Overview: Pool asset management (PAM) allows an organization to manage its pool
Like assets using a graphical planning board. Examples of pool assets can be vehicles,
beamers, laptop etc. In this document, I will take an example of pool asset as vehicle
to go through the different steps. By using PAM, a planner can request, issue, return
RSS Feed and then finally settle the service provided using the graphical planning board.
1) Creation of demand
5) Settlement
Before I go into detailed steps, I would like to mention some pre-requisites that must
be fulfilled before this scenario is run:

2) A pool of vehicle is created using transaction code PAM01 and functional location
assigned to this pool
3) Equipment created as pool asset must have a measuring point assigned for
odometer reading and PAM category (PCM_KAT) assigned in equipment
characteristics
4) All configuration related to PAM are done. Refer this link: Customizing – Pool
Asset Management – SAP Library
Now, let’s go through all the steps for pool asset management in detail:
1) Creation of demand:
Demand can either be created by a requester or a planner. Let’s assume that the
demand is created by a requester. This is done by using transaction IW21 for creating
a notification with a standard notification type MF.
Requester enters user and requester information along with notification description
exp. ‘Request vehicle’.

In ‘Pool Asset’ tab, start and end time for requested vehicle is entered along with the
Pool Name by the requester.

Planner logs in the planning board using transaction PAM03 and views created
notification in the bottom half section of the planning board.

Planner can drag the demand and move it to the upper portion of the planning board
and can assign it to one of the available vehicle in the pool.
The planner can double click the demand and click on ‘Reserve’ button to reserve the
demand of the vehicle on a particular time.

10/27/21, 11:02 PM Pool Asset Management: End-to-End Cycle | SAP Blogs
This changes the color of the demand to say red in the planning board.
The planner will then issue the pool asset by double clicking on the request and
entering odometer reading.

10/27/21, 11:02 PM Pool Asset Management: End-to-End Cycle | SAP Blogs
This changes the color of request to green meaning the vehicle is issued to the
requester.
After the requester uses the vehicle and returns the vehicle back, planner will then
enter the details in the system (such as new odometer reading) by double clicking on
the green bar. This changes the green bar to a small line on the planning board.
5) Settlement

10/27/21, 11:02 PM Pool Asset Management: End-to-End Cycle | SAP Blogs
The planner then double click the small line and click on the ‘Settle’ button to
capture the costs in a work order.
Planner assigns value against the value category from say actual vehicle usage time.

10/27/21, 11:02 PM Pool Asset Management: End-to-End Cycle | SAP Blogs
If you open the order, you will see the costs are reflected in the order in the ‘Costs’
tab.
This cost can then be settled to the final cost object by the finance team during their
settlement run.
Thanks,
Tajinder

Hi Tajinder,
I have one question. We configure PAM in our development system. When we are running
PAM03 it takes long time to fetch the data. Are you experincing same issue in your system.

Hi Kuldip,
We did not face this issue while running PAM03. Seems like these are some performance issues,
better to talk to your technical counterparts.
Thanks,
Tajinder

Hi Tajinder,
Please guide.

Hi Ashu,
Pool assets mean assets which are shared among different users in an organization. For example if a
vehicle can be used by many users and not specifically by a single user, this can be created in the
system as a pooled asset. PAM can be used to track such assets.
Here we are not talking about maintenance and repair. PAM is used just to track who took the pooled
asset (say vehicles), when, how much it was used (miles, hrs etc.) and how much cost can be charged
against a specific cost center (say) for using that pooled asset.
That's correct, if a laptop is a shared asset and a company wants to track its use this can be definitely
tracked using PAM. Though I have seen PAM used primarily for tracking vehicles and not any other
asset.
Thanks,
Tajinder

Hi
Tejinder
Its very informative. I have configured PAM in our system. But unable to make the settlement. System gives
the message " No vehicle type is maintained: Settlement not possible"
I have maintained the category (PAMS_VHC) through the class type PAM and characteristics.

Hi Gopal - Make sure that the same characteristics are maintained in the equipment master as well;
also the configuration is done for the assignment of activity type to controlling area and PAM category.
Thanks,
Tajinder

Thank you Tejinder for your replay. It was helpful. I am not getting the above mentioned error.
Unit ****** is not equal to unit HR determined for activity type 4WDDD
Message no. PAMS159
I am using the CO activity type 4wddd, assigned to the respective equipment cost center. this
activity type is maintained under PAM customization for the pool category.
Equipment has measuring point with KM as UOM. Business requirement is to make the the
settlement based on the number of hours usage for the vehicles not based on the running KM

I have an issue while performing an activity on the planning board the color of the demand stays unchanged.
However, as stated in your guidelines on every activity the color supposed to change at every step. Kindly do
let me know if I am missing any important steps or prerequisite while planning pool assets.
