CHAPTER TWO
2. WEB BASED TOURISM MANAGEMENT SYSTEM
During our internship program, we have ordered by our supervisor to work on small project to
solve some problems around Bahir Dar. Then as a group we discussed to visit companies around
our organization to gather and assess the problems in their working environment.in that extent
our group selects one company called Ethel tour company as we observe the tourism system in
their company follows a manual system by using adverts and face to face booking services for
the customers. then we have decided to design a website for this company, and we have shared
our ideas to our supervisor and he supports us and told to us to ask the tour company whether
they are voluntary or not. Then we present our request for them and the company accepted our
request happily. And we have done our work as follows.

2.1 Introduction to the Proposed System

Travel and tourism management system is used to book a tour from anywhere in the world by a
single website which will help the user to know all about the places and tour details in a single
website. The admin can add tour sites to the website by create a tour package. Then the users can
sign in and book each tour site, they can be confirmed by the admin in the manage booking page.
The user can see the confirmation in the My Tour history page. It is an easiest platform for all
tourists which can be easily booked and know all details. ETMS (Ethel Tour Management
system) is a website for tourism business, Nearly Everyone goes on a vacation, for this ‘a web-
based Tourism management system’ would play a vital role in planning the perfect trip. The
ETMS allows the user of the system access all the details such as location, events, etc. The main
purpose is to help Ethel tour companies to manage and serve customers.

This project “ETMS” is used to automate the process of the tourism, which deals with creation,
booking and confirmation and user details. The project is designed with HTML-PHP as front end
and Microsoft SQL Server 2008 as backend which works in any browsers. The coding language
used HTML and PHP.

2.2 Statement of the Problem

In the existing system, each task is carried out manually and processing is also a tedious job. In
previous system travelers were maintaining time table details manually in pen and paper,

Prepared by Demissie Bitew 8

FINALE INTERNSHIP REPORT 2014 E.C

which was time taking and costly. The travelers are not able to achieve its need in time
and also the results -may not accurate. Because of the manual maintenance there are
number of difficulties and drawbacks exist in the system.

Drawbacks of the Existing System:

 Increased transaction leads to increased source document and hence maintenance

becomes difficult.
 If any admin, user entry is wrongly made then the maintenance becomes very difficult.
 A customer may not get the desired information from the tour companies and often the
customer may be misguided.
 It is tedious for a customer to plan a particular journey and have it executed properly.

2.3 The Proposed System

The proposed system is a web-based system and maintains a centralized repository of all related
information. The system allows one to easily access the relevant information and make
necessary travel arrangements. User can decide about places they want to visit and make
bookings online for travel.

The proposed system is designed to be more efficient than the manual system. It invokes all base
tasks that are now carried out manually, such as the forms transactions and reports which
is added advantage.

Advantages of the Proposed System:

 Gives accurate information

 Simplifies the manual work
 It minimizes the documentation related work
 Provides up to date information
 traveler’s details can be provided
 booking confirmation notification.

2.4 Scope of the Project

The scope of this project is focus on developing a web-based tour management system, the
system is all about travel, planning for tour as per the customer’s interest. It involves

Prepared by Demissie Bitew 9

FINALE INTERNSHIP REPORT 2014 E.C

accommodation, location and events, etc. The main purpose is to help the company to
manage customer. The system can also be used for trips. keep track of the main tour
system activities such as creation, registration, booking, process, and address the output.

2.5 Objective of the Project

Here ,The objective of the project

2.5.1 General Objective

The general objective of this project is to change the manual system in to web based
computerized system which helps the tourists to make simple and easy modern way to
contact with customers

2.5.2 Specific Objectives

The specific objectives of the project are:

 To develop and implement a tourism management system.

 To propose a solution to the problem to solve it.
 To provide tourists with accurate information on tourist attractions to make more
informed decisions.
 To develop and implement a credible and user-friendly system.
 To develop a tourism management system that is web based.
 To assess the systems acceptability efficacy, timeliness, quality and productivity from the
perspective of every individual.

2.6 Significances of the Project

The output of this project could be applied in the real world for Ethel Tour company.
Perspectives of the project output:

The following persons or groups will benefit from the project success:

 Tourists (end users): - Our system (ETMS) will make it easier for users to find all of the
information they need about places and tours in one suitable place.

Tourists will be able to make appropriate decisions by visiting the ETMS website, providing
details on tourist destinations.

Prepared by Demissie Bitew 10

FINALE INTERNSHIP REPORT 2014 E.C

 Tour company: - Our system helps the tour company for better management of tourists or
customers. It will play a significant role in reducing the time it takes to respond to
inquiries and make booking and poor customer service and feedback.
 Our group: - The experience with the development and implementation of this project
will further improve our knowledge and skills.
 Future Researcher: - If they choose to create and implement their own tourism
management system, they can use this study as a guide.

FINALE INTERNSHIP REPORT 2014 E.C

CHAPTER THREE
3. TECHNICAL ASPECTS OF THE INTERNSHIP
3.1 Material and Methodology
3.1.1 Tools and Materials Used
In the internship period we used many software and hardware requirement. such as, Microsoft
word 2016 for our report document, Edraw max to draw our UML diagrams, and we use Xampp
server for our database configuration and other materials like, vs editor, chrome browser. Under
hardware requirement we used Flash disk 16 GB, laptop, smart phone, pen, and paper.
3.1.2 Data Gathering Methodology
Data collection and analysis are considered the first step for developing the system. Thus, we
started our project by collecting data and requirements from multiple environments in order to be
able to design the proposed Web Based Tour Management System. Accordingly, our team used
interview and Digging out document requirement gathering techniques.
 By interviewing and customer feedback: - we gathered data by interviewing the Ethel
Tour Company staffs. They gave us information about what concepts and activities are
doing in the company.
 Digging out document: - this also the other form of gathering data, so we use this method
to get information about the Tourism management system. We find a lot of information
from another developed project proposal. Before we plan to develop this system, we refer
to existing system records, and read from the internet about Tourism management
system. We use the Internet as a resource of that information which is necessary to build
our system.

3.1.2 System Analysis and Design

System Analysis is a process of collecting and interpreting facts, identifying the problems, and
decomposition of a system into its components. To analysis our system we use UML
diagram to simplifies the implementation part of the system.

The process of system analysis aims to study an existing system to entirely design a new system.
We use System analysis to achieve mainly two aims namely:

Prepared by Demissie Bitew 12

FINALE INTERNSHIP REPORT 2014 E.C

 To understand the process or the system clearly. This will assist to design our system.
 to identify the problems in the existing system; therefore, this help us to know the
inefficiency reasons.

We use UML diagrams because When we are writing code, there are thousands of lines in an
application, and it’s difficult to keep track of the relationships and hierarchies within a
software system. So, UML diagrams help us to divide our system into components and
subcomponents. We use Use-Case, Activity, Sequence and Class diagrams. As a sample I
include use case diagram bellow.

Use Case Diagram

Use case diagram help us to identify the actors and main activities in our system as follows:

 Use case: -A Use Case represents an interaction between a user and the system. Such use
cases are login to system, register, booking, search, manage and so on.
 Actors: - represent system users. They help delimit the system and give a clear picture of
what the system should do. It is important to note that an actor interacts with, but has no
control over the use cases identified. Actors in our system are Admin and user.

Actors Description
Actors Description
System Administrators An employee who manages the system
Users A person who uses the system

3.4 Knowledge and Acquaintances Gained

As I explained the above, I have been taken my internship experience in ASTICC from a period
of august 3 up to November 24/2014 E.C. I think the internship program had plays a great
role by supporting theoretical education and it is very important to us in order to see
working environment, here I list down benefits or skills I got from the internship as
technical, management and Acquaintance.

3.4.1 Technical Skill Gained

Upgrading Theoretical Knowledge
the academicals theoretical and practical knowledge is combined and practiced in order to
compose them together throughout the intern. An internship can be seen us the pinnacle
(the most successful point) of our aim of education and give us the chance to use the
skills we have been learned in the classroom to apply on a real-world setting. It’s a
chance to prove the worth of my qualifications and to show that I can perform in the role
I have been given. The internship program upgrades both theoretical knowledge and
practical skills.

Improving Creativity and Practical Skill

Internship is the opportunity to connect class room theory with current industry challenges, and
have exposure to the latest technologies. Opportunities to converse and interact with a

Prepared by Demissie Bitew 19

FINALE INTERNSHIP REPORT 2014 E.C

large pool of talented experienced department members provided a deeper insight to the
overall operations, as well as provided a valuable pool of resources to assist in
completion of internship program. In the four months of the internship program during
our practical work of day-to-day activities, I tried to learn something new challenges.
This internship program was exactly what we needed to Succeed the lack of practical
skill that we had before. I have been acquiring practical experience to complement the
theoretical content of our studies.

I have developed problem solving skill, possessing a positive attitude, honesty, motivation to
work, willing to grow and learn, create great recognition for our department, develop
self-confidence, professionalism, sociability and responsibility.

It increases my creativity skill before the past because when something doing repeatedly
practically then I will be full of ready and pre knowing for the next design.

3.4.2 Management Skill Gained

Improving Interpersonal Communication.
Interpersonal skill is the most crucial and basic issue for human beings. The time of internship is
the most power to develop our interpersonal skill for me. Individuals often learn different
things from colleagues (team) through communication. For any individual,
communication is an important way of learning, which can be defined formally as the act,
process, or experience of gaining knowledge or skills. Communication and the
subsequent learning help us from novices (a person who has lack of experience in a job or
situation) to experts and allow them to gain new professional knowledge and abilities.

Good communication skill has many advantages the following is:

 Improve relationships with others
 To express and share ideas clearly
 To handle challenges & take without afraid in short, I have improved my interpersonal
communication skill during these four months.

Improving Leadership Skill

Leadership is a process of leading the careers of the company. Problems in the company come in
management, program and problems in different period time can be easily solved. Thus, a

Prepared by Demissie Bitew 20

FINALE INTERNSHIP REPORT 2014 E.C

person who is in the position of leadership seeks optimal solution to the problems and
should be smart enough to manage those individuals whom he/she is leading.

Leadership requires respect and creates to give a good opportunity for the workers and motivate
the members of the company so internship is an important occasion to practice the assets
of leadership. We have increased a lot about leadership and I saw how important it is for
a successful work.

I have been able to improve our self-confidence as I had the willingness and inspiration to face
any difficulty in our work activities. The skill of leadership helped us grow emotionally
and learn from failure and success.

Generally, the internship had helped me grasp leadership skills such as self-confidence,
accountability and fair assignation of tasks and it is the sample of my future life so it
teaches me how to lead ourselves for the coming life this is good experience for me.

Understanding about Work Ethics Related Issues

Hard worker is described by fulfilling work ethics, so in order to stay in work and wants to be
successful I should be disciplined in my ethics e.g. I arriving on time, free from any bad
addiction, I must have good relationship and I should be transparency and accountability
in my working area.

Ethics is a branch of philosophy that defines morality and determines the meaning and rational
justification of the right way to live, correct values as well as correct ways of treating
others. As workers wear made to specialize in different fields, specific codes of conduct
were expected from each worker. Ethical work conduct enables me to posses’ appropriate
behaviors in my work and so as to develop proper relationships with co-workers and it
helps me to create good relationships.

From this internship, I got many ethical issues like how to keep punctuality and how to
communicate with the staff members. In order to train the ethics, I should accept the rule
and regulation of the company.

Prepared by Demissie Bitew 21

FINALE INTERNSHIP REPORT 2014 E.C

Ethical work conduct enables me to posses’ appropriate behaviors in my work and to develop
proper relationships with co-workers and it helps me to create good relationships. DMU
ICT enroll the workers under these two forms of work ethics.

Personal ethics: this is about how I act towards other people with respect to my cultural, social,
religion and personal thoughts. It includes Concern for the wellbeing of others, Honesty,
Fairness, Tolerance, Open mindedness, and Positive thinking.

Professional ethics: it is such a kind of ethics that a certain task does require or important
character that governs an employee. Punctuality, Office disciplines, Reliability, Honesty,
Cooperation,

Impartiality, Transparency and openness, Integrity, Tolerance, Avoiding potential or apparent

conflict of interests, Accountability etc.

In general, from this internship program, I have gained crucial skills regarding to work ethics and
this leads me responsible, punctual and honesty ethical worker for my future life.

Improving Team playing Skill

Team playing skill is upgraded throughout the internship since it is a great time to get together
with my follows and it is the way that collaborating with the fellows are highly
developed. So, the internship was highly important for me to develop the team playing
skill. The most important point in team playing skill is just reach an agreement from
different points on the work to be done. Team works are essential to involve in every
piece of task. Thus, achieving good team playing skill is essential for effective
completion of tasks and increasing productivity.

Internship time has the most power to upgrade my interpersonal skill, improve our relationships
with others, helped me to express and share ideas freely and clearly in front of others, it
gave me a skill to handle challenges. So, what I have observed that having
communication skill effectively is essential to choose the suitable optimum.

I have been learned open- mindedness which is the willingness to enter into a dialogue and the
ability to understand and accept (if it is good) the others point of view.

CHAPTER FOUR
4. GENERAL COMMENTS AND CONCLUSIONS
4.1 Problem Encountered During the Internship
As a group we faced so many problems during the internship, the first and the most is the war in
our country which cases psychological impact to our groups and advisor. And some of
the other problems are: -
 Lack of communication between the company and our university
 Network Connection problem (poor network strength)
 Delay of payment which cases financial crisis
 Less attention of company supervisor

4.2 General Suggestions and Comments to The Company

Facilitation, the management of ASTICC should buy more facilities such as computer, vehicles
and better connection for those computer etc. so as to enable smooth running of the
company’s activities and respond to the dynamic computation environment.

More opportunities to students to do intern to their organization, we would also recommend the
organization to continue giving internship placements to as many students as they can
because some students miss these experiences which is also important requirement of the
university due to the fact that they failed to get placement.

4.3 Summery and Conclusion

In conclusion, this internship has been a very useful experience for me. I can safely say that my
understanding of the job environment has increased greatly. However, I think that there
are some aspects of the job that I could have done better and that I need to work on and
need to build more confidence in applying accounting principles. In my internship period,
the two main things that learned after my experience in this firm are the importance of
time management and being self-motivated.

The information technology revolution extremely influenced the development in tourism. Poor
analysis results from insufficient information, which causes to mistaken policies on
tourism management. Ethiopia characterized by the presence of many places of tourism,

whether religious tourism or eco-tourism, as religious tourism in the Kingdom is one of

the most important sources of income and one of the largest pillars of the economy in the
Kingdom, and environmental tourism is an important element of the tourist’s attractions.
This work designed and implemented an intelligent platform that will help the tourists to
get accurate and relevant information about the tourism places such as location, and
events. The proposed work was designed and implemented using the Unified Modeling
Language (UML), HTML, PHP, CSS, and Bootstrap. The proposed tourism system was
able to provide accurate and relevant information to the tourists about tourism places in
Ethiopia, and provide the tourists with recommendations for places to visit based on their
preferences.

4.4 Recommendations
Constant supervision of student the inter recommends the university to carry out constant
supervision and monitoring of students during the internship tanning so as to encourage them to
perform the duties fully and also accurately. this will also put close link between the academic
supervisor and the filled supervisor so as to foster appropriate assessment of what the interns are
doing in the filled.

The university should continue with internship program this is because it helps to prepare the
students for their careers in future and also enable the students to practice the theoretical
knowledge opted during class be exercised practically. And also, it helps to develop students
understanding of work ethics, employment demands, responsibilities and opportunities and so on

Even though the time we pass in the company is good, there were some issues, which we could
not leave it. There is no, advising, guiding and helping technique. The university shows during
internship time is not enough and planned (scheduled).

Therefore, the mentioned issues are common issues, which must be correct as much as possible
for the next internship students.

The Institution and academic unit should provide and actively promote training for students in
the use of technology

Institutions that offer online course /program should provide incentive to faculty to design
classroom-based course for the online environment

Recommendation for Arba Minch University Institute of Technology

The AMIT-Industry Linkage should act on this program seriously as, it has no effective
communication with the project and it ought to strictly follow the intern, because many
students face difficulties and challenges.

Software engineering department should have to put a program that giving different free
software applications and giving training to students like (Moodle, Drupal.) courses
before sending students to internship practice. In addition, the university should prepare a
uniform report-writing format to solve student’s confusion and the money that was given
from the university for four-month internship is not enough so, I will recommend the
university should pay more payments for internship students.
