Library Management System For Stanford.

The document outlines the stakeholders, problems, and proposed solution for implementing a library management system (LMS) at Stanford Library. Key points include: 1) The LMS would allow library staff, students, and management to more efficiently manage the large collection, issue and return books, generate reports, and calculate fines. 2) Currently, manual processes are time-consuming and error-prone. The LMS would automate operations like searching, checking availability, and tracking return dates. 3) It would provide management with analytical reports on book usage, collections, and fines to help inform decisions around stocking and outdated materials.

STAKEHOLDERS

ACTOR What he can do on the Software Created

Student ● Students should be able to access the library system online to
know the return date. They should be able to access it via the
web or mobile interface.

Library Staff ● Library staff should be able to search for books on the LMS by
search criteria like name of the book or author.

Management ● Management would like the following reports:

o Which books are most rented?
o Records of issued and unissued materials in the library
(management will decide whether to stock them or not)
o Amount of fine collected in a day, week, and month.
o Number of lost books
o Report on total number of books, journals, etc.
o Age of books, that is, which books are more than 20
years old. College generally would prefer not to have
very old books since new versions come up every few
years.

PROBLEM DEFINITION AND SOLUTION

 A lot of time is wasted managing the manual library.

a. With LMS, any book in library will be just a click away.
 The number of employees needed to manage the library is high.
a. Other than resources for books shelf management, no additional cost anticipated
with LMS.
 Fine calculation is a tedious and time-consuming affair.
a. LMS will have capability to calculate the books and rent of book etc
 No reports could be generated on books issued due to the manual system.
a. Reports is main part of LMS system, we can see trending of books issues, genre
and maintain inventory of total with categorising damaged and outdated books.
 It is difficult to manage 4 million books present in the library.
a. LMS software consist of functionality to manage the inventory.
 Students could deposit the books only in the library timings.
a. This is ideally not a software control but more of people governance and hence
can be considered out of scope for the LMS system.
Advantages of LMS

Advantages of Library Management System:

 Reduce overheads and increase productivity of library staff

 Cost reduction
 Up-to-date records of all books, research papers, magazines, and other materials
available in the library
 Improve student engagement in the library
 It will generate dynamic reports for better decision-making

EXISTING SYSTEM

 The paper based maintaining, organizing, and handling of countless books. Finding a
book based on requirement is all human dependent. Assuming a person who manages
books is on leave, no backup to understand, which book is placed in which section.

PROPOSED SYSTEM

 A library management system will enable the librarians to track the status of books
along with subscriptions & a complete user database. Right from managing the
acquisition, cataloguing to serial control, issued/borrowed books, returned books & due
date calculation, it helps in managing the daily work process in the library. The library
management system tracks all the books borrowed with due dates, fees, etc. This system
completely automates all your library’s activities.
 It will simplify the daily operations of the library. The purpose of a library management
system is to manage & track the daily work of the library such as issuing books, return
books, due calculations, etc.

SCOPE using Context Diagram

Above diagram depicts that books issuance made easy with added security and
immediate availability detection system. If book is issued, details are recorded, that is
stored in the DB. If book is bought, details are recorded in same DB. Easy access to
report any latest information related to the library inventory and transactions. A
scheduled job detects and trigger notifications to all the tenants to remind the time left
which enables them to be on time and return as per there convenience through drop
box station installed outside library.

IN SCOPE

● RFID for theft control.

● LMS software for entry and categorisation based on the requirement like By Author,
Genre, or Date of issued or by tenant.

OUT OF SCOPE

● What are the facilities or features—for the library and the students—the are out of
scope or cannot be implemented now.

employees to create records for each book and at what stage in the system.
