Online Event Management System

Abstract

Event management system is used to manage all the activity related to event. In any event
many service providers work simultaneously and it is very hard to manage these providers. It
is also important for event organizer that he has all the contacts details of these service
providers so that he can contact them any time to plan an event at given time. To manage all
these activity, we have developed this web application. To get success in the event
management business, user should have strong network contacts of service provider. These
contacts are essentially providers of specific services who can be mobilized quickly to
participate in any given event. To make an event successful event manager needs different
service provider like Sound systems services, Lighting providers, Canteen services, stage
construction and so on. In present system event company have to do all management work
manually. They keep all payment information on papers. There is no system to check the
past expenses on any event. To do this they have to check payment register and this task is
very time consuming and tiresome. Keeping all these problem in mind we have developed
this system. This system helps the event management company to manage their paper work
online and they can also retrieve report of last event they have completed. 
Objective of System
This is an Online event management system software project that serves the functionality of
an event manager. The system allows only registered users to login and new users are
allowed to resister on the application. This is a web application developed in PHP and Sql.
The project provides most of the basic functionality required for an event. It allows the user
to select from a list of event types. Once the user enters an event type (Marriage, Dance
Show etc), the system then allows the user to select the date and time of event, place and the
event equipment’s. All this data is logged in the database and the user is given a receipt
number for his booking. This data is then sent to the administrator (website owner) and they
may interact with the client as per his requirements and his contact data stored in the
database.

Problem Definition

Existing System
Currently Event Management is done manually. If any customer wants to organize event
such as Birthday Party, Marriage, Reception, Ring Ceremony than they have to contact
various event organizer and book the package of event manually. It takes lots of time of
customer because they have to search such event organizer and contact them individually.
This existing system is not providing secure registration and profile management of all the users
properly. This system is not providing on-line help. This system doesn’t provide
tracking of users’ activities and their progress. This manual system gives us very less security for
saving data and some data may be lost due to mismanagement.
Need for New System
In order to solve the disadvantages of existing system a new system is proposed to be
developed. It is going to be developed in PHP and MySQL.
Following are the advantage of New System:
(1) Customer can explore various event packages online by seating at their home or office.
(2) Customer can view services provided by event organizer.
(3) Customer can search for available date for their events.
(4) Customer can book their events online.
(5) Customer can give feedback for improvement in services and qualities.
Thus, we can say that New System is fully dynamic and, time saving and requires less man
power as compared to existing system.
SYSTEM ANALYSIS
 
Feasibility Study
A feasibility study is a high-level capsule version of the entire System analysis and Design
Process. The study begins by classifying the problem definition. Feasibility is to determine if
it’s worth doing. Once an acceptance problem definition has been generated, the analyst
develops a logical model of the system. A search for alternatives is analysed carefully.
There are 3 parts in feasibility study, they are:

A. Operational Feasibility
 Will the system be used if it developed and implemented?
 If there was sufficient support for the project from the management and from the
users.
 Have the users been involved in planning and development of the Project.

B. Technical feasibility
 Does the necessary technology exist to do what is been suggested? 
 Does the proposed equipment have the technical capacity for using the new system?
 Are there technical guarantees of accuracy, reliability and data security?
 The project is developed on Pentium III with 128 MB RAM.
 The environment required in the development of system is any windows platform.
 The observer pattern along with factory pattern will update the results eventually.
 The language used in the development is PHP, Servlets, Tomcat Server and database
as Oracle 8i.

C. Economical Feasibility
 To decide whether a project is economically feasible, to consider various factors as
cost benefit analysis, long-term returns and maintenance costs
SCOPE OF THE PROJECT

The scope of the project is just limited to a laptop or a pc with an internet connection.
Firstly, the user, need to register to the website. After the registration process is completed
each one of them has to enter a password and their own user ids. With these two they can
access their account and for any query they can contact the administrator by sending him a
mail.
