IT Project Management: Planning - Scope

The document discusses planning project scope management. It explains that scope management involves defining and controlling the work included in a project. The key processes in planning scope management are to plan scope management, collect requirements, define scope, and create a work breakdown structure (WBS). A scope statement describes the project's deliverables and boundaries, and forms the basis for the WBS. The WBS further defines the scope by decomposing the work into smaller work packages.

Learning Outcomes
— Explain the need for a scope management plan.

— Explain the principle of progressive elaboration in projects.

— Construct a scope statement

— Explain the principle of decomposition in projects

— Create a Work Breakdown Structure (WBS) that reflects

scope statement, through decomposition
Scope Management - PLANNING
Scope Management
— Scope refers to all the work involved in creating the products
of the project and the processes used to create them.
— Done after review of Charter/ Preliminary Scope Statement has
been completed.
— Project scope management includes the processes involved in
defining and controlling what work is or is not included in a
project
Scope Processes in Planning
Process Group
— Plan Scope Management

— Collect requirements

— Define Scope

— Create WBS
Project Scope Definition
— Product Scope: The sum of the features that
make up the product or service created by the
project.

— Project Scope: All of the activities and resources

required to produce the target product or
service.
Scope Statement - Purpose
— This describes project’s deliverables and boundaries.
— Scope statement is the basis for creating the work
breakdown structure WBS
— The WBS further defines scope through a process called
decomposition.
Scope Statement – Purpose (cont)
— Documenting scope allows project manager to define one
side of the triple constraint.

TIME COST

SCOPE
Scope Statement –Components
— Project scope description – characteristics of the product,
service or result

— Deliverables – verifiable product, result or capability to

perform service at the completion of the project

— Acceptance Criteria – list of conditions that must be met

before product, result or service is accepted.

— Project Exclusions – what is to be excluded from the project

Example Scope Statement
— “This project will create a marketing campaign that launches
a new toothpaste brand. The campaign will feature impactful
TV ads, engaging billboards, and sober newspaper ads”
Work Breakdown Structure
Work Breakdown Structure (WBS)
— The project must be broken down into manageable
segments of work.

— Each segment must be small enough to be accurately

estimated for effort and cost.
Work Breakdown Structure (WBS)
“ A deliverable-oriented hierarchical decomposition of the
work to be executed by the project team to accomplish
the project objectives and create the required
deliverables. It organizes and defines the total scope of
the project…”
PMBOK Guide, Third Edition Glossary
Decomposition
— This is the technique used to create WBS

— It involves subdividing the work into successively

smaller units until they can be reasonably:
qEstimated for work effort
qMonitored and controlled for progress
qAssigned for accountability
Work Packages
— Lowest level of WBS is called a Work Package

— Work packages are further broken down to form

an activity list
— Activity list becomes the basis for duration
estimates and ultimately developing a schedule
WBS Organization
— Can be organized by:
1. Product
2. Process
Product-Oriented WBS
— The deliverables are at the first level below
project goal
— Deliverables are then broken down into
components and sub-components
Process-Oriented WBS
— Project phases are at the first level below the
project goal
Phased Based WBS
WBS Formats

WBS Dictionary
— “The WBS dictionary is a document that provides detailed
deliverable, activity, and scheduling information about each
component in the WBS. The WBS dictionary is a document
that supports the WBS.”
— May include but not limited to:
— WBS code
— WBS element
— Description of work
— Assumptions and constraints
— Resources required
— Cost estimates
— Acceptance criteria
