1 Introduction
These release notes provide an overview of OpenText™ Extended ECM for SAP® Solutions 16.2,
including new features, delivery information, and supported platforms. OpenText recommends that
you read these release notes in conjunction with the documentation included with the software
package. If any conflicts exist, the release notes supersede the other documentation.

These release notes are frequently updated. Please look for updates on a regular basis on

2 About OpenText™ Extended ECM for SAP® Solutions
This section provides an overview of OpenText™ Extended ECM for SAP® Solutions 16.2.

Many business processes, in both commercial and government organizations, span the worlds of
transactional data and business content. OpenText™ Extended ECM for SAP® Solutions extends the
transactional process management capabilities of SAP Business Suite with comprehensive Enterprise
Content Management (ECM) capabilities, including document management, records management,
and collaboration.

With OpenText™ Extended ECM for SAP® Solutions, you can unite the worlds of SAP Business Suite
and ECM in a single solution, reducing the risks and costs of records mismanagement, increasing
information worker productivity and enhancing your ability to comply with regulations.

OpenText™ Extended ECM for SAP® Solutions provides the powerful concepts of business
workspaces, business attachments, business relationships and business policies. These concepts are
the foundation for the tight integration of Extended ECM into SAP Business Suite.

OpenText™ Extended ECM for SAP® Solutions also allows declaring an SAP ArchiveLink document as
a record and therefore putting such a document under control of Records Management. The
declaration can be performed automatically during document creation or interactively by an
application user. In addition, the declaration procedure can be performed in batch mode by an
administrator.

2.1 New features


OpenText™ Extended ECM for SAP® Solutions 16.2 introduces the following features:

2.2 General Data Protection Regulation (GDPR)


The General Data Protection Regulation (GDPR) is a European Union (EU) law that gives residents
greater protection and control of their personal data. It regulates the data companies inside and
outside the EU can collect, store, and transfer – as well as how they use it. All companies that
process EU resident data must comply with GDPR, starting on May 25, 2018.

OpenText™ Extended ECM for SAP® Solutions offers freely definable data containers called business
workspaces. A business workspace is a kind of folder to manage content. Content could be, for
example, Word, Excel, or PDF documents. Business workspaces are enriched with context-related
metadata and relations. You could divide metadata in two groups: (1) Attributes filled by data from
the leading business application like an SAP system and (2) attributes filled by users or workflows.

Furthermore, users in OpenText™ Extended ECM for SAP® Solutions have a user profile with
personal data like name, communication data, or personal data.

Software solutions like OpenText™ Extended ECM for SAP® Solutions can neither be considered as
GDPR-compliant nor GDPR-uncompliant. Every customer using OpenText™ Extended ECM for SAP®
Solutions is responsible for ensuring GDPR compliance in their organization.

OpenText™ Extended ECM for SAP® Solutions provides different means to help organizations be
GDPR compliant:

• Records Management to ensure a retention schedule as well as disposition at the end of


managed content lifecycle

• Audit logging to see, who accessed sensitive data

• Web Reports to do sophisticated reporting on customer or employee data used inside

The bundle OpenText™ Extended ECM for SAP® Solutions consists of many individual components.

3.1.1.1 Tempo Box


A customer who is running the minimum of OpenText™ Extended ECM for SAP® Solutions licenses is
eligible to run Tempo Box for all employees of the company/legal entity (Limitations see below).

Employees without dedicated OpenText™ Extended ECM for SAP® Solutions, Extended ECM Platform
license, Content Suite Platform license or Tempo Box Premium license: These employees are not
allowed to access enterprise content (i.e. content managed within the Enterprise Workspace of
Content Server). Particular mention deserves that these employees are not allowed to access
business workspaces.

External users: External users of Tempo Box are offered free of charge. However, they are offered
limited functionality in the way that they can only interact with content that has been explicitly
shared with them. External users cannot share content, or add content outside of the folders that
have been shared with them.

Deployment System to keep your Content Server 16.2 (or higher) up-to-date with
the latest patches for Content Server and modules.

OpenText™ Fiori Business Object Browsing for Extended ECM for SAP Solutions
OpenText™ Fiori Business Object Browsing for Extended ECM for SAP Solutions is a collective term,
which includes the following:

• Compatible versions of
o OpenText™ Extended ECM for SAP Solutions
o OpenText™ Fiori Business Object Browsing Enabler for SAP Solutions: a collection of
compatible ABAP Add-Ons of OpenText™ Business Center for SAP Solutions. These
are required to build custom Fiori apps to browse for business objects. The required
Add-Ons are available in the patches area of OpenText My Support.
• Solution Accelerator Fiori Business Object Browsing for Document Access and Extended ECM
for SAP Solutions: it is released in OpenText Developers Network (OTDN) and in OpenText
My Support, which provides you with example configurations and implementations which
run against an SAP ERP 6.0 system as a minimum SAP Backend.

Usage of OpenText™ Fiori Business Browsing Enabler for SAP Solutions
OpenText™ Fiori Business Object Browsing Enabler for SAP Solutions adds the Business Center
Foundation of Business Center for SAP Solutions to implement custom SAP Fiori apps, which
integrate the SAP Fiori standard apps of OpenText™ Extended ECM for SAP® Solutions or OpenText™

Usage of Searchable PDF DocTool


The Searchable PDF DocTool allows rendering scanned documents to searchable PDF/A. This
DocTool must only be used in scan pipelines together with Enterprise Scan, means it is intended only
for documents manually scanned in with Enterprise Scan. Batch conversion of imported images is
expressively not considered a legitimate use of the software.

4.1.1.1 Support for Fiori Web User Interface

This section lists the specific restrictions for the usage of the Fiori Web User Interface.

The list of supported client platforms depends on the SAP Front-End Server on which the Fiori Web
User Interface is hosted. See SAP’s Product Availability Matrix (PAM) at

If integrated into the Business Center Fiori Web User Interface for business object browsing, then

The Business Workspace Fiori app uses the integration widget of the Smart View of OpenText™
Content Server. Therefore, the basic restrictions of the Smart View apply. Please read the chapters
about mobile platform support and client platform support in the Release notes of OpenText™
Content Server for more details.

SAP Fiori Web User Interface restrictions

Android devices:

It will work as stated by SAP in their product availability matrix with Android 4.4
browser or Chrome for Android browser. Due to the variety of hardware specific
implementations of the Android OS it is not supported in general.

MOB SAP Fiori Client:

• The usage of the Business Workspace is not supported.

• The usage of the Business Documents is supported. But document


display normally opens a new browser tab. In the case of the mobile
SAP Fiori Client, the display switches to the document and after closing
the document the display returns to the original Fiori app and also
refreshes it.

Server Platform Support Matrix


Note that databases are supported on any operating system platform supported by the database
vendor. It is not required that the database be on the same platform as Content Server. Databases
which have a client component must have that client supported on an operating system platform
supported by Content Server.

Please also take into consideration your intended deployment scenario. Often, not all components
are installed on the same machine and, thus, different server operating systems and database
systems might be used for the installation of the complete solution.

Some components, like OpenText Archive Center, may support more platforms than the Content
Suite Platform. For component-specific details, please refer to the respective release notes.

OpenText™ Extended ECM for SAP® Solutions supports the same server OS and server database
versions as OpenText Content Suite Platform. For detailed information, please look at the following

Virtualization Support
OpenText Content Server is supported for use with the server operating systems listed in the
previous section. The supported server operating systems may be installed on physical or virtual
hosts. Customers that choose to use a virtual environment are encouraged to select a virtualization

platform intended for production systems and known to be fully supported by the server operating
system vendor.

Please note that Content Server is a resource-intensive application and will require at least the same
amount of resources in a virtual environment as it would in a physical environment. Therefore,
additional resource scaling may be required to maintain the same level of performance in a virtual
environment as observed in physical environment.

Microsoft Office Support


Content Server 16 supports storing, indexing, viewing, and thumbnail generation of the files
generated by the versions of Microsoft Office in the table below.

4.1.6.4 Fiori UI Support

SAP Fiori apps of OpenText™ Extended ECM for SAP® Solutions 16.2 require a minimum SAPUI5
runtime version 1.38.9.
Though, this is not enforced by import conditions. SAPUI5 1.3.8.9 is based on SAP_UI 750.

• Read SAP Note 2227501 about the minimal installation requirements for SAP_UI 7.50
• Read SAP Note 2361404 regarding SAPUI5 upgrade to version 1.38.9.

They also require the SAP Fiori Apps of OpenText™ Archiving and Document Access for SAP Solutions
16.2 (Add-On OTEXBASF 1620_700).
The OData services need either the enablement component IW_BEP 200 or the gateway foundation
component SAP_GWFND 740 on the SAP Back-End server. See Table 11 for detailed requirements.

5 Requirements for SAP Applications
OpenText™ Extended ECM for SAP® Solutions is built on SAP standard technologies that are used in
most of the SAP applications. This chapter lists the required SAP standard technologies. This list is
useful for all who want to check whether an SAP application or a specific SAP transaction can be used
in combination with OpenText™ Extended ECM for SAP® Solutions.

5.1 List of Requirements


WSP = Relevant in the context of the business workspace concept
REF = Relevant in the context of the business reference concept
RM = Relevant in the context of the records management concept

• SAP Business Objects [WSP, REF, RM]: OpenText™ Extended ECM for SAP® Solutions relies strongly
on the concept of SAP business objects. For each entity, e.g. a material, a business object type
maintained in the SAP business object repository is required (transaction SWO1).
o Requirements for the business object type:
▪ Application runs on ABAP stack
▪ IFSAP interface implemented
▪ IFARCH21 interface implemented [RM only]
▪ Triggers SAP business events for creation and change
• The events need to be called after commit call
• Alternative: usage of change document (see transaction SCDO or table
TCDOBT)
▪ Reasonable key definition of the business object [WSP, REF]
• Data Access [WSP, REF, RM]: Document property providers and/or workspace property providers
have to be written for each business object type/document type as part of OpenText™ Extended
ECM for SAP® Solutions implementation. Document property providers and workspace property
providers need access to the data and the relationships of a business object. BAPIs for this data
access with good performance make the implementation easier.
o Alternative: Usage of ABAP SQL for access to the data
• User Interface Integration [WSP, REF]: The general way of UI integration into SAP transactions is
based on the GOS (Generic Object Services). Therefore, the GOS needs to be available in the UI of
the transaction and the business object needs to be published to the GOS.
o Exception: OpenText™ Extended ECM for SAP® Solutions 10.0 SP1 (and higher) provides
for CRM 7 an UI integration via CRM assignment blocks and a tab integration into the CRM
interaction center
o Exception: OpenText™ Extended ECM for SAP® Solutions 10.0.0 SP1 (and higher) provides
for SRM 7 an UI integration via WebDynPro components
o Alternative 1: OpenText™ Extended ECM for SAP® Solutions provides a Web UI and an
ABAP Web Dynpro control for a business workspace and even an ABAP API. Therefore,
specific UI integrations can be programmatically achieved in case the SAP transaction

16.2 provides a SAP Fiori app for business documents. Both apps can be programmatically
integrated into other SAP Fiori apps.
• Business Policies [WSP]: Business policies rely on SAP roles and SAP authorization objects.
Therefore, in order to use the business policy concept the SAP application has to use authorization
objects and the customer has to maintain SAP roles
• Search Help [WSP, REF]: Manual selection of business objects relies on SAP search helps. For these
scenarios it is necessary to define SAP search helps.

6 Installation and upgrade notes
This section provides additional installation and upgrade information, including related or third-
party product information and any required critical patches.

Note
Should you need several servers of the same kind (e.g. Content Server, Archive
Server), please never attempt to duplicate a virtual image installation. This approach
is not supported and could lead to severe issues. Always install additional servers
from scratch.

6.1 Installation Notes


Before installing, review these additional installation notes and verify related product or third-party
product requirements.

Warning
Installing Content Server modules on Linux may require manually granting more
permission of the module files in the Content Server staging directory before
proceeding further.

The Extended ECM Web Services ensure communication between SAP Server
and OpenText Content Server. Extended ECM Web Services support Tomcat
8.5 only.

BC Set Activation

OpenText™ Extended ECM for SAP® Solutions - Installation and Upgrade Guide (ERLK160200-00-IGD-
EN-1) lists SAP notes, which have to be applied to avoid issues with the activation of Business
Configuration (BC) sets. If you still experience errors when activating BC sets, even if you did as

6.2 Content Server 16 License Keys


Please read Content Server licensing 16 FAQ on OpenText My Support to learn about Content
Server 16 license keys/files.

For customers of SAP Extended ECM by OpenText, a temporary license key is provided on the SAP
Services Marketplace under the name “Content Server License Key”.

6.3 User License Type Assignment


OpenText™ Extended ECM for SAP® Solutions 16.2 has functionality to gather specific licensed user
data, like product-related license types and usage statistics, from both Content Server and SAP
server. On the SAP server, a license report consolidates this information.

On the SAP server, one creates roles using the J_6NLC_TYP authorization object to assign license
types to users. Every licensed user must get a license type (e.g. full, professional, occasional). The F4
help of the /OTX/CLTYP field of authorization object J_6NLC_TYP provides the complete list of
available license types.

On Content Server, one uses the administration of users and groups to assign license types out of
the Extended ECM license list. Every licensed user must get a license type, either directly or by
belonging to a group that has a license type.

An example of type is “OpenText Extended ECM - Named User (ID = OXECMF)”. This type indicates
usage of OpenText Extended ECM.

6.4 Language Installation


The master setup installs the English version of the software components that are part of
OpenText™ Extended ECM for SAP® Solutions 16.2. Other languages are available as language packs
or language module versions on OpenText My Support.

Notice: For all components except Enterprise Connect Framework, installing the English version is a
pre-requisite to installing a localized version.

6.5 Upgrade notes


Before upgrading, please review these instructions.

Upgrade Planning
Open Text highly recommends that customers thoroughly plan each upgrade. Please get in contact
with an Open Text Professional Services or with SAP / Open Text Support when considering
upgrading.

Before executing an upgrade on a productive system, please consider to do the same upgrade on a
dedicated test and/or quality assurance system. It is also highly recommended to do a database
backup before the upgrade.

CAUTION
Extended ECM for SAP Solutions 16.2.4 (16 EP4) does require that Content Server,
Archive Center, and Enterprise Library be upgraded before SAP. See Section 7 for
details.

Note
When upgrading the Extended ECM for SAP Solutions SAP component from 10.5
SP1 to 16.2, one must recreate the SOA Manager entry for the Extended ECM SPI.

Note
To properly upgrade Enterprise Library Services from 10.2.2 to a higher version, you
need a tool that exports all existing document IDs from Content Server into two text

OTX/RM_USER is the standard role for Extended ECM users. As alternative to using the
/OTX/RM_USER role, SAP administrators can also grant authorizations as follows:

• In authorization object J_6NRL_WSC, set field /OTX/RMWAC to “00” for granting access to
business-workspace-related functionality.
• In authorization object J_6NRL_DOL, set field /OTX/RMDAC to “00” for granting access to
business-attachments-related functionality.
• In authorization object /OTX/RM, set field /OTX/RMACT to “00” for granting access to record-
management-related functionality.
• In authorization object S_GUI, set field ACTVT to “60” for granting access to drag-and-drop
functionality in Business Content Window.

• In authorization object J_6NRL_LFS, set field /OTX/RMLAC to “00” for granting access to the
Local File section in Business Content Window.

6.6 OpenText Vendor Keys


When to use exchange packages?
SAP Basis 620 and 640 were discontinued in version 10.5.0. Therefore, from version 10.5.0 no
exchange upgrade packages are delivered. And when upgrading from those releases, please consider
to do an upgrade to ERP 6.0 or higher with the exchange packages of version 10.0 and then to do an
update to 16 on the target release.

When to use Attribute Change Packages?


You need to install Add-On packages on a release, which is expected to be supported, but the import
conditions do not match. Then please check, if Attribute Change Packages (ACP's) are available.
Also, following the recommendations of SAP (as in SAP Note 1324996) SAP Release updates or EHP
updates shall rather be supported by ACP's than by vendor keys. Starting with target SAP NetWeaver
release 702, this is supported by SAP.
Furthermore, in the case of Support Stack updates on newer SAP Releases, the Maintenance
Optimizer (MOPZ) is used to install new support package stacks. During this process MOPZ checks
the import conditions of already installed Add-Ons. Certain conditions, like dependencies to the
NetWeaver Release are implicitly checked for downwards compatibility. Other import conditions
must match exactly. Furthermore, the tool does not offer a phase to choose a "KEEP" followed by
entering the vendor key.
But MOPZ considers the Attribute Change Package (ACP) during the maintenance process. In the
case you are no SAP reselling customer, you may not be allowed to download the ACP using the SAP
Download Manager.
In this case, please refer to the chapter Attribute Change Packages (ACPs).

When to use vendor keys?


You already have installed Add-On packages of version 16.2 on an SAP System with SAP NetWeaver
7.0 to SAP NetWeaver 7.5. You have to upgrade to a new SAP Release which still is based on SAP NW
7.xx. Then the Add-on exchange package cannot be used. And you didn't get an ACP to match the
import conditions. In the upgrade phase IS_SELECT please choose a "KEEP" upgrade. In this case the
upgrade tool asks you for a vendor key.

Where to obtain ACPs?


According to SAP Note 1119856 ACP's are usually delivered in an integrated manner or you can
download ACP's from the SAP Service Marketplace.

In the case of OpenText Add-On (OCS) packages, OpenText is entitled to create ACP’s on their own.
Therefore it can be, that SAP will not make ACP’s available to SAP reselling customers.

Therefore, ACPs of OpenText™ Extended ECM for SAP® Solutions will be made available to all
customers in the patches area of OpenText My Support (https://knowledge.opentext.com)

In the case you would expect an import condition in an ACP, which is missing, please get in contact
with OpenText Customer Support. In the case, the missing import condition is a valid request, then
OpenText development can add this.

7 Patches
A patch is a piece of software that is designed to fix or improve a computer program or its
supporting data. These may include repairs to security vulnerabilities or resolution of bugs, and may
also improve usability or performance. On OpenText My Support you will find two general types of
patches. Hotfixes are also known as quick-fixes or bug fixes. Updates are also known as service packs
or service releases.

Content Server 10.0.0 update 6 reintroduces Content Server domains. Such


domains are not compatible with OTDS and therefore not compatible with
Extended ECM.

Records Management for ArchiveLink Documents and Print Lists

Type restriction during re-assignment of ArchiveLink documents

An ArchiveLink document can be re-assigned to a different business object. This


can be necessary if a document e.g. an invoice is linked to a wrong finance
document. During a reassignment of a record to a different business object, the
metadata and the record management settings are recalculated and updated. All
the metadata and records management settings from the first business object are
lost.

Fixed in 16.2.4 (16 EP4)!

Type restriction and update behavior during multi-assignment of ArchiveLink


documents

An ArchiveLink document can be assigned to many business objects. During an


additional assignment of a document to another business object, the metadata
and the record management settings are recalculated and updated for the new
assignment. All the other metadata and records management settings from the
other business objects are lost.

Caching and re-using results of filtering

The results of filtering by policies are cached; the default time frame for reusing
the filter results is 100 seconds.
The following setting can be added to opentext.ini to change/deactivate the
caching:

The digit specifies the time frame in milliseconds; the above example would set
the cache re-use time frame to 10 seconds. If you want to deactivate the cache,
set the value to 0.

Virtual folder incompatibility

Workspace sidebar does not display Document Workflows initiated within bub

Updating attributes with the Object Importer fails to update the Workspace

Workspace group mapping, the permissions are not updated.

Enhanced functionality of Imaging Viewers (Windows Viewer, Java Viewer, Web
Viewer) like notes and annotations are supported only in scenarios that call
directly the viewers, e.g. inside SAP UI Generic Object Services or Content Server
viewer integration. If the viewers are called indirectly via MIME type then the
enhanced functionality is not available.

FAX documents created through Content Server may not display correctly in the
External Viewers

Business Workspace integration in Business Center Fiori app (or in custom
Business Object Browsing Fiori app)

By default the Fiori Task App has a strict error handling (see Fiori Task App:
detailed error messages ) which may end up in an unrecoverable error.
In the case of the business workspace integration this is replaced by a relaxed
handling. This has the following effects:

• Advantage:
o Minor glitches in OpenText Content Server integration widget do
not lead to unrecoverable error messages in the leading Fiori app.
Instead the errors are written to the browser console.
Users can continue to use the integration.

o In the case of more major issues in OpenText Content Server
