The intended purpose of this paper seeks to address the required


essentialities of Online Grading System with Examination for Philippine Institute
of Quezon City and their role in school/community relations. The study finds out
that implementing an online grading System with Examination, properly
managed, can effectively and efficiently share timely information between the
school, students, and parents. The main objective of this system is to assist the
students by allowing them to take exam, so that student’s performance can be
evaluated. It thereby reduces a lot of manual effort since the whole process
can be performed through computerized manner. It is shown that this system
has several advantages over the manual grading and manual examination,
including scalability, real-time feedback on the status of grading, and reduced
potential for human error in compiling grades, the ability for course
administrators to easily review grading results and remove error from the score
set, the ability to return both provisional and final grades to the course faculty,
staff, and students in a timely manner. The researchers conclude that the
proposed system adequately met its objectives and that was accepted by the
intended users in all terms of its functionalities. A therefore, the researchers
recommend to the school to adopt Online Grading System with examination to
promote grade awareness and thereby improved the school’s grade
management system.

CHAPTER I
PROBLEM AND BACKGROUND OF THE STUDY
Introduction
The entire world is currently facing a catastrophic situation resulting from
the coronavirus disease 2019 (COVID-19) pandemic, which has affected the
daily lives of people worldwide. Since the World Health Organization declared a
pandemic on 11 March 2020, avoiding face-to-face activities and engaging in
social distancing have become a part of everyday life. Governments across
countries have initiated universities and higher education systems to
adapt to the new learning management. Here we are, still trying hard and
doing our best to finish our studies even though we know that we have been
through a lot in ourselves financially and emotionally. Still having faith and keep
on pushing amidst these hard times that we are now facing but a big thanks to
the modern technology, that we can continue doing our tasks and
responsibilities without going outside and can done it through online.

We are in a new era that technologies are everywhere. Technology is


one of the greatest tools for mankind and have a big part in our lives, it improves
our daily lives, make our tasks faster, easier, and convenient. Computer is one
of the examples of technology, computers are such integral parts of our daily
lives, therefore we must know what they are, and we should maximize its
potential functions. Modern day computers could follow generalized sets of
operations called programs. These programs enable computers to perform an
extremely wide range of tasks. Schools and Universities are now using a
computer in their convenient. The students are using this in their studies like in a
computer related subjects, researching projects or home-works. As a student,
Technology plays a vital role in our lives, especially in these hard times. We use
technology to do our research subjects, share ideas, learn specific skills and
done classes through online. 2

An online grading system is a system where professors/teachers can


create a report cards, list of students grades for each class that they are
teaching and can submit final grades, incompletes, and failed information. The
professors/teachers can encode grades online. Through this process, various
types of descriptive information and measures of students’ performance are
converted into grades or marks that summarize students’ accomplishments.
The increasing usage of computers in the mid and late 90’s gave way for the
birth of a new technological advancement that had assisted teachers and
professors to easily compute for grades, the digitization of spreadsheets. The
main advantage is speed, since no manual calculations are needed, and
confirmation of grade for any further necessary alterations can also be
performed more quickly than traditional means.

The Online Examination is a modern method conducting examination to


measure the knowledge of the students on a given topic. It will considerably
replace the traditional paper and pen-based exam in future. In present days, the
availability of the computers and the widespread nature of the internet has laid
a strong foundation paths for conducting most of the prestigious exams online.
The main objective of this system is to assist the students by allowing them to
take exam, so that student’s performance can be evaluated. It thereby reduces
a lot of manual effort since the whole process can be performed through
computerized manner. The online examination system is designed for
Educational institutes like Schools, Colleges, and private Institutes to conduct
logic tests of their students on a regular basis.

The proponents proposed an Online Grading System with Examination


for Philippine Institute of Quezon City. Using the system will enable the
teachers at Philippine Institute of Quezon City to conduct their examinations
and allows faculty to manage class grades and submit grades of their students
online. This will help their students become more aware of their grades and
examination. It will reduce and eliminate the amount of time of both teachers
and students.

BACKGROUND OF THE STUDY

The Philippine Institute of Quezon City, located at 62 Kitanlad St., Bragy.


Doña Josefa Quezon City. was born and established in 1964. The founder of
this plan is, Mr. Alfredo Matti, this school's academic program started on the
Elementary level for both English and Chinese classes. At this time, the schools
were only housed on two-story wooden building, yet the real foundation of the
school came from the hearts and dedication of its founding members led by the
first Principal, the Honorable Tan Chiu Zong, where the school was already able
to attract hundreds of students in its first year of operation. Since then, the
school progressed with continuous improvement of its curriculum, setting up the
institution to the pillar that the founders dreamt of. Through the years, the
school is very well supported by Mr. Francis Chua, the FCCCQC (Filipino-
Chinese Chamber of Commerce Quezon City) board officers and members,
Philippine Institute of Quezon City Board of Trusted, Philippine Institute of
Quezon City Alumni Association and many other kind-hearted philanthropists,
not only financially, but also with a strong moral support. The Current
Director/Principal of the school is Mrs. Lee Shu Hwei. 4

The research is based on the evaluations of the virtual interview using


Zoom. Mrs. Liezyl Tamayo, the Assistant Principal for academic affairs, by the
time she got into the institution back in 2009, they were using a Class Record
book to manage every student. Teachers used the book as a compiler of the
student’s attendance and activities such as quizzes and examinations so they
can compute their grades. Teachers also used Microsoft Excel as well to serve
as their back up. Teachers manually wrote in the student’s Report Card. Until
2018 came and they got their first Computerized Standalone Grading System.
The system automatically computes grades for them, and have it printed on the
Report Card. Teachers will have to put the general average of every student on
the system, then the Registrar will access the record and have it printed. The
Registrar can only do nothing but to keep, view and print the data.
Mr. Jeffrey Layva. Assistant Principal for Administrative Affairs and
Services, said upon the interview that they conducted a meeting with the School
Heads and Directors/Principal, and come up to a decision that they will not use
the system anymore due to its instability and unreliability that cost them a lot.
They have had enough, and they wanted to use a system that provides
productivity and proficiency especially this time of pandemic.

Since then, Philippine Institute of Quezon City has been continuously


upgrading its facilities starting up with the installation of air-conditioning units in
all the classrooms, renovation of the auditorium, putting up of laboratories,
libraries, dining areas, offices and many more. As of now the Philippine
Institutions of Quezon City have following.

Pandemic had turned almost every aspect of the school at once. It was
not just a move from classroom to mobile or computer screens. It also tested
the process and procedures. They availed the Microsoft 365 commercial
subscription mainly for their online classes and data storage. Microsoft Teams
is a proprietary business communication platform developed by Microsoft.
Microsoft Teams is a persistent chat-based collaboration platform complete with
document sharing, online meetings. This past school year 2020 to 2021, they
opt to use Google Classroom as their platform for examinations.

STATEMENT OF THE PROBLEM 6

The Philippine Institute of Quezon City’s current grading system is


a stand-alone computerized grading system. The school is using the system for
almost three years, but it does not work properly as intended. In our interview
with the Assistant Principal and Teachers, they mentioned that they received a
lot of complains from the parents for a sluggish process of grading system.
When the institute bought the system as a package, they can only install and
use it limited to 5 computers only giving the users especially teachers, a hard
time waiting for their turns. As a result, some teachers had trouble on meeting
their deadlines that caused them a delay on releasing the report cards. The
school also complained about the unreliability of the customer service. Every
time that they encounter an error, the school need to call the programmer or the
developer to have It fixed and it cost them a lot of time and funds because it
happened oftentimes. The client’s current grading system is offline and because
of that, it cannot be accessible online by their student and their parents. The
parents must go to school to get and view their kid’s Report Cards. Most of the
parents cannot afford to go to school because they were busy with either
business, work, or households. Worse comes to worst, pandemic happened,
and it is somehow impossible for them to go to school this time. The Registrar
encountered many errors in the printed file, because some of the student’s
name or grades are incorrect and did not match to the teacher’s input back up
file and the spacing of the letters and numbers are messed up. It is very
inconvenient for the teachers to take time and check it further and deeper giving
them anxiety of having incorrect and inaccurate report cards making the
school’s credibility at stake.

How to create and develop an efficient and faster online grading system
with examination for Philippine Institute of Quezon City?

that is accessible by the administrator and/or teachers?

STATEMENT OF THE OBJECTIVE
This study aims to create a system that will make all the online
processes for grades with examination of Philippines Institute of Quezon City to
be more accessible, easy to use, and faster, especially now that everyone
cannot go outside, and every transaction should be done through online.

Developing a computerized grading system with examination would


make the task of recording and computing grades easier for the teachers. This
will give the teachers the advantages that they needed to improve productivity
and proficiency. This improvement will also benefit the students in terms of
simplicity and accessibility for viewing their grades.

PURPOSE AND DESCRIPTION OF THE PROJECT


The purpose of this project is to create and developed an Online Grading System
with Examination that provides useful functions and features for teachers and
administrator of Philippine Institute of Quezon City. The pandemic disrupted
education and forced the School to rely on technology in new ways, especially for
all the teachers and students that are now managing to cope up the new learning
process. This proposed system will be useful and helpful for every student,
parents, teachers, and the administrator.

OBJECTIVES OF THE PROJECT


The objective of the project is to create and develop a system that will help the
school to conduct examinations and to have an easy way to manage the
students grades through online.

Significance of the Study


The proponent’s goal is to create a system that is useful and helpful to every
teachers and students so that they can still manage to have a better and
convenient online school process especially in grading and examination. This
proposed system was made to find out that the use of this system will lessen
the time for the transaction of encoding and releasing the student grades. Due
to the pandemic, a lot of Philippine Institute of Quezon City students and
personnel are struggling the new normal, this proposed system will help the
school regarding their grading and exam online transactions.

To Admin:
This study makes the administrators tasks easier and convenient.
Administrators have the highest privilege.

The School Administrators no longer have to re-compute the grades of


each student to check on their accuracy. Reports such as grading
sheets and class records can be submitted on time.

To Teachers:
The teachers can easily update their student’s grades.
Teacher would be able to record and compute for the grades of their
students faster thereby lessening their workload.
Teachers can easily conduct examinations through online.
To Students:
The students can save their time and can take their exams comfortably
and can easily know their grades.
To Proponents:
This study developed the proponent’s abilities, knowledge and to
enhance their skills in web development. It gives the proponents more
ideas and it helps develop their confidence in terms of interacting with
other people. It serves as a training in taking steps on our journey.
To Future Researchers:
This study could serve as their additional reference for a similar study. It
will give them an idea and a piece of information about how to create a
system like the proponents proposed system.
Access Computer College:
This study will be able to help the school by attracting incoming college
students and confident enough of showing the achievements and the
abilities of Access Computer College students. It will also serve as
reference or guide in creating a system.

Computer-Based testing (CBT/2013), sometimes referred to as Computer-
Assisted Examination, is perhaps the simplest application of computing
technology to the evaluation process. Basically, it consists of the transfer of

using a mouse or cursor, or by typing a letter or number. When programmed

Grades are sorted according to the dates they were entered to read first the
new entries about their grades. To use the service, the students will need to

Visual Basic is used as a tool for programming the functionalities of forms,

the thesis A Computer-Based Generic Registration System by Julius Ivan A.
Layos (2002), he stated that computers are known for their speed, accuracy,

must-have in a school. It is a best way of storing and computing grades of
students that provides easy way in getting the grades and to make the
procedure faster and efficient. The system incorporates a database that shall

to ensure the security and confidentiality of the system. The system can help
the students to get the information from the actual source at their own
convenient time through online.
RECOMMENDATION
The proponents have gone through system testing and evaluation of the
user, from this, the system had been considered as an effective tool, however
the system can still be enhanced and improve to the near future. Instructor, the
use of our online grading system may gain portable for them by the used by the
used of internet they can encode grades through online. Students the use of our
online grading system will help the students to inquire grades through online
