General Guidelines

1. A Cover page or title page – You should always attach a title page to your assignment. Use
previous page as your cover sheet and make sure all the details are accurately filled.
2. Attach this brief as the first section of your assignment.
3. All the assignments should be prepared using a word processing software.
4. All the assignments should be printed on A4 sized papers. Use single side printing.
5. Allow 1” for top, bottom , right margins and 1.25” for the left margin of each page.

Word Processing Rules

1. The font size should be 12 point, and should be in the style of Time New Roman.
2. Use 1.5 line spacing. Left justify all paragraphs.
3. Ensure that all the headings are consistent in terms of the font size and font style.
4. Use footer function in the word processor to insert Your Name, Subject, Assignment No, and
Page Number on each page. This is useful if individual sheets become detached for any reason.
5. Use word processing application spell check and grammar check function to help editing your
assignment.

Important Points:

1. It is strictly prohibited to use textboxes to add texts in the assignments, except for the
compulsory information. eg: Figures, tables of comparison etc. Adding text boxes in the body
except for the before mentioned compulsory information will result in rejection of your work.

Scenario

Assume yourself as the event coordinator working in an event planning organization specialized in
delivering trainings on IT and soft skills. You have been appointed to design and deliver a training event on
IT /Soft Skills to an identified audience. You are required to complete the project within 2 months and the
training plan and resources should be finalized as per the requirement of the client.

You are required to form a group of not more than 6 members in order to carry out the event. The event
will be headed by an event manager/ leader and each group member will be assigned a set of tasks. While
designing and delivering the event,

 the skills required to make the event successful


 challenges faced during the design/ delivery
 Critical evaluation of the problems, challenges faced and the methods used to overcome them
 The need for continuously develop in a professional environment

Need to be thoroughly considered.

At the end of the event, produce an individual report by each member covering the following tasks.

Task 1:

Demonstrate how you are planning to effectively deliver the training event by designing a professional
project plan with following details.

 Roles appointed to group members and an evaluation of interpersonal skills of each member that
justifies the assigned role in the team.
 Goal and objectives of the project
 Evidences to the meetings conducted with the client and the team members and the findings/
outcomes of the meetings
 Challenges/ problems identified and the plan to overcome them

Research different problem-solving techniques that can be used to solve the identified problems in task 1
and demonstrate how critical reasoning can be applied to identify a solution to the identified problems.

Critically evaluate the solution methodology used to solve one of the identified problems and justify how
selected methodology helped you to successfully solve the problem and achieve the project objectives.

Task 3

Work in your team by contributing your skills and knowledge to meet the project goal. Critically evaluate

Executed summary
In this assignment we have organized an event for our selected students to share the
knowledge and clear the doubts about cyber security.

First we got approval from our coordinator and as a team we decided what kind of
event we should held and choose the students to conduct our event. Also here I have
explained how we conducted the event step by step.

Demonstrate how you are planning to effectively deliver the training
event by designing a professional Project plan with following details.

(1.1) What is interpersonal skills?


Event coordinators collaborate with a variety of clients and are responsible for the
general coordination, production, and organizing of gatherings, parties, and other
events. To carry on their day-to-day duties, these professionals must focus on a strong
skill set.

Here are some examples of event coordinate skills,


 Planning and organization

 Decision making skills

 Creative thinking

 Written communication

 Public speaking

 Leadership skills

 Time management

Behind a good and effective event there should be good presenter with an attractive
communication style. We should know the effective communication skills and the
various communication types before conducting the presentation or the event.
Communication is simply the act of transferring information from one place, person,
or group to another. When communicating there should be at least a sender or receiver
to make the communication successful, this may sound simple, but communication is
actually a very complex subject. A huge range of things can affect the transmission of
the message from sender to receiver. These includes our emotions, the cultural
situation, the medium used to communicate, and even our location.

We can categories the communication skills in two different method;
 Verbal communication

 Non-Verbal communication
Let’s check out how can we defines these two communication styles
Verbal communication - is define as sharing the information’s between 2 parties by
speech or in other hand communication which uses spoken words to communicate a
message.
Nonverbal communication - is a communication which does not use words. The
communication take place through signals such as facial expressions, body languages
gestures, eye contact etc…

The above are the Main communication styles which we used in day to day in our life
but apart from these communication styles there are 5 common styles that we used in
our life they are;
 Assertive communication style.

 Aggressive communication style

 Passive communication style

 Passive-aggressive communication style

 Manipulative communication style

Assertive communication style.


Assertive communication is “the ability to speak and interact in a manner that
considers and respects the rights and opinions of others while also standing up
for your rights, needs, and personal boundaries” (Pipas & Jaradat, 2010, p. 649)

Aggressive communication style


Aggressive communication is the opposite of passive communication. Aggressive
dialogue nearly often reflects desires and ideas, and it does not display an inner sense
of powerlessness or helplessness. The issue with this approach is the manner in which
certain feelings and opinions are expressed. (Wei-chin Hwang, 2016)

Passive communication style

PASSIVE COMMUNICATION is a communication type in which people avoid
sharing their thoughts or emotions, defending their interests, and defining and
fulfilling their needs. As a consequence, passive people don't respond to hurtful or
anger-inducing scenarios in the same way that active people do. (Cuncic, 2020)

Passive-aggressive communication style


PASSIVE-AGGRESSIVE COMMUNICATION is a communication form in which
people pretend to be passive on the outside but are actually acting out their anger in a
subtle, indirect, or behind-the-scenes manner. Instead, they express their emotions by
implicitly undermining the target of their anger. (Diaries, 2020)

Manipulative communication style


Manipulative communicators excel at persuading and manipulating people for their
own gain. When they speak, they have an underlying message that the other party is
always unaware of. The other party will feel guilty, furious, disappointed, irritated,
and unsure of how to approach them. (Group, n.d.)

In order to develop our presentation we have chosen Assertive communication


style,
Since there are good characteristics which they;
 Eye Contact:
Demonstrates interest and shows sincerity.
 Body Posture
Congruent body language will improve the significance of the message.
 Gestures
Appropriate gestures help to add emphasis.
 Voice
A level, modulated tone is more convincing and acceptable, and is not intimidating.
 Timing
Use your judgement to maximise receptivity and impact.
 Content
How, where and when you choose to comment is probably more important than
WHAT you say. (Anon., n.d.)

(1.2) Goal and objectives of the project

What is Goal?
A Goal is a vision of the future or an ideal outcome that someone or a community of
individuals envisions, plans, and commits to achieving. Setting deadlines helps people
achieve their tasks in a limited amount of time. ( Social Tables, 2017)

What is Objective?
The project priorities are the goals you want to accomplish before the completion of
the project. This may include tangible items like deliverables and assets, as well as
intangible goals like growing competitiveness or inspiration. Your project milestones

should be measurable at the conclusion of the project and should be attainable, time-

Our main goal is to deliver the event about cyber security for selected HND students
To achieve our goal and objective of this event we should follow some few steps to
make this event successful. They are;
 The first move is to define a specific aim and mission.

 Organizing an energetic team

 Setting up a date and venue to present the event

 Assigned the duties among the team

 Planning a proper program

(1.4) Challenges/ problems identified and the plan to overcome them

These are the challenges/ problems which we identified while we are planning the
event.

While we were organizing the event we have faced some challenges such as technical
issue, sometimes we had time managing issues, when coordinating with colleague,
some weren’t interested in some topics, and some team members couldn’t submit the
relevant details within the time period, however we had few backup plans to face
these challenges. Finally we were able to achieve our target successfully with all our
team effort.

Why is schedule more important?


The timeline effectively converts the project from a concept to a timetable. Schedules
also help you do the following: They serve as a foundation for monitoring and
controlling project operations. They assist you with determining how to efficiently
commit resources in order to meet the project's goals.

Initially we first started to plan to discuss about cyber security, and we have divided
the topic into different segments such as;

 Online scams

 Mobile protection

 Data Privacy

 Data Breaching

 Secure password
After been divided these sub topic we decided to assign each sub topic among our
team members, Before we create the time table, we checked what are the free time we can
allocate to conduct the team meeting, Even though we divided these points we gathered
to share our ideas within team members. While the team was processing the project
we conducted online team meetings every week due to the covid pandemic situation,
in order to go ahead with the event plan we had to get the approval from Esoft
management, To make it successful we had to use the online method because of the
prevailing pandemic situation of the country as a result we were managed to full fill
our ambition to a certain extend in addition to that we were able to achieve our targets
within the stipulated time frame by which the above steps taken by us we were
managed to achieve our target on time likewise as result due to the collective effort of
our team work we were managed to make the event a successful.

In the event of any break down in set scheduled we have discussed an alternative plan
to use when necessary, such as changing weather condition, unexpected power failure,
Due to technical break down, Due to the absence of any team member and etc… as
we have assigned two members on each relevant topic if find no difficulty in
transferring the duty to the subordinate member of the team,

2.1 different problem-solving techniques and how use these
techniques to solve our event problems

According to my own observations on websites, there is a simple process. This


procedure is divided into four basic steps:
 Define the problem.

 Generate alternative solutions.

 Evaluate and select an alternative.

 Implement and follow up on the solution. (Anon., n.d.)

These are the most simple and easy method of resolving any problem.

There are several problem-solving techniques which are briefly described below, and
how these techniques use for delivery for event

1) Brainstorming
Brainstorming is a technique used by design teams to create suggestions for solving
specific design problems. Teams solve a challenge using "How Can We" questions
under controlled conditions and in a free-thinking environment. They generate a large
number of ideas and connect them to find new solutions.
This include 2 different types of Brainstorming methods
 Group Brainstorming

 Individual Brainstorming

Group Brainstorming - Group brainstorming allows all team members to contribute


their full experience and creativity. If one of the team members becomes stuck,
another team member will assist him by advancing his creativity and experience to the
next point. Individual brainstorming does not provide as many concepts as group
brainstorming does.
Individual Brainstorming - When compared to group brainstorming, individual
brainstorming is often more successful. Person brainstorming often creates more –
and sometimes more – proposals than group brainstorming, according to many
reports. You don't have to think about other people's egos or thoughts while you
brainstorm on your own, so you can feel more free and creative.

Let see how I used brainstorming to solve the event problems by using 3 steps

Step 1: Prepare the Group


The first step is to determine which problem or issues should be discussed. The topic
chosen should be straightforward. When we've already negotiated the necessary plans,
it's a good idea to think about how much time it'll take to design and complete it.

Step 2: Present the Problem


Establish the challenge you're trying to fix and any requirements you'll need to fulfil.
State clearly that the objective of the session is to produce as many ideas as possible.

Step 3: Guide the Discussion
Start a group conversation after everyone has discussed their ideas to develop other
people's ideas and use them to generate new ones. One of the most valuable aspects of
community brainstorming is the ability to build on the suggestions of others.
Advantages of brainstorming:
 Many participants already know the rules of brainstorming.

 Lots of risks can be recognized quickly.

 One idea inspires the next.


 Participants need not be afraid that their ideas will be evaluated during the
session. (Wanner, 2019)
Disadvantages of brainstorming:
 Not everyone actively takes part in brainstorming. Some participants are more
quiet and don’t like to speak spontaneously in groups.
 Other participants speak too much.

The Five Whys is a questioning method for determining a problem's root cause. It

Drilling down is a simple method for breaking down complex problems into smaller
and smaller components.

Through our past experience we have recognised some problem solving techniques
such as.
 Guess and check.

 Make a table or chart.

 Draw a picture or diagram.

 Act out the problem.

 Find a pattern or use a rule.

 Check for relevant or irrelevant information.

Due to covid situation Society evolves as a result of major events. In order to keep
COVID-19 from spreading, social distancing steps are likely to have been in effect for
a long time. Maintaining social distance is likely to become self - reinforcing, with
effects that extend well beyond reducing disease spread.

At different locations, the promotion of social distancing (e.g., offices, educational
institutes) Even though practicing social distancing, technology has enabled us to
remain connected and access healthcare in creative ways during these challenging
circumstances.
Therefore we had to face many diffulties when gathering the team members to
organize the event. In my opinion I found it was a major issue to gather my team to
share ideas and communicate because of this pandemic situation we suggested to use
the Act out the problem technique. We were unable to organize physical team meeting
as it is my responsibility to protect my team members, we conducted online team
meetings through social network, for example Microsoft team, whatsapp, emails etc...

What is a team?
A team is a group of people who work together toward a common goal. Teams have
defined membership (which can be either large or small) and a set of activities to take
part in. People on a team collaborate on sets of related tasks that are required to
achieve an objective. Each member is responsible for contributing to the team, but the
group as a whole is responsible for the team’s success.

The Purpose of Teams


Organizations form teams to accomplish tasks that are too large or complex for an
individual to complete. Teams are also effective for work that requires different types
of skills and expertise. For example, the development of new products involves
understanding customer needs as well as how to design and build a product that will
meet these needs. Accordingly, a new product-development team would include
people with customer knowledge as well as designers and engineers.

What is team dynamic?


Team dynamics is a broad concept and represents the way in which team members
behave and the psychological processes underlying these interactions within the team.
When team members engage in work projects, their behaviours are interdependent
and from these interactions, there is a team emergence of attitudes, motivation, and
cognition that influence how team members feel about each other, their team, and
team projects. This constellation of affect, attitude and behaviours represent team
dynamics and are the foundation for team work

The cohesion and conflict are important dimensions of team dynamics

Positive Team Dynamics


When you have a fully engaged group of employees that are accomplishing their
goals, you’re on the path to success. This road, however, will have curves and bumps
along the way. Remember, you’re dealing with human behaviour. It’s not just what’s
happening in the workplace that shapes this but also what’s occurring in employees’
personal lives.

When looking at positive team dynamics examples, there are several core
competencies to highlight:

Alignment: Each member of the team understands the direction and goals. There is
no ambiguity around what needs to be accomplished, resulting in less tension. It’s true
that apprehension and uncertainty make people tense. So, start with clarity to attain
alignment.

Transparency: Issues will come up in teams; there’s no way around that. It’s best to
meet these head-on with openness and honesty. When people think there is something
to hide, they become suspicious and untrusting, which is a sure way for team
dynamics to suffer.

Accountability: Lack of accountability drags down teams. Without it, there can be no
trust. Ensuring that each team member is aware of their responsibilities and
understands the importance of following through is crucial to having a solid team.

Using these three central themes, you can improve and build team dynamics with
these strategies.

group dynamics can adversely affect performance, leading to a negative outcome on
the common goal or project

Why a team leader is important?


The team leader's main responsibility is to successfully lead their team in a way that
maximizes the team's effectiveness and competitiveness for the good of the
organization. As a result, the team should be able to meet the goals set out.
A leader must set an example by inspiring his or her staff to follow the ideals of the
organization's visions and values. This should inspire each team member to follow
these values, meaning that the team as a whole adopts the appropriate methodology,
design, community, and concentrate.

As a team leader I have implemented my skills and knowledge towards my team


members. In order to carry out the project by motivating the team members, this is
important for the team's success and achievement of its objectives. Maintaining and
developing team members is critical; growth and self-fulfilment can boost teamwork,
which will lead to higher levels of motivation. Evaluations are crucial when they
identify opportunities for change.

I decided to guide my team members by conducting online team meetings, and then I
divided the topic into subtopics and distributed the sub topics among the team
members to make them feel responsible and to be more dedicated towards the training
event.

To make the event successful as a team leader I started to observe each and every
member of my team by identifying their knowledge and skills. I recognised how well

they involve and dedicated to the project, then I allocate the duties to my collagenous
to do the work with their responsibilities and within a given time frame. To make the
team feel trusted towards me I had friendly conversations with them and coordinated
convenient time to organised team meetings to share their new ideas or problems
within the team.

What is CPD?
Continuing Professional Development (CPD) is a term that refers to a person's
ongoing education and training beyond the initial preparation, it refers to the practice
of recording and reporting the skills, knowledge, and experience that you gain when
you practice, both formally and informally. It's a record of everything you've seen,
what you've seen, and what you've put into practice. The continuous professional
development method guides you in managing your own development. Its aim is to
assist you in recording, reviewing, and reflecting on what you've learned.

Why CPD is important


Most organisations already have ongoing CPD specifications so that they can
demonstrate that they are capable of adhering to current critical criteria. CPD allows
individuals to maintain a high-quality range of skills and experience throughout their
careers. The best part of CPD is demonstrating learning skills, working to high
standards, and progressing throughout their careers.
There are two main different type of CPD
 Formal, structured learning.

 Informal, self-directed learning.


Formal CPD refers to the learner participates in immersive, participation-based
instruction, which is generally provided by a company rather than their own.
Structured CPD often includes multiple learners for the purpose of concept sharing
and community events, but it may often be one-on-one.
Structured CPD includes:
 Online and offline training courses.

 Learning-oriented conferences and meetings.

 Group events.

 Workshops.

 Online and offline seminars and lectures.

 Other CPD-certified events.

Informal CPD describe about Self-directed learning refers to any growth activity in
which the learner is the primary instructor, even without the use of a program. If
you're trying to do self-directed CPD, make a CPD plan that includes everything you

 Listening to and making notes on podcasts.

If you have completed your degree and are looking to begin a specific career path,

your own learning. With my personnel experience, CDP is a type of method that
involves the development of technical skills and knowledge through interactive,
participation-based, or self-directed learning documents. CPD means upgrading
specific areas of competence, improving personal and organizational skills, and
broadening knowledge to open up new opportunities. Work environment challenges
and opportunities are the main structure for continuing career development, and
professional and other organizations should promote and encourage the members to
do so. It's a never-ending cycle of preparing, completing tasks, evaluating certain
activities, and providing updates to the career.

As my experience I have faced many challenges and difficulties such as company


management issues like personal requirements, low motivation and unsatisfaction,
communication issue, high workload stress with all these experiences I realised job

placement gives you the opportunity to gain valuable experience by working for an
employer and doing tasks within the organisation in the same way as a typical
employer does. Volunteering allows a person to learn new experiences and gain
access to training and resources that will help them advance throughout their career.
CPD can lead to improvements in how you function that strengthen the service you
offer and the way you provide it to the service customer, ensuring that they are
comfortable and safe.

It is highly advised that a fellow professional serve as a coach to promote employee


CPD, as helping individuals enhance their success would improve overall company
results. There are no hard and easy guidelines about how much time can be expended
on personnel growth. It is more important to see the value of an experience to a
specific employee than the activity itself, and all learning experiences, even informal,
should be taken advantage of as they occur. (Anon., n.d.)

Motivation is a state of mind characterized by quickness and enthusiasm that propels
an individual to function in a certain manner in order to obtain desirable outcomes.
Motivation is a force that drives a person to work hard even though the odds are
stacked against him. Human behaviour is influenced by motivation.

Types of motivational theories


Most motivational explanations distinguish between intrinsic and extrinsic factors: the
former is concerned with an individual's desire, pleasure, and ability to participate in
an activity; the latter is concerned with an individual's willingness to participate in an
activity. People who have high levels of intrinsic motivation are more likely to have
high levels of self-confidence and believe that their own skills can contribute to
achievement.

1. Maslow’s hierarchy of needs

Abraham Maslow postulated that a person will be motivated when his needs are
fulfilled. The need starts from the lowest level basic needs and keeps moving up as a
lower level need is fulfilled. Below is the hierarchy of needs:

 Physiological: Physical survival necessities such as food, water, and shelter.

 Safety: Protection from threats, deprivation, and other dangers.

 Social: (belongingness and love): The need for association, affiliation,


friendship, and so on.
 Self-esteem: The need for respect and recognition.

 Self-actualization: The opportunity for personal development, learning, and


fun/creative/challenging work. Self-actualization is the highest level need to
which a human being can aspire.

The leader will have to understand the specific need of every individual in the team
and accordingly work to help fulfil their needs.

2. Hertzberg’s two factor theory


Hertzberg classified the needs into two broad categories namely hygiene factors and
motivating factors.

Hygiene factors are needed to make sure that an employee is not dissatisfied.
Motivation factors are needed for ensuring employee's satisfaction and employee’s
motivation for higher performance. Mere presence of hygiene factors does not
guarantee motivation, and presence of motivation factors in the absence of hygiene
factors also does not work.

3. McClelland’s theory of needs
McClelland affirms that we all have three motivating drivers, and it does not depend
on our gender or age. One of these drives will be dominant in our behaviour. The
dominant drive depends on our life experiences.

The three motivators are:

Achievement: a need to accomplish and demonstrate own competence People with a


high need for achievement prefer tasks that provide for personal responsibility and
results based on their own efforts. They also prefer quick acknowledgement of their
progress.
Affiliation: a need for love, belonging and social acceptance People with a high need
for affiliation are motivated by being liked and accepted by others. They tend to
participate in social gatherings and may be uncomfortable with conflict.
Power: a need for control own work or the work of others People with a high need for
power desire situations in which they exercise power and influence over others. They
aspire for positions with status and authority and tend to be more concerned about
their level of influence than about effective work performance.

4. Vroom’s theory of expectancy


Victor Vroom stated that people will be highly productive and motivated if two
conditions are met: 1) people believe it is likely that their efforts will lead to
successful results and 2) those people also believe they will be rewarded for their
success.

People will be motivated to exert a high level of effort when they believe there are
relationships between the efforts they put forth, the performance they achieve, and the
outcomes/ rewards they receive.

5. McGregor’s theory X and theory Y


Douglas McGregor formulated two distinct views of human being based on
participation of workers. The first is basically negative, labelled as Theory X, and the

other is basically positive, labelled as Theory Y. Both kinds of people exist. Based on
their nature they need to be managed accordingly.

Theory X: The traditional view of the work force holds that workers are inherently
lazy, self-centred, and lacking ambition. Therefore, an appropriate management style
is strong, top-down control.
Theory Y: This view postulates that workers are inherently motivated and eager to
accept responsibility. An appropriate management style is to focus on creating a
productive work environment coupled with positive rewards and reinforcement.
