Introduction - What’s new in version 2.0
The new teacher portal gives you improved tools to manage your schedule and class registers, and
adds new features to enable you to access student booking and academic profiles, as well as full
syllabus information and resources.

Portal access
You should access the portal through the following URL’s.

From June 1st 2015 you will no longer be able to log into the old teacher portal using the student
login page. Any active teacher trying to do this we will automatically redirected to the new portal.

Note on terminology:
Zone: you will see references to your ‘zone’ rather than your centre of country. A zone is a group of
centres within a country, and myClass students may book and attend classes in any of these centres.
If you are teaching in multi-centre zone you will access to all student profiles and syllabus
information for all centres in your zone.

mySchedule
Logging in
You can log in with either your British Council email address, or with a username (minimum 5
characters) that you can set after your first login in your myProfile page.

The main menu


The portal is divided into five sections:

 mySchedule: your schedule and class registers, and your home page
 Reminders (shown as the bell icon on the top right of the header): Reminders of incomplete
assessments and/or unmarked or partially marked class registers
 myCourse: the full syllabus for your zone
 myStudents: booking and academic profiles of all students in your zone
 myProfile: the profile and profile photo published on the student myTeachers page, and the
form to set or change your username and/or password

Your schedule
Your class schedule shows you your teaching schedule week by week. Use the navigation buttons at
the top to view upcoming or previous weeks, or use the date selector to select a particular date and
move to that week. To return to the current week simply click the ‘This week’ button.

Your weekly schedule is shown by default starting on Monday. If you want your schedule to start on
a different day, you can set this under myProfile.

The schedule shows classes for each day, and lists the Class ID, time, lesson (theme in brackets),
lesson number, level, room, and the number of students registered in the class.

The last column icon shows the register status and is the button to open the class register below the
schedule, just click/press and the selected class row will be highlighted in pink. For upcoming classes,
you will see the blue register icon. For past classes, a circular icon shows the register status:

A green icon indicates that student attendance has been completely marked
A half-filled red icon indicates student attendance is not fully marked

Your class register


The class register gives the Class ID, and lists all students registered in the class in order of
registration. The table below describes each of the columns.

Understanding the class register
(Number) Order of class registration
Student photo Students should be encouraged to upload a photo to help teachers with class
management. This can be done by the student in the myClass student portal
(under ‘Settings’), or using the myClass booking app which allows the student
to take, or select, a photo on their mobile device and upload it directly. Staff
can also add a student photo in the CMS.
Names First and last names. Click/press the name to go to the student’s full profile in
the myStudents section.
Sex M/F. N/K indicates unknown, please report this to your local team so that the
student’s profile can be updated
Class name The class name is the name the student prefers the teacher to use in class. In
many countries, students may have English names, nicknames, or shortened
forms of their names. The class name may be entered at registration or by the
student at account activation. You can also enter, or edit, the class name by
clicking/pressing the name or space and typing in the name.
LC Lesson count: the number of lessons the student has attended at their current
level, and the indication of progress towards completion of the level
TLC This Lesson Count: indicates the number of times the student has taken this
lesson. Students may often repeat a lesson. They receive a warning when
booking a lesson that they have taken before but they may go ahead and book
if they wish to.
SC Study count: the number of times the student has studied with you, at any
level.
Attendance Student attendance must be marked fully for each class in order for students to
progress their lesson count for the level. All students are marked N (Not
marked) before the lesson begins. At the end of the lesson all students should
be marked either P (Present), or A (Absent). Centres may also opt to use the H
(Half-class) to indicate that a student has arrived late, otherwise this button
will be hidden. Check with your myClass co-ordinator for local policy.
If you forget to complete attendance for a class, this is indicated in your
schedule (a red circular icon, see Your schedule), and in your Reminders.
Assessment The assessment column shows the student’s assessment status and launches
the assessment form. There are five status indicators:
 A(number) due: e.g. A3 due indicates that the student has completed
30 lessons and their 3rd assessment is due this class
 A(number) next lesson: e.g. A2 next lesson indicates that the student is
due for assessment in the next class they attend. If you are checking
the register before class and you see this status, the student will need
to be assessed if they attend the class.
 A(number):(Score): e.g. A3:8.2 indicates that the student scored 8.2 in
their most recent assessment, their third for this level.
 Blank: the student has not reached their first assessment (i.e. they
have completed less than 10 lessons

Lesson The lesson feedback form allows you to give your comments on the lesson to
feedback local and regional syllabus development teams, and contribute to the
improvement of the lesson and materials. See Lesson feedback for a full
description of the form. The form will be available for 7 days after you have
taught the lesson. The form can also be accessed from the myCourse page.

Printing the register


You can also opt to print out the class register. Clicking the ‘Print register’ button opens a printer-
friendly page with full class details, and all student information shown in the electronic register
except attendance. You should remember that students may book at any time right up to the
beginning of the class.

Assessment
When a student’s assessment is due, or in order to view a student’s assessment history, launch the
assessment form from the student’s assessment status in the class register.

The top section of the form shows the students profile photo, name, Student ID, and level. If you
want to find out more about the student before the assessment, click/press the ‘View student
profile’ link to open their full profile in the myStudents page.

The student’s assessment history is shown below this. The form opens by default with the student’s
latest assessment selected, or with the assessment form ready if an assessment is due.

The assessment buttons will appear green if the assessment has been completed (lighter green if
selected), click/press the button to see the results, the date, and the name of the teacher who
carried out the assessment. The button will appear red if the assessment is due.

When you have completed the in-class assessment, enter the student’s results in the form, and then
click the ‘Complete’ button. The student will receive an ‘Assessment posted’ notification (unless
they have disabled this option in their settings).

to the right of any of the score selectors (see
Figure 5).

The assessment alert


The assessment alert enables you to flag a
student for follow-up by your academic or
customer care team. If you select ‘Yes’ a
notification will be sent your centre’s assessment
alert mailbox, along with details of the student
and class for follow-up. Follow your centre’s
policy for use of this alert. If in doubt, check with
your myClass co-ordinator.

If you centre has chosen to use the extended
assessment for some or all student assessments, you will see a field to enter a written comment
below the assessment criteria. As it is usually not possible to complete this part of the assessment in
class, you should complete the assessment in two steps:

 Step 1: Carry out the assessment and enter the results for the six criteria in class, and then
click/press the ‘Save’ button. This saves the assessment for later completion and ensures
that the assessment will not roll over to the next teacher. No notification is sent to the
student yet.
 Step 2: Complete the assessment after class by filling in the teacher comment, and then click
the ‘Complete’ button. This completes the process and sends the notification to the student.

Incomplete assessments will be listed in your Reminders page along with their status. You can also
complete unfinished assessments from there. See Assessment reminders for more details.

Lesson feedback
Your feedback on lessons is highly valued by the content development teams in all countries who
work to improve the myClass syllabus. Teacher comments are collected regularly and are fed back
into the improvement of existing lessons, or the development of new ones.

After you have taught a lesson, the feedback button will be available under the class register, or on
the myCourse page under the lesson details, for 7 days. Click/press it to open the feedback form.

There are five areas for feedback – lesson aims, language focus, pronunciation focus, lesson task
and lesson materials. You do not have to enter comments for all of these, comment only on those
that you feel relevant. You can select the ‘Appropriate’ or ‘Inappropriate’ checkbox for each area. If
you choose ‘Inappropriate’, you must enter a comment in the field provided.

Reminders
The reminders feature helps you to keep your registers and assessments up to date.

Assessment reminders
Note: The assessment reminder is only used when a centre has opted to use the extended assessment
for one or more assessments.

Your incomplete assessments are listed on your Reminders page with the status ‘Saved’. You should
complete unfinished extended assessments within 24 hours of the class. If an assessment is not
completed within that time, its status will change to the red ‘Overdue’, and you should complete it
as soon as possible.

To open the assessment form and complete the assessment, click/press on the student ID. If you
want to return to the class register first, click/press the class ID and then open the assessment form
from the register.

Attendance reminders
If you have not completed the student attendance in the class register at the end of the class, the
class will appear in your register attendance reminders.

The circular icon in the first column indicates if the register has been only partially marked, has been
left completely unmarked. Click/press the class ID to go back to the register and complete the
attendance. The class will then disappear from the list.

Your centre staff can also monitor incomplete attendance or assessments in the Customer
Management System.

myCourse
Your myCourse page allows you to search or browse the complete syllabus in use in your zone. You
can also see who has, or is going to teacher particular lessons, and store your own notes about
lessons.

Syllabus search
You can search for any lesson using the pull-down search form, click/press the search icon at the top
right of the page.

You can search the titles, aims, and descriptions of all themes and lessons using keywords, or
alternatively select a level and select the lesson from the top-down menu. Click/press the lesson title
to go to the lesson detail.

Lesson details
Select a level from the top menu to view all of the themes available in your zone in the left column
menu. These are organised by product types (currently Core themes, Writing skills, and Grammar).
The list of themes will vary from zone to zone depending on local configuration of the syllabus.

Lesson audio
If the lesson has associated audio files, you can play these back, and view the audio transcripts, in
the teacher portal using the built-in lesson audio player. The number of audio files for the lesson will
appear on the lesson audio button. Click the button to open the player.

The audio files for the lesson are shown in a playlist below the player. Click on the file name to begin
playing. The audio transcript window is closed by default, click on ‘Transcript’ to the right of the file
name to open the window and see the transcript. Click the arrow up icon to close it again. Click
other the transcript link for other audio files will not affect the file currently playing.

‘Hide’ and ‘Close’ buttons

Use the ‘Hide’ button if you want to close the audio player window but continue playing the audio
file. To reopen the window, simply click the ‘Lesson audio’ button again. Clicking the ‘Close’ button
will close the window and stop the audio file currently playing.

Version history
The version history for a lesson can be viewed by clicking/pressing the ‘Version’ button. The version
history includes notes on the changes made in each iteration of the lessons, and title changes, along
with the date of release.

Lesson feedback
The lesson feedback button opens the feedback form (See Lesson feedback for details of the form).
This can also be opened from the button below the class register. You can enter feedback up to 7
days after you have taught the lesson, after which the feedback button will be disabled.

Teacher’s notes
You may record your own notes about any lesson using the form below the lesson details. This is
saved as a single note and you edit or add to it at any time. Your notes are only visible to you and
cannot be viewed by other teachers or centre staff.

Who has taught this lesson


Below the lesson details, the ‘Who has taught’ table shows which teachers have taught this lesson in
your zone, which teachers are scheduled to teach it in the future, and your own class history for this
lesson.

myStudents
In your myStudents section, you can view profile of any student in your zone. The profile includes
basic account details – start and expiry date, and credit balance – as well their progress indicators –
the Learning Index and consumption rates (see Student profile). You can also view their complete
booking and assessment history, and any notes recorded for the student by your centre’s customer
care team.

Student profiles can be accessed from the class register (click/press the student’s name), the
assessment form (click/press ‘See student profile’), or by using the pull-down search form on the
myStudents screen.

Student search
Click on the search icon (magnifying glass) at the top right to pull down the search form.

You can search using part of, or the whole, student ID or the student’s name. You can also filter by
level and ‘home’ centre (see Student profile).

By default the search form returns only active students. If you want to also return students whose
accounts have expired, click the ‘Active’ switch and toggle to ‘All’.

If the search returns more than ten results, use the paging navigation below the form to move
through the results and locate the student.

To open the student’s profile, click on their student ID. To close the search form, click on the up
arrow at the bottom right of the form.

Student profile
The top part of the student profile shows the student’s key profile information. The left side shows
basic account information – level, student ID, home centre, and start date. The right side shows their
progress indicators – Learning Index, consumption rates, credit balance and expiry date. Below this,
their progress bars show the Lesson Count for their current level, and any levels they have studied
previously.

Notes on the student profile:

 Account status: The header bar showing level and expiry date is green if the student is
active, and red if their account has expired.
 ‘Home’ centre: A student may register in one centre in a zone, but they may take more of
their classes in another centre. In this case they may have this centre set as their ‘home’
centre so that it appears first when they log in a view the booking calendar.
 Credit balance: This shows the remaining credit, followed by the total credit the student has
purchased or has been awarded.
 OCR/ACR/RCR: These figures shows the student’s ‘consumption’ rate. It is important that
the student goes to class regularly, at least often enough to ensure that they use up all of
their purchased lesson credit during their period of study. These figures help us to monitor
that.
o OCR (Optimal Consumption Rate): This shows how many classes a week they need
to attend
o ACR (Actual Consumption Rate): This shows how often they are currently coming to
class. It’s made up of the number of weeks that have passed, divided by the number
of lessons attended (at all levels).
o RCR (Required consumption rate): This shows how often they need to come to class
in order to use their remaining credit. It’s made up of the number of weeks
remaining before their account expired diving by their remaining credit.

What to look for


Students may not be keeping a close eye on their progress and account status indicators, and certain
indicators may suggest a need for counselling or contact from the customer care team:

 A Learning Index below 7 – low assessment scores or insufficient attendance may cause this.

 Low actual consumption rate (ACR), below one class a week, or an excessively high RCR that
indicates the student may not be able to use up all of their credit in time
 A low credit balance or an approaching expiry date may also warrant attention.

Booking history
The student profile loads by default with the student’s current level selected, and the booking and
assessment histories for this level. To view the booking and assessment histories for previous level,
select that level on the left of the relevant progress bar.

The booking history shows all classes the student has booked. It includes absences, but it does not
include cancellations. Future booking are shown at the top with a pink background.

The left column indicates the student’s Lesson Count for each lesson for the level. Attendance is
shown in the right column, green indicates present, and red absent. If the student was assessed in a
class, the assessment number is shown instead, click/press this to go the assessment result.

Where a student’s attendance has been missed by a teacher and has not been marked, this is shown
also with a pink background and a grey attendance status.

Assessment history
The student’s assessment history for the selected level is shown under the ‘Academic history’ tab,
with the most recent at the top. If your centre is using the extended assessment, the teacher’s
comment is shown under the assessment results, and the right column will indicate the status of the

assessment (see Extended assessment). If you need to complete an assessment for a student, click
on the class ID to go to the class register and open the assessment form.

If the teacher has raised the student advisor alert when entering the assessment results, the bell
icon will appear to the left of the assessment status.

Notes
Sales and customer care teams can share information about students using the Notes function. The
number of notes recorded for the student is shown in brackets in the header tab. Teachers cannot
add or edit notes.

myProfile
Your profile page displays your published profile on the student myTeachers page, and also provides
the form for you to set or change your username, email address, and password.

Your profile
Your profile is shown as it appears on the student myTeachers page. You cannot edit the photo or
the text of your profile. If you want to change either, contact your myClass co-ordinator.

Your working week
If your working week starts on a day other than Monday, you can set your schedule to display a
seven-day cycle beginning with the weekday that you prefer. Select the day and click the ‘Save
changes’ button below the username/password form. Enter your password if requested.

Your login credentials


You can log into the teacher portal with either your email address or your username. You may enter
or edit your username yourself. Your username must be unique, and must be of at least 5 characters
in length and not use any character more than twice.

Your British Council email will be entered when your teacher account is created, but you may change
this. You should enter a valid email address that will allow you to receive automated alerts sent by
the system.

To change your password, enter your current password and then your new password twice.
Password must be of at least 8 characters in length and contain at least one number.

If you forget your password and cannot log in, you should contact your centre staff to reset it.
