What is your back up plan if files are destroyed
………………………………………………………………………………….
How do you prevent files from being lost or destroyed

………………………………………………………………………………………………….
How often do you update your data

In what format do you keep your files in order
How many people handle the processing of the information?
Questionnaires
YES NO
Are the files stored at the administration office
Does the administration verify the data recorded
Is storage in form of cabinets only
Does any one look after the stored files
Questionnaires: Open Questions
If files become hard to maintain because of the number what do you do
On a regular basis how long does it take to locate needed files
In what order are files stored
Is missing information when recording investigated
How do you process the data inputed
How long does it take to store process the information
BROAD DESCRIPTION OF THE EXISTING SYSTEM
Input : Agricultural inventory such as number of equipment and how many
crops we have is recorded on paper using ink.
Process : after our data is recorded on a piece of paper it is then compiled into a file constisting of many
inventory we have. Data recorded is analysed by the office clerk who will check if the data is correct or
not
Output: After all the collection of our data it is then then compiled into files
Storage : Files are kept in cabinets and are stored in the Administration office
Evaluation of the Existing System
Strength of existing system
Data can be corrected easily
It is easier to maintain
Files are protected if stored in a fireproof environment
Files can be kept safe by locking the room where files are kept
Weakness of the existing system
Files are prone to catch fire
Backing up data is not easy
There is high data redundancy
It is time consuming to look for files
Requirements Specifications
Software
Database – used for recording our recorded Inventory
Visual basics .net for programming our management system
Application software for example Microsoft word 7
Utility software e.g Smadav to protect our project from virus
Operating System allows our system to function
Hardware
Monitor
C.P.U
Keyboard
Mouse
Aims of the system
To be improved than the previous system
Faster and more efficient
Must be user friendly
Must leave the system users pleased
Objectives of the system
Must be time saving
Inventory to be recorded in an understandable order
Must easier to understand to the system users
Reducing and allocating errors
Must contain all data needed
To have a back up system incase of data loss.
