The Project and Its Background Introductions

This document provides background information on the proposed Barangay Sta Maria Health Center Records Management System project. It discusses how the current manual system is inefficient and aims to implement a computer-based system to improve patient services. The objectives are to design a web-based system to digitize health records and streamline operations, reducing paperwork and allowing more patients to be served. The scope is limited to computerizing existing patient records and files for easy access and storage, with login only for doctors. A conceptual model shows the input, process and output components of the proposed system.

CHAPTER I

THE PROJECT AND ITS BACKGROUND

Introductions

According to Qualman, (2018), in today’s information age, advancement of

technology change the way of life. It has made various positive changes in

almost every field whether it’s medical, business, education, sports or any field

you look into. Particularly in most medical clinic facilities, it has made a big

impact that enables modern clinics to serve many patients as possible.

As the years passed, the number of patients has grown and various

medical cases arise that the manual method of managing patients’ records and

prescriptions were moved into computer-based systems.

Barangay Sta Maria Health Center is using a manual system in terms of

implementing medical services. To improve their services to the

community, Barangay Health Management System is proposed to be

implemented in the said barangay. It is designed for keeping and monitoring

resident’s medical information in Barangay Sta Maria. By this, paper works and

manual record keeping will be minimize. Therefore, allowing the nurse and staffs

to feel at ease in keeping track of patients and increasing the number of them

served.
Project Context

As thebalance.com, Microfinance—also called microcredit—is a way to provide

small business owners and entrepreneurs access to capital. Often these small

and individual businesses don’t have access to traditional financial resources

from major institutions. This means it is harder to access loans, insurance, and

investments that will help grow their business. Essentially, microfinance is

providing loans, credit, access to savings accounts—even insurance policies and

money transfers—to the small business owner and entrepreneur. There are

many such enterprises in the developing world.

The YAH-MPC covers the city of Dolores Quezon province is one example

of a micro finance institution. The main office of YAH-MPC is located at the

Barangay Bagong Anyo Dolores Quezon. The founding of YAH-MPC was in the

year of 2005.

In the year 2008 YAH-MPC started to become a cooperative that helps the

members of their community by offering services they need it was also registered

at Cooperative Development Authority. The Bagong Anyo Multi-Purpose

Cooperative they prioritize being members is the small business since their initial

loan is only two thousand pesos, with an interest rate is fifteen percent every six

months, and their weekly deposit is fifty pesos, thirty pesos for savings, and

twenty pesos for family insurance. YAH-MPC has six hundred seven members

and twelve centers and steadily growing.

When YAH MPC was having a transaction with their members they use

manual work since they do not have automated system for their transactions, like

computing manually the saving, loans, releasing, and they have other things to

finish. Having a lot of members gives the YAH-MPC a hard time in calculating the

transaction of every member and it gave them a lot of paper works that makes

their work slow upon checking the status of every member. They have other

assistance task, the marketing pepsi cola, micro, tanglaw, YAH store in the

market and restaurant beside their office.

Project Purpose

The purpose of this study is to lessen the tasks such as keeping the health

records. The developers want to make the manual process to be faster, easier

that will improve the service of the cooperative.

To the staff of the cooperative

The research will help the doctor of Brgy Sta Maria health center lessen

the manual work like manually managing the health records of the patient. The

system shall be used by the user to easy navigate and manipulate the gathered

medical records from the patients.

To the members of the cooperative

The system will help them by minimizing their time in managing the

records of the patients. All of their health’s records will be save accurately and

efficiently.

To the future developers

The system will help the future researchers to have a guide and motivation for

their future study.

Project Objectives

General Objectives

This study aims to develop a web-based health - care records

management system to get out from manual process, and to implement a new

way of method to the center.

Specific Objectives

This study has the following specific objectives:

1. To design a web-based health care records management system.

2. To develop a system that has following features:

a. To avoid time-consuming tasks and help in monitoring the health records

of the patients.
b. To convert the manual process of loan and savings into an online

platform and minimizing the paper records.

c. To also generate reports when needed and can provide backup records

for all transactions.

d. Allows of registering new applicants for membership in the cooperative

by entering the required information into the system.

3. To test and evaluate the system.

4. To implement the system.

Project Scope and Limitations

In general, the focus of this study is directed towards the design and

development of an automated health management system. This study is largely

dependent on the information the barangay health record and keep. This

includes all the essential health records of all the residents of Barangay Sta

Maria.

The system is intended to the persons who have direct involvement in the

processing of health programs and other medical services of Barangay Sta

Maria. The study dealt largely on the recording the Patient Profile Information of

the Sta Maria. The study involves the patients’ personal information such as their

name, gender, birthdate, age, birthplace, status and occupation. While contact

information includes their contact number, address (purok), guardian and many
more. The medical history includes their weight, height, bloodtype, temperature,

blood pressure, sickness and medicines received.

Every consultation or any transactions of the patients will be recorded or

stored into a database including the updating of the patient health records, how

many patients accommodated daily.

In this proposed system, records and files are computerized and stored for

accessibility and portability. However, the proponents limit the feature of the

secure log-in system to the doctor only. Web-access of the patients is not

included.
Conceptual Model of the Project

The conceptual framework shows the possible courses of action of the

proposed system. This shows the primary resource of the entire proposed

system.

Feedback
Figure 1. Conceptual Framework of Barangay. Sta. Maria Web-Based Health Care -
Records Management System.

Figure 1 shows the conceptual model of the study that serves as a guide

for the developers in the development of the project entitled “Barangay. Sta.

Maria Web-Based Health Care - Records Management System” it is composed

of four components; input, process, output and feedback.

Input component consists of three sub components; the knowledge

requirements, software requirements and hardware requirements in relation to

the development of the study. The first component focuses on the knowledge

requirements, software and hardware components to finish the study. In

knowledge requirements the developers must have knowledge about the process

of Health Care in Barangay Sta. Maria and also knowledge about the software

and hardware that will be used in developing the system.

The software components are WAMP server and also sublime 3, and for

the requirements of the hardware are Computer set or a laptop with windows 7

and above, at least 2GB ram and 20GB of free hard disk or higher also a UTP

cable and a switch or router. After knowing all of the knowledge requirements the

next is the process components.

Process component is the series of actions taken in order to achieve a

particular goal which is developing a system for Health care in Barangay Sta.

Maria.
First sub component of process component is the requirement analysis;

this is the phase where the developers gathered detailed information and all

possible requirement of the system that they will develop. Second is the system

design; this is the phase where it helps the developers in designing the system

and how it should function in order to solve the current issue of health care in

Barangay Sta. Maria.

Third is the implementation; this is the phase where the developers apply

the inputs gathered in requirement analysis and system design. Fourth is the

testing; this is the phase where the developers test the system for them to know

if there is an error or bugs in their system that is needed to be corrected. Fifth is

the deployment; this is the phase where the developers deploy the system to the

client once it is done.

Lastly the maintenance phase; this is the phase where the client might

experience some issues about the system so the developers will be the one who

will check and fix the issue so that the client will have a better satisfaction on the

system.

Output component is the end product that is produced by the developers

which is the Barangay. Sta. Maria Web-Based Health Care - Records

Management System and the last component is the feedback where the clients

will evaluate the produced system.
