PROJECT TASK 1

This assessment relates to elements 1 and 2 from this unit:

1. Develop staff rosters.


2. Present and communicate rosters.

This assessment addresses the following required skills and knowledge:

Skills
 Organisational skills to plan rosters to meet operational needs.
 Literacy skills to develop potentially complex roster documentation.
 Communication skills to consult with colleagues, ask questions and confirm requirements,
and listen, understand and interpret verbal and non-verbal messages.
 Numeracy skills to undertake planning activities involving dates, times and staff ratios.

Knowledge
 Factors to be considered when developing rosters, including legal or industrial provisions in
the relevant work context.
 Formats for the presentation of staff rosters and details to be included.

Case study: Develop a roster


Scenario
You manage a department of five full-time employees of equal seniority and ability, and each is
on the same hourly rate of pay. The names of your staff are Allison, Bernie, Charles, Donna and
Effie.

The following requests have been made to receive specific days off over the next roster period,
all of which you hope to accommodate if possible.

Allison: Requests all Saturdays off in February.


Bernie: Requests to be rostered off or on late shifts on Saturdays so he can watch his son
play cricket.
Charles: Requests the 13th to 16th February off (4 days) to attend his sister’s interstate
wedding.
Donna: Cannot work Sundays on the 7th, 14th and 21st February as her husband is overseas
on work and she has nobody to look after her young children.
Effie: Requests Saturday 6th and Sunday 7th off to attend a Greek cultural festival.

The enterprise requires two staff members for the early shift (0700 to 1530) and two staff
members for the late shift (1500 to 2330) from Monday to Friday and only one staff member per
shift on the weekends. A third staff member is required for a ‘swing shift’ (0900 to 1730) on
Fridays as it is typically the busiest day of the week.

1. On the next page you will find the completed first week of a four-week roster. You are
required to complete the roster for the next three weeks using the blank roster grids.

The rostering guidelines are as follows:

 No early shift directly after a late shift except in response to a request for a particular day off.

 Avoid late finishes and early starts around a single day off.
 Staff are to have two consecutive days off each week unless there is a particular request for
time off.
 Staff are not to work more than 10 days in a row
 To be fair to all staff, try to roster each staff member on an equal number of early and late
shifts throughout the course of the four-week roster.

To assist you with this task, follow these steps:

(i) Use a pencil for this task, as you will need to continually adjust the roster until it all fits
together, as per the guidelines.
(ii) Pencil in all staff requests first.
(iii) Commence with the first employee and looking at the first week of the roster, continue
through to the next weeks paying attention to the times of their shifts and requested days
or shifts off.
(iv) Continue in the same way with each of the other employees making sure that the
enterprise requirements concerning the number of staff to be on duty at any one time are
followed.
(v) Remember that staff requests are just that, requests. The staff are employed on the
condition that they will be rostered according to the needs of the enterprise. However,
accommodating as many requests as possible will assist in keeping a harmonious
workplace.

tourism venue.)

Create an industry roster


Please complete either Part 1 or Part 2 of this activity and submit a copy of the finished product
to your trainer/assessor as evidence of your rostering abilities.

Part 1 (In the workplace)


For this assessment activity, you are required to organise with the manager and the person
responsible for drawing up the rosters at your workplace to work with them to plan and draw up
a roster for an entire roster cycle (weekly, fortnightly or monthly).

Part 2 (At a hospitality/tourism venue)


For this assessment activity, you are asked to organise with the enterprise owner, manager,
supervisor or rostering department at a local hospitality or tourism venue to see if you can work
with the person responsible for drawing up the rosters to plan and draw up a roster for an entire
roster cycle (weekly, fortnightly or monthly).

For Part 1 or Part 2, you are encouraged to be involved in all steps in the process including:

 Consulting with staff about availability and preferences (or observe the consultation process),
 Development of a roster that maximises operational efficiency and customer service levels,
combines duties where appropriate, effectively uses the available skills base, takes account
of cultural considerations and broader organisational policies, and fits within the guidelines of
the award or workplace agreement currently in place,

 Clearly presenting the roster to all staff needing information from it in the required format and
within designated timeframes,
 Monitoring the effectiveness of the roster in consultation with colleagues (staff and
management) and identify ways in which the roster and roster development processes may
be improved.

trainer/assessor.

Put together a portfolio of useful resources, industry contacts and information. Your portfolio will
be viewed by your assessor but should be retained by you for future reference. Below are some
suggestions of the types of information you might like to include.

 List of useful websites relating to rosters, rostering, pay scales, awards and certified
agreements.
 Copy of the award or workplace agreement used in your enterprise.
 Specialist roster software providers’ brochures and flyers.
 Relevant newspaper and magazine clippings relating to rosters and rostering.
 Samples of standard, customised and general rosters prepared by you or others in the
workplace.
 Copy of timesheet pro forma, roster request form, leave application, or any other roster
related documentation used in the workplace.
 Any other useful resources related to rostering.
