1.0 EXECUTIVE
SUMMARY
This is the internship report based on the six month long internship program that I had successfully
completed in Alpha Fintech under Operations Department from 01.09.2021 to 15.02.2022 as a
requirement of my Bachelor Degree program in the Office System Management’s Studies, University
Teknologi Mara. As being completely new to the practical, administrative world setting, every hour spent
in the Alpha Fintech’s gave me some amount of experience all the time all of which cannot be explained
in words. But nevertheless, they were all useful for my career. This report includes the functions of the
operations department, assisting customers that are using the company’s product such as terminal credit
card/debit card machines but mainly giving the overview of Alpha Fintech Plus Sdn Bhd. This report is
divided into several chapters which begins with an important part, introduction of the company’s profile.
The next chapter is a reflection of industrial training, which covers each of the skills and benefits that are
applied and learned during the industrial training. The report's main findings are regarding some aspects
of the company, such as its strengths, weaknesses, opportunities, and threats, which are shown in the
SWOT analysis chapter. In the discussion and recommendation chapter, all elements gained from the
company are discussed. The strengths of Alpha Fintech Plus Sdn Bhd are in IT/software expertise which
in Malaysia, this expertise product is successful in entering new markets whereby they focus on the
terminal credit card/debit card machine. Human resources, which is a lack of workers in the company, and
office administration, which is a manual filing process, are two weaknesses that may be seen in Alpha
Fintech Plus Sdn Bhd. Looking at the opportunity of Alpha Fintech Plus Sdn Bhd, this company develops
an innovation culture and offers a pleasant workplace environment as has been mentioned earlier that the
company involves advanced technology machines. Last but not least, the threats that Alpha Fintech Plus
Sdn Bhd faced that I observed is that firstly, inability to grow the customer base long-term whereby
customers has more options to choose terminal credit card/debit card machine from other company’s
competitor and not all shops or company are using the product as they may faced issues regarding data
loss which leads to the second threat, hacking and loss of data. An attacker can gain complete control of
a store's credit card readers, potentially allowing them to hack into the machines and steal customers'
payment data. All in all, I have learned many aspects and gained various benefits throughout the industrial
training and completed this task.

development that located in Bandar Sri Damansara,
Kuala Lumpur. Alpha Fintech also has additional three
business service that they provide for their customers
which is Alpha Assistance, Ninety3 Studio and also
NextG. The operating hour for Alpha Fintech is from
Monday to Friday at 9:30am till 6:00pm.

Alpha Fintech was established in year 2020 and we are one of the fast growing fintech
company in the industries. With the well combine experience in various method of digital
payment solution, banking & finance, e-commerce, IT services as well marketing strategic
development. We expertise in dealing with many organizations which include multinational
and regional corporations, public listed companies, ministries, statutory bodies, as well as
government-linked companies. We are also a corporate member of a non-governmental
organization, Pertubuhan Sahabat Alam Sekitar Malaysia (SAS), which is involved in
environmental charity work. Our team consist of dedicated and highly qualified financial

digital payment solutions. Additionally, they offer
digital and marketing strategy development and

brand, and give an exceptional customer experience.

Furthermore, Alpha Fintech Plus Sdn. Bhd provides


Payment & Solution for their customers. Alpha
Android Terminal leverages the internet's limitless
growth capability to enhance its payment capabilities
while also enabling the development of several new
business applications that meet the most stringent
requirements of merchants, retailers, and banks.
They feature a secure payment connection for
consumers who pay for their products or services in
ways other than via a regular online shop transaction.
It's simply a "Pay Now" or "Pay Invoice" button
attached to an email delivered to clients. When
customers click the payment button, they are sent to
a payment page that displays the balance owed.

4.0 TRAINING’S REFLECTION

I was given the opportunity to conduct an internship at Alpha Fintech


Plus Sdn. Bhd. for 24 weeks starting from 1st September 2021 until
15th February 2022. Throughout my industrial training, I was
assigned to their fifth-floor operations department. My working hours
are 9:30 a.m. to 6:00 p.m., Monday to Friday.

The department that I have been assigned which is operations


department is placed under the management of the company’s Chief
Operating Officer. The department within the department comprises
4 employees consisting of Account Executive, Admin Executive,
Head of IT Support and IT Support Executive. The goals of Alpha
Fintech Plus Sdn. Bhd. are emphasize team members leadership
abilities and also determine and produce the greatest product

The functions of operations department is to assist customers that


using the company’s product such as terminal credit card/debit card
machine. They need to make sure that their customers understand
of using the terminal payment machine. Every merchant that using
the terminal machine have to make the settlement by end of the day
so that the total of payment made by their customers can receive
directly into their account.

Besides, their roles also are very important towards the company as
most of the company sources of income are came from the terminal
machine itself. More than a thousand of merchant have been using
Alpha Fintech Plus Sdn. Bhd. terminal payment machine.

As an intern, I play a role in helping the company’s Admin Executive in performing
administrative task. I was also able to understand the intricacies of the real world of
work. While conducting industrial training at the Alpha Fintech Plus Sdn. Bhd., I was
also had some responsibilities. The responsibilities are:

Responsibilities
1) Handling and sorting files by the alphabet letter
2) Key in company’s data sales
3) Call merchant for terminal collection
4) Sorting company’s monthly commission
5) Answering calls from merchant
6) Organized files in the cabinet
7) Managed meeting materials documentation
8) Track stocks of office supplies and place orders
9) Sorting active and inactive merchant information
10) Manage top management's agendas, travel schedules, and appointments.

12) Assists in planning and arranging events, including organising catering

TASK & ASSIGNMENT

Administrative Work
Throughout my internship, I had the chance to acquire
experience by completing a variety of administrative jobs.
Managing emails, letters, shipments, and other types of contact
was one of the jobs I completed throughout my internship. To
ensure that the message reaches the intended recipient, I must
record the incoming letter using Microsoft Word. File
management is critical in every company. In addition, I handled
phone calls to inform the merchant for company to collect back
the terminal machine and prepared documents such as meeting
agendas. Additionally, I've learned how to make photocopies
and scan papers or documents as required, as well as how to
update or monitor asset and inventory management, check
office supply stock, and participate in meetings.

management files by creating new files, putting letters into
specified files, and sorting files alphabetically. Additionally, I've
learned how to write letters, including coordinating appointment
letters for clients, revising memos, and emailing. I also need to
sorting by following alphabetical order, Alphabetical order is
significant in document and file placement, which is a method in
which character strings are arranged in order depending on their
location in the conventional ordering of an alphabet. The
alphabetical order is often referred to as a lexicographical order
when applied to strings or sequences that may include digits,
integers, or other complicated sorts of components in addition to
alphabetical letters.

Administrative Work
Furthermore, I organise the merchant information by active and
inactive status to make it easier to contact the business. This is
because merchants who have ceased operations and do not
utilise the terminal machine payment system must be collected
by the corporation. Thus, since failure to do so would result in
the payment being delayed and pending, which the firm will have
difficulty processing later, the active merchant must also be
reminded to conduct daily settlements. In addition, I also need
to conduct monthly attendance checks on workers so that the
administrative executive can monitor their attendance and
enable the payout roll at the end. Each month, the corporation
must purchase any necessary materials including stationery. As
this is an administrative responsibility, the administrator is
responsible for ensuring that there are sufficient supplies and
stationery. I am responsible for maintaining inventory of office
supplies and placing purchases on my own.

Benefits

I acquired several advantages throughout my 24 weeks of industrial training at


Alpha Fintech Plus Sdn. Bhd., both inward and outward. I've mostly acquired
information and technical skills. Industrial training at Alpha Fintech provided me
with an understanding of how the industry's real-world operations operate. I was
able to adapt what I learned in Office System Management course, such as
arranging management files, answering phones, and monitoring office supply
stock, to the scope of administrative operations. It indirectly supplies me with
job-related information and skills.

Additionally, I was able to learn how to multitask successfully and effortlessly.


This is shown when I am required to make a huge quantity of application
terminal paper, photocopy them, and then present them to the company's
marketing department. Flexible teamwork and communication are also highly
valued among Alpha Fintech Plus Sdn. Bhd. employees. They are really
beneficial in a range of occupations, particularly administrative ones, where I
often need aid in performing task.

The other department is similarly fairly amicable, despite the fact that it is
comprised of individuals of varying ages and ranks. This makes me
approachable and pleasant to converse with without hesitation or fear. Even
though I am a student of industrial training, they are quite patient and courteous
of one another when it comes to assisting with tasks, communicating, and so
on. Indirectly, it will strengthen our bond, which I will cherish during my
internship. To summarise, completing industrial training at Alpha Fintech Plus
Sdn. Bhd. provided me with several advantages, as well as strengthened my
interpersonal skills and self-confidence when confronted with a genuine work
setting.

RECOMMENDATION

STRENGTH

• IT/ Software expertise


Fintech is a term that refers to new technology that aims to enhance and automate the supply
and usage of financial services. At its heart, fintech is used to assist businesses, company
owners, and consumers in managing financial operations, procedures, and lifestyles more
effectively via the use of specialised software and algorithms on computers and, increasingly,
smartphones (Kagan, 2021). In fintech world the most important skills and expertise that must
have in the company is IT and Software expertise. Alpha Fintech Plus Sdn. Bhd. which their
product is terminal credit card/debit card machine are need to be firmly in taking person who
expertise in technology and software. The key roles and responsibilities of IT and software
expertise include supervising and participating in programming activities, monitoring, and
assessing system performance, and creating and implementing new programm es and features.

The advantage for Alpha Fintech Plus Sdn. Bhd. is that they have employees that very
skills and expertise in technology and software which can help them to build their program
smoothly. When dealing with a customer, their information technology and software development
personnel will normally examine the client's requirements and then design, test, and build the
computer software necessary to satisfy those requirements. They are specialists in computer
systems, software architecture, and identifying the limits of available hardware. Due to the
complexity and intricacy of the process, diagrams, flowcharts, and the construction of algorithms
are used to instruct the computer on what to perform. Typically, they are responsible for
converting these instructions into a computer language, such as coding/programming.

Bringing a new product to market that few people use on a regular basis might be challenging for
some businesses. Especially for credit card/debit card terminals, where only a small percentage
of individuals utilise cards. The terminal machines are completely safe to use by anybody with a
company. It is a safe mode of payment that requires just a swipe and is contactless. Additionally,
it may demand the cardholder to provide a PIN during a bank transaction. According to studies,
companies that accept contactless payments deliver a more seamless and expedient checkout
experience to consumers, hence winning their loyalty (American Express, 2022). Additionally,
retailers may optimise their reward programmes and strengthen consumer interactions.
Increased transaction security ensures that companies get their funds without controversy.
Additionally, the majority of issuing banks secure contactless payments against fraud.

Fortunately, when Alpha Fintech Sdn. Bhd. began expanding their company, many
people were already familiar with cashless payment and using a credit card in businesses. The
rising peak of the company’s business is when Covid-19 hit all the people around the world.
Although on a lesser scale, this pandemic has resulted in numerous changes for individuals as
well as economic hardship owing to quarantines and border closures. People seem to be afraid
of carrying cash since the outbreak, so when they make a payment, they are more likely to use
a credit card. Furthermore, the Covid-19 epidemic has had a wide-ranging influence on several
areas, including cashless service payment organisations, from a variety of angles, such as the
increased use of contactless payments. As the number of cashless users grows, the percentage
of total global retail sales via e-commerce grows, in addition to assisting small and medium-sized
businesses in doing business during a movement control order (MCO). By being cashless,
individuals may fully eliminate dealing with actual currency and limit human touch. As for Alpha
Fintech Plus Sdn. Bhd. they receive many application from merchant that want to use their
terminal payment machine. This really help them to increase their product entering the new
market.

WEAKNESS

• Lack of human resource


Lack of human resources is one of the Alpha Fintech Plus Sdn. Bhd's shortcomings in terms of
personnel. The workforce refers to the number of individuals employed or seeking employment
in an area or nation, as well as in a particular firm or sector, and is a critical and challenging facet
of corporate operations. Employees or the workforce of an organisation form the bedrock of every
successful and long-lasting enterprise. The firm is run by employees at all levels. This indicates
that their commitment, loyalty, and dedication, as well as their emotional relationship to th e
organisation, are intangible. Personnel shortages or vulnerabilities will create havoc on a
company and its employees.

The Alpha Fintech Plus Sdn. Bhd. operation department currently has a workforce of four
persons which consists of Account Executive, Admin Executive, Head of IT Support and IT
Support Executive. Due to the limited employees, subordinates are under considerable pressure
to do many responsibilities simultaneously, including financial management, administration, and
outdoor activities. To address the Alpha Fintech Plus Sdn. Bhd. organization's workforce need,
new employee positions should be made publicly accessible. A well-trained staff may aid the
business in attaining its goals and making work simpler. Alpha Fintech Plus Sdn. Bhd. also needs
to diversify its staff to ensure that various scopes of work are completed to the best of their
abilities. Employing a diverse staff is crucial to the success of any business. Therefore, the
company must take an action to solve the problem and don’t drag it to much longer.

• The filing process are not well organized
Filing entails storing papers in a secure location and being able to locate them quickly and
conveniently. Documents that have been well-cared for are less likely to rip, get misplaced, or
become soiled. A file system is an organization's core record-keeping mechanism. It assists you
in being more organised, methodical, efficient, and transparent. It also makes it easier for
everyone who should be able to access information to do so. It is always a delight when someone
searches for something and finds it without difficulty. Receive and deliver papers on a variety of
topics. These materials must be saved for future reference. Everyone who need papers should
be aware of where to get them. An efficient office filing system is essential for every company
that deals with invoices, receipts, and other documents, whether on paper or digitally. Even if the
company doesn't deal with a lot of paperwork, remaining organised and efficient can assist keep
things going smoothly. Office file systems exist in a variety of shapes and sizes, ranging from
basic cabinet drawers to complicated arrays of digital servers. To design a system that works for
you, you must first determine which files are most essential, who requires access to them, and
how they can be retrieved quickly and conveniently.

Alpha Fintech Plus Sdn. Bhd came the brilliant idea when starting their business, by doing
the terminal machine payment, KASH card and more. This creative and innovation which they
understand with a new changes on this digital era are very pleasant to look forward into. Creating
an innovation culture is critical for innovation management, an organization's innovation
capabilities, and the adoption of disruptive ideas. Management is critical in establishing and
sustaining an innovative culture. The managers' job is to provide a conducive environment for
the growth of ideas inside the team. Hire individuals with an innovative attitude who want to alter
things, as well as teams of creative thinkers from various backgrounds.

The work environment at Alpha Fintech Plus Sdn. Bhd. enables the organisation to grow in a
more favourable direction. The term work environment refers to the components that comprise
the work environment and have an effect on workers. Employees' attitudes about their
occupations are significantly influenced by their work environment. A pleasant work environment
promotes employee safety, growth, and achievement of objectives. These cultures foster a
productive workforce by incentivizing people to perform to their greatest capacity. Businesses
that prioritise their entire culture, stimulate employee development, and ensure workers' safety
and comfort may foster a positive work environment. The work environment is quite pleasant and
friendly at the organisation. Each employee has their own workstation and is provided with the
required office equipment, such as computers, stationery, a photocopy machine, and file
cabinets, which enables them to do their duties more efficiently. The workplace of Alpha Fintech
Plus Sdn. Bhd. has an open concept. The company's working atmosphere is also rather nice in
terms of lighting, colour scheme, air conditioning, and office layout. Employees may work
comfortably with enough lighting, air conditioning, and an ergonomic workstation layout.

Additionally, communication between workers is excellent, whether from superiors or


subordinates, which contributes to the integrity and positive relationships amongst employees.
Additionally, there is a pantry inside the workplace that acts as an eating area for staff members
to take a break. Employees may relax and stretch their bodies in addition to working by drinking

expectations rather than on the products or services you give. Therefore, as a business owner,

skills can buy credit-card information). This type of fraudsters will never stop working hard to
come up with new ways to beat security systems with banks, ATMs, and other financial
enterprises. This is why Alpha Fintech Plus Sdn Bhd needs an advanced security installment in
their credit/debit machines to overcome the issues of data loss as this may be on of the way they
can lose their long-term customer and change their perspective and trust to use the company’s
product.

In today’s increasingly electronic society and with the rapid advances of electronic
commerce on the Internet, to detect cyber credit-card fraud activities on the internet. To overcome
this issue, Alpha Fintech Plus Sdn Bhd should doubled staff in its IT security department, spent
more on security improvements, and should focus on to recover from the security breach by
moving toward a more secure payment processing system, such as using EMV chip cards for
the company’s proprietary credit card, the REDcard, improving security improvements to its
payment processing system and focus on the better solutions to protect confidential information
and payment processing systems. Updating technology and improving security measures will
reduce the risk of a future data breach. Thus, the experience of one organization could influence
the preventive measures taken by another whereby if Alpha Fintech Plus Sdn Bhd shows this
preventive measure will give more awareness to others and secure long-term customers.

7.0 CONCLUSION

Alpha Fintech Plus Sdn Bhd is a well combined experience in various methods of digital payment
solution, banking and finance, e-commerce, IT services as well marketing strategic development.
We expertise in dealing with many organizations which include multinational and regional
corporations, public listed companies, ministries, statutory bodies, as well as government-linked
companies. I was given the opportunity by Alpha Fintech Plus Sdn Bhd for my industrial training
for a six months period of time. In Alpha FIntech Plus Sdn Bhd, I was able to discover several
components of SWOT Analysis that helps you to identify your organization's Strengths,
Weaknesses, Opportunities, and Threats. It guides you to build on what you do well, address
what you're lacking, seize new openings, and minimize risks. Apply a SWOT Analysis to assess
your organization's position before you decide on any new strategy.

Furthermore, I have learned the ins and outs of every facet of SWOT analysis which are
strengths, weaknesses, opportunities and threats found in the Alpha Fintech Plus Sdn Bhd
organization from the discussion and recommendations section. Alpha Fintech Plus Sdn Bhd
strength can be seen in IT/software expertise which in Malaysia, this expertise product is
successful in entering new markets. As for weakness, lack of workers in the company, and office
administration, which is a manual filing process, are two weaknesses that may be seen in Alpha
Fintech Plus Sdn Bhd. Looking at the opportunity of Alpha Fintech Plus Sdn Bhd, this company
develops an innovation culture and offers a pleasant workplace environment as has been
mentioned earlier that the company involves advanced technology machines. The threats that
Alpha Fintech Plus Sdn Bhd faced is that firstly, inability to grow the customer base long-term
whereby customers has more options to choose terminal credit card/debit card machine from
other company’s competitor and not all shops or company are using the product as they may
faced issues regarding data loss which leads to the second threat, hacking and loss of data.

Lastly, I was able to practice the way of working in the real world of work like what I had
learned throughout my studies which is administration and how to adapt in the work environment.
Industrial training experience is quite valuable and is expected to serve as a guide in the future in
achieving goals and getting through the working environment.
