Lesson 2: Introduction to SAP Business One

● ERP (Enterprise Resource Planning)


○ Business management software that allows to use a system of integrated
applications to manage the business
○ Aims to serve as a backbone for your whole business.
○ ERP software integrated all facets of an operation, including:
■ Product planning
■ Development
■ Manufacturing processes
■ Sales
■ Marketing
○ This makes the information needed of one business that uses the software
on a real-time basis thus facilitating efficient and timely decision making
which is very important to businesses.
○ SAP is an ERP solution that provides its clients to manage the majority of
their business operations.
○ SAP is recognized as a world leading in providing ERP solutions because
of its diverse functionalities.
■ Leader in ERP market share
- And the one that invented the market to an extent is the
- German company SAP AG with its R/3 software.
- Other big players include:
- PeopleSoft Inc.
- Oracle Corp.
- Baan Co..
- NV and J.D.Edwards & Co.

● Advantage and Challenges of an ERP System


○ Implementing ERP Software
■ Advantages:
● Drive Standardization across the enterprise resulting in greater
operational efficiencies
● Enables greater focus on strategic activities
● Potential for rapid deployment of technology
● Shared IT development costs
● Simplify IT technical footprint

■ Challenges:
● Organizational change impact
● Perception of setbacks
● Discipline to maximize ERP software investment
● DIfferent implementation approach

-Challenges are more of how the organization could cope up with
the new system.
- There are instances that some organizations are resistant to
change.
- Because of this resistance, sometimes the company is
unable to maximize the full capacity in delivering their
services.
● Basic Navigation to SAP Business One

1. Open any web browser (e.g. Google Chrome, Mozilla Firefox, Microsoft
Edge, etc.)
- For better navigation, you may opt to use Google Chrome.
- For MacBook users, install Google Chrome and use this browser as a
default in navigating SAP Business One.

2. Input on the address bar
- On the web browser the URL provided by the instructor.

3. Press ENTER.
4. You will be directed to the SAP Business One log-inn page.
5. Select the company
- That will be provided by the instructor.
- (Note: You will be using the company for the entire duration of the
training. Don’t forget the company name provided to avoid confusions in
the next part of the lessons)
6. Log-in using the User ID and Password
- As provided, depending on the branch assigned to you..
- (Note: Do not forget your username and password for you will be using
these login details for the entire semester. Resetting and requesting login
details will require certain paper works/email and you may not be able to
navigate the lesson for a particular period of time. For your security, you
will be required to change your username and password in the next part
of the lesson)
● Basic Navigation to SAP Business One- User Interface: Menu & Toolbars

i. Menu Bar
● Displays at the top of the screen.
● Contains the Windows standard menu (File, Edit, W window, Help)
as well as generic SAP Business One functions.
ii. Toolbar
● Displays under the menu bar.
● Collection of icon buttons that grant you easy access to
commonly-used functions.
● The functions represented by the buttons are also available in the
menu bar.

● Basic Navigation to SAP Business One- User Interface: Modules Menu

i. Modules Menu:
● Navigation in SAP Business One is done using the Modules
Menu.
● It arranges the functions of the individual applications in a tree
structure.
● Contains a list of all modules with their related options.
● The menu options includes:
○ Arranged in the same order as the menus in the Main
Menu
○ Cannot be modified
○ May be inactive for unauthorized users

● Basic Navigation to SAP Business One- User and Password Maintenance


○ The users of SAP Business One are defined in the User-Setup window
○ To change the name of the user:
i. Go to the toolbar and click (My Personal Settings). User Set-up window
will appear.
ii. Change the name on the Username field with your own name.
iii. Personalize your [password by clicking beside the Password field.
iv. Input the old password, then input your personalize password on
Password field and Confirm field.
v. Click OK.
vi. Click Update.

● Basic Navigation SAP Business One- Branch Name Setting

i. Go to Administration > Setup > FInancials > Branches
ii. The Branches Setup Window will open. Look for the branch assigned to
you then change the Branch Name and Branch Name (Foreign) with your
own name.
iii. Update.

● Basic Navigation SAP Business One- Basic Customization

○ To set how certain parameters are displayed in SAP Business One on Cloud:
i. Go to Administration > System Initialization > General Setting
ii. On the Display tab, choose the following settings:
● Language: English (United States)
● Time Format: 12H
● Date Format: MM/DD/YYYY or MM/DD/CCYY
iii. Click UPDATE to save the settings. Click OK to exit the window
○ *Note: Font Size and Font Style is predefined on SAP Business One on Cloud
and cannot be changed. If you want to increase the font size, directly increase
zoom % of the browser that you are using.
