Continuous Improvement Policy
Purpose

The policy provides details of the E-Office Worx , having an approach to a continual
improvement in its business process and practices that would reach excellence on the
business and its organisation and would also provide satisfactions to their clients and the
stakeholders of the firm. Also, to provide the workforce with guidance on how to
implemet continuous improvement with their everyday work.

Scope

The policy applies on the organizational team of the E- Office Worx company, that would
include the team heads and leaders. Hence, the actions and procedures that have
generated from the policy will be implemented as part of a more wide scope of the
business, program management process and and the program management itself.

Continuous improvement principles


Many of the services, products and or processes of E- Office Worx in the universe, want
and look for a quality through the end users wants and the needs.The projects or the
processes done sometimes do fail for the reason of lack of continual process for
improvement.
The Process Improvement Plan, every process in the improvement plan that would apply
through alongside of the actual project phases. Having a good plan should be specific on
goals and expectations of the clients.
The Process of Improving, this given principle ensures a good process that would be a
key for improvement for E- Office Worx
The Process Problems, thus clearly assess possible and known problems of the
organisation
The Root Causes, a fault tree diagram will be used in this principle to identify the root
causes for the issues to be controlled and have some improvement.
Acting on Improvements, this princiole make sure that the organisation finds ways to
have an action to those problems with such a specifuc plan and or p[rocess that will
remain constant.
Monitoring Improvements, the most useful part, that would ensure the setting of plans
and process that are working constantly to improve the product, and the situation.

a. The company, E- Office Worx attempting to improve the outcomes and a scientific
investigation of your own capacity as a team and make understand the business.
b. E- Office Worx testing and analyzing what is currently wrong with the product and
how it can be improved.
c. E, office Worx, understand what are the changes that can make tackle some
problems in order to make something better.
d. Mapping out operationally on how the improvement of the organisation, E- Office
Worx be manaaged and achieved their goals.
e. In this stage, E- Office Worx could be able to predict the said outcomes of the
process improvement efforts.

DO

a. The E- Office Worx, start with small scale testing, that would continue to reiterate
the importance of remaining true to scientific values underlying the investigation.
b. The organisation, implement iterative changes to the said experiements to test
variables.
c. In this stage, proper documentation of every step is vital.

STUDY

a. E- Office Worx will be producing the outcomes of planning and implementation.


b. Predictions of such change outcomes in advance.

ACT

a. In this stage, it would implement improvements and knowledge, thus also its
recommended changes of the organisation. .
b. The tracking of performance and data over the period of time.
c. Providing all documentation of the organisation to improve internal theory.

Strategies for encouraging staff to participate in continuous improvement decision-making.

The Suggestion Box, in which the team of E- Office Worx gather good ideas in order to make
good decisions. In employee's that are giving suggestions, respond to them in a good manner
by telling them that you appreciate their ideas and explain why you are not using it. Be
careful on rejecting the ideas of the employee.

The Employee Surveys, having it done regularly in order to get the feedback. It can help learn
opinions, ideas and level of satisfaction. Their responses will also improve the business and
reach its goal.

Leadership Teams, having regular meetings to generate ideaas and make decisions. Setting
up a communication channel for an ongoing conversation. The members of the organisation,
E- Office

Worx should have a freedom to give an input about upcoming decisions.

Participation through Complete Control, in where E-Office Worx workers union acts as a
management. Through elected boards, they acquire full control of the management. In this
kind of style, workers directly deal with all aspects of management or industrial issues
through their representatives.

Participation through Job Enrichment, expanding the job content and adding additional
motivator and rewards to the existing job profile is a fine way to keep E- Office Worx workers
that involved in managerial decision making. In this, it offers freedom to employees to
exploit their wisdom and use their judgment while handling the everyday business problems.

Participation through Quality Circles, a group of 5-10 people in E- Office Worx meet in a
regular basis to identify, analyze and solve the problems arising in their workplace and its
operation. Any person in the organisation who has the expertise in that particular field csn
be bale to identify the areas that has a problem and could be able to work on it in order to
improve the organisation and its working conditions.

Processes for communicating the continuous improvement processes and outcomes


Communication play a vital role in improving programs of the company. Communication
using visual management pictures the goals and approach It makes every individual to have
motivation and to commit change by showing some expected benefits and early results.
Several improvement programs are run by the technical nvironment. Often the
communication is not valued and underestimated and was perceived as difficult. There are
many ways that the team communicate in improvement programs and how it shows results
in an institution. There are different ommunication tools and techniques that serve different
purpose. Most of the improvement programs uses a balanced mix of paper and electronic
communications means such as posters, brochures and websites.

Responsibilities

a. Providing an organisation improvement that would have a focus on leadership and


management of E- Office Worx.
b. Assure an achievement of the Continuous Improvement Plan.
c. Proper coching and providing feedback to the organisation; communicate in
progress.
d. Having a role model desired behaviour.
e. Provide a financial, human resources and resolve barriers.
f. Use data and any kinds of information to guide decision making of whatever the
company will be encountering.
