Live Sign off process for normal calls

This is a brief guide on how the live sign process works, in relation to onsite activities when the
engineer arrives onsite.

Using the email link sent to engineer

1. Once the call is scheduled the engineer will receive an email which will allow them to use
the livesign process from their device.

2. When the engineer arrives on-site they need to click the link received on email and mark
themselves on site. The link will open up the following screen

Fig 3 – Following screen, engineer confirms time and any comment and presses the green bar.

Fig 4 – Once marked onsite this screen will be shown – the engineer can now continue the works
onsite – They do not need to continue until they have completed the works and need to sign off.
Sign Off Process part 1 – service event details

3. Now the engineer has marked themselves onsite they may continue with the works
required. Once they have completed the works they only need to clink the link again and it
will take them back to the previous screen as shown below. Clicking “Continue will allow the
engineer to begin the sign off process

Please note – the engineer should state the total time onsite, the system will calculate the finish
time based on the marked onsite time.

This is where the engineer provides the details relating to the visit in the call details section.

If the work is completed the Yes option should be selected which will then ask the engineer if the call
should be closed. If there are further works the no option should be selected to raise a further
attendance or review by the client helpdesk.

numbers of devices or parts installed or removed from site

Lastly for this section if the engineer has taken any photos or needs to attach any documentation,
they can do so from step 5 – this will allow them choose any files from their device to add to the call.

Sign Off Process part 2 – Engineer Sign Off

4. Now the engineer can move to the sign off process with the customer. Firstly the engineer
needs to sign the call themselves to confirm the work they have conducted on site is
complete and as per the details given

Sign Off Process part 2 – Client Onsite Sign Off

5. This is the final part of the sign off. Unless there is good reason why the site manager or
contact cannot sign the I cannot obtain a customer sign off option should be used. Please
note not obtaining site sign off is generally not acceptable unless the site wasn’t open or
there was an emergency which prevented this process. This part of the process effectively
confirms the work detailed in the sign off details.
