take time to search for information. But with the aid of computers it would greatly
improve the time and result you will get compared to manual labor or work done by hand.

Barangay Arco Information Management System that will change all their existing manual system into a
precise and capable in providing the information to the resident. With this proposed system, it will help them
save time. This system is much better compared to the one they’re currently using. And manual processing is
really inaccurate and time consuming. While on the other hand if they do agree to adopt with the system that
we came up with it will practically improve their jobs. They can avoid most of the most common problems
that most people will encounter in manual processing. Due to competitiveness it would be best that every
barangay should adopt to this kind of development. Our system is a simple program designed to make their
jobs accurate faster and more reliable.

The purposed of this System is to help the Barangay Arco in making their work faster and easier. Due to its
condition of using the manual based process. Barangay Arco Information Management System will provide
the needs of the barangay in storing, maintaining its records, releasing certificates and barangay ID.

1.1 Current State of Technology


Apparently, the Barangay Arco is currently using the traditional manual system of keeping resident
records, blotter reports and other paper works. Barangay Arco also do manual writing on their certification
or the certificate requested by the resident and also to their Barangay identification card is on manual writing
to.

A manual system offers a numerous disadvantages. Like time consuming by filling up the registration form,
certificates and even the barangay identification card

In order to help the Barangay Arco to have reliable and hassle free, we recommended the propose system
Barangay Arco Information Management System. In this system, the Barangay Arco can keep record, print
certificate and barangay identification card directly.

1.2 Statement of the Problem

1.2.1General Problem
The general problem is how to develop an Information System that will help the Barangay Arco
manage their important details and documents properly and to make Barangay official work faster, easier
and more accurate than before.

1.2.2 Specific Problem


1.2.2.1 How to develop a module that will allow the barangay Chairman and Secretary to login and logout
from the system.

1.2.2.2 How to develop a module that will allow the barangay Chairman and Secretary add, delete, update
and view purok of barangay Arco.

1.2.2.3 How to develop a module that will allow the barangay Chairman and Secretary to view, add, update
and delete a resident’s information.

1.2.2.4 How to develop a module that will allow the barangay Chairman and Secretary to add, delete, update
and view barangay officials.

1.2.2.5 How to develop a module that will allow the barangay Chairman and Secretary to add, delete, update
and view SK officials.

1.2.2.6 How to develop a module that will allow the barangay Chairman and Secretary to add, delete, update
and view purok leaders.

1.2.2.7 How to develop a module that will allow the barangay Chairman and Secretary to create certification
on the barangay Arco.

1.2.2.8 How to develop a module that will allow the residents to create blotter on the barangay Arco.

1.3 Objective of the Study


1.3.1 General Objective
The general objective of the study is to manage the important details and documents properly and to
make the barangay official work faster, easier and more accurate and to reduce the manual work for
managing the important details of the resident.

1.3.2 Specific Objective


1.3.2.1 To develop a module that will allow the barangay Chairman and Secretary to access through login
and logout.

1.3.2.2 To develop a module that will allow the barangay Chairman and Secretary to add, delete, update and
view purok of barangay.

1.3.2.3 To develop a module that will allow the barangay Chairman and Secretary to view, add, update and
delete the information of residents of barangay Arco.

1.3.2.4 To develop a module that will allow the barangay Chairman and Secretary to add, delete, update and
view the information of barangay officials.

1.3.2.5 To develop a module that will allow the barangay add, delete, update and view SK officials.

1.3.2.6 To develop a module that will allow the barangay add, delete, update and view the information of
purok leaders of the barangay Arco.

1.3.2.7 To develop a module that will allow the barangay to print the request certificate of resident
(Barangay Certificate, Barangay Clearance, and Barangay Id).

1.3.2.8 To develop a module that will allow the residents to blotter on the barangay.

1.3.2.9 To develop a module that will keep the records (List of Resident, List of Household, List of Purok,
Blotter Record, The Printed Certificate and Identification Card) of the barangay.

1.3.2.10 To develop a module that will allow the barangay Chairman and Secretary to add, delete, update
and view account user list.

1.4 Scope and Delimitation
1.4.1 Scope
The system designed covers the Barangay Arco information management system that focuses on the
whole statistics or information of the barangay. This system will tabulate the registered data of residents,
household, blotter and certification of the barangay. Through this system, it will help the barangay to
identify the total resident, household, blotter reports, printed certificate on the barangay.

1.4.2 Delimitation
This project is delimited only on providing resident needs, it does not cover or include the personal
costs for different payment of the bills of resident. For instance, the cost of utility bill to the resident is not
cover. The system does not cover third-party announcement like job fairs and access to online services is not
available. The pay bills are not connected to this system or others transaction that related to accounting
process.

CHAPTER 2

2.1 Research method


The Study will adopt the waterfall method to serve as the guide in which the proponent uses in
creating the proposed system. In developing this project this model the proponent had chosen a very useful
method. It is simple to do but it is reliable. This include defining requirements, validation, training, and
emphasizing ownership of the system. Since we had used this method, the outcome of this project is
successful. During the process of developing the system, when there is an error, the proponent can always go
back to previous processes to re-checked and keep track of the process. Whenever the System Development
Life Cycle (SDLC) is applied the goal in creating a system that meets the client’s expectation.

2.1.1 Research Design


The purpose of this design is to prevent the assumption of the research, as well as to introduce the
strategies and technique applied. In this part the research design defines the scope and delimitation to your
system it defines also how you are going to apply your strategy and techniques in designing your system.
The main techniques in research design is you should personally interview your client about the most
important and valuable information about the system that you proposed for your client for easily create a
perfect design. In additionally by researching in the internet and have discussion with the group member
about planning on how they are going to design the proposed system and also by analyzing and gathering
important information, it can give guidance and ideas in designing the system.

2.1.4 Data Gathering Procedure


The proponent conducted interview to the Barangay Chairman of Barangay Arco and Barangay
secretary for us to analyze what would they suggest about the proposed system. The Barangay Chairman
suggested for the proposed system is to focus on collecting data and providing certificate with details
automatically and also it can provide Barangay id with details automatically so that they will not use the
manual writing on the barangay id. After the interview and we heard the suggestions, the Barangay
Chairman Hon. Rene D. Gesulga approved the system that we proposed for the Barangay.

2.1.5 Statistical Analysis


Employ’s the descriptive method with the Statistical data support.

2.1.6 System Design Specification


In the designing the proposed system, the proponent undergone the system documents, the work was
being implemented. Implementation of the system checking regularly all the modules for any Specification.

1. Planning
The purpose of planning is to outline the scope of the problems and identify solutions. Resources,
costs, time, and other aspects should be considered here. The planning phase of the SDLC (Software
Development Life Cycle) is also when the project plan is developed that identifies, prioritizes, and
assigns the tasks and resources required to build the structure for a project. With that said, this step
culminates in a detailed project plan.

2. Analysis
During this software development life cycle phase, the specialists meticulously collect precise
requirements from the customer to present a solution fine-tuned to their needs. Any clarities must bin
this stage only.
The analysis phase also gathers business requirements and identifies any potentials risks. This step is
SDLC (Software Development Life Cycle) also includes a feasibility study, which defines all fortes
and weak points of the project to assess the overall project viability.

3. Designing
The Third phase entails two further steps – High – Level Design (HLD) and Low – Level Design
(LLD). The result of the formers is of a software product, whereas the LLD step describes how each
and every feature in the product should work. It’s also in this phase when the database specification
is developed to decide on data management and storage for future processing, retrieval, or evaluation.
Among other things, the development team will mull over the core components, structure,
processing, and procedures for the system to reach the stated goal.

4. Coding
This phase, if the software application is designed properly and requirements are gathered accurately
and requirements are gathered accurately, the coding process is more streamlined. Project teams are
better able to meet software coding deadlines when the correct information is gathered upfront from
the customer.

5. Testing
In this phase, all the pieces of code are tested to verify and validate a software product. Testers then
perform Software Testing Life Cycle activities to monitor the system for bugs, defects. This is done
to check the correspondence between the real and expected behavior of a program.

The testing stage and the initial SDLC phases can be performed with both internal software
development and outsourcing, as they require end – user interaction.

6. Maintenance
Once the system is deployed, any necessary upgrades, enhancements, and changes can be made,
implementing new features into the operating software. It is crucial to maintain and modernize the
system regularly so it can adapt to future needs.
Now it’s time to move onto the key software development lifecycle model or methodologies if you
like.

3.0 System Implementation


3.1 Programming consideration, issues and tools.
The proposed Barangay Arco Information Management system is compatible in all Windows 7
edition up to date.

The proponents use is Visual Basic Professional 2015 for coding and designing the proposed
system. The database that have been used for the proposed system is MySQL.

3.2 System Requirement Specifications


3.2.1 Hardware Requirements
 RAM at least 1GB (minimum) and above
 60GB HDD /SSD SATA IDE and above
 LCD display fix resolution (1366 x 768)
 Keyboard for data input
 Mouse for effective navigation
 Flash drive/external HD for data back – up
 Printer for printing certification

3.2.2 Software Requirements


 Any Operating System From Windows 7 and above
 Microsoft Visual Studio 2015
 WampServer 64 bit version 6.9.9.0 for database
 MySQL Client Connector for connection on the system
 Crystal Report 2019

3.2.3 Human Resources Requirements
 Barangay Chairman / Admin
 The admin must atleast have basic knowledge about using computer.
 Barangay Secretary / User
 The User also need some knowledge in using a computer

3.2.4 Implementation Set – up


 To run the proposed system, the following hardware and software are required. The end user
may choose either computer desktop or computer laptop. In order for the system to work, we
will implement the proposed system mentioned above as installer type so that it will be easier
to the user to use.

 If the doesn’t have the exact knowledge about the system we will conduct demo on how to
use the system

4.0 Testing Activities
4.1 System Function
Every modules of the proposed Barangay Arco Information Management System are
being tested several times to make sure the stability and consistency of each modules
functionalities.

Upon opening the system, a login module will appear asking for username and password
to secure and ensure the data in the proposed Barangay Arco information management
system. After a successful login, the main form will be shown.

In the main form there are 11 available modules: Barangay Info., Dashboard, Purok,
Household, Resident, Officials, Blotter, Certification, Reports, Logs and Accounts.

For the Accounts, only the admin can manage the accounts. In the Purok, The Admin can
add new Purok. In the Household module will allow to add new Household with the
approval of the Admin, The Resident module will allow to add new Resident with the
approval of the barangay.

In the Officials Module the admin can manage the Official list of the Barangay Officials,
Sangguniang Kabataan (SK) Official and the Appointed Personnel.

In the Certification module, can request new certification and Print the requested
certificate (Barangay Certificate, Barangay Clearance, Indigency Certification and the
Barangay ID).

In the Blotter, Can add new Blotter as reported case and update its status.

In the Reports, Only the Admin can view the List of Resident active and inactive,
The total Household of the barangay and list of blotter cases.

In the logs, it shows the activities made on the system

4.2 Test Data


The propose system has already been discussed. The function uses the test data where the
proponents prepared test cases to evaluate all the modules of the system and gather
comments from the respondents and other uses if there will be changes and errors that
needed to be fixed.

4.3 Result and Observation


Most of the respondents gave excellent rating to the system. While conducting the survey
some of our respondent are amazed with the capabilities of the system and is willing to
use the system and some are reluctant to try the system but overall, the result shows the
most of the respondents are satisfied with the capabilities of the proposed BARANGAY
ARCO INFORMATION MANAGEMENT SYSTEM.

5.0 Conclusion, Justification and Recommendation


5.1 Conclusion
The barangay Arco still using the manual writing on the certificate that is requested and
even in their Identification Card they need to write their details on the id. In manual
writing, data integrity is at risk because of human error can happen every time.
The proposed system on the other hand is programmed to be consistent, secure, flexible
and accurate. The system has login security to ensure the data cannot be manipulated by
unauthorized user. The modules have been tested several times to ensure the consistency
of modules and functions. With the proposed Barangay Arco Information Management
System the certificates and the id can be printed automatically which is more time
efficient than the manual writing.

5.2 Justification
The proponents conducted survey in our system, the survey is composed of survey
module forms, survey question form and system evaluation form. The respondent were
the Barangay Officials and residents. The respondents evaluated the proposed system and
the result and the result showed that the respondents were satisfied with the proposed
system. Overall, the system has achieve its objective which is to be able to keep details,
Print certificates and print the id directly.

5.3 Recommendation
Now the system is created, the Barangay Chairman of Barangay Arco recommended
upgrading the system this means by adding the other certificates that needed.
