Chapter I

INTODUCTION

PROJECT CONTEXT

Nowadays the number of school population of CTU Daanbantayan

campus is usually rising because of the rapid increase of students in our district.

CTU Daanbantayan campus have bigger students population compare to CTU

Extensions. Even the Night shift students extremely increasing, which leads to

the need of Dissemination of information with sms notification. Dissemination of

Information was one of the most needed to develop in this university because

some of them could not receive the Information. Team Glory decided to create

well managed data and information flow within a school that can help to build or

to strengthen the understanding and collaboration among all concerned persons

within a school environment with the help of Supreme Student Government.

PURPOSE & DESCIPTION:

Today the ways are still evolving in greater heights. The Information

technology professional and students tend to learn and discover more on how

computers have given advancement of society in this country. There are so many

universities adapting the old ways including our university.

The purpose of this project is to end one of those old ways especially the

manual dissemination of information of SSG to the students. It would be a great

help to the student with the use of sms notification because it can disseminate

the needed information through phones. And also it can lessen the wasted time,

efforts and paper works of supreme students government. The key to effective

dissemination is to match the means to the message and needs of the audience.

Although the traditional method of delivering legal information by “paper’’ still

have many advantages, but the mobile phones and internet is increasingly being

used. Its availability 24/7 means it is there when people need it.

Dissemination of information system with sms notification is the best tool

to deliver information but first the students will have to create an account to the

system that we’ve made in order to receive the information.

GENERAL OBJECTIVES:

The goal of this project is to use mobile technology as an instrument to

spread information in a convenient way. It is common for students to go the

notice boards for useful updates but now, many students own mobile phones and

thanks to Short Messaging Services or SMS, they can be notified easily.

Because of this, we grab the opportunity to make a system in collaboration with

mobile technology, making the SMS as a main media for acknowledgement to

meeting, examination schedule, instant messages and announcements –

student’s activities. With the birth of information technology and

telecommunication media, it expanded itself becoming mobile thus enhancing the

dissemination of information directly and more instantly.

SCOPE AND DELIMITATION

The general intent of this is to know the significant relationship between

the factor for using SMS and level of acceptance to the use of SMS on the part of

the students.

The study is delimited only for the students in Cebu Technological

University Daanbantayan campus of Daanbantayan. This research is designed to

assist in establishing the service management for the students by the use of

mobile technology to activate the dissemination of information to give them an

urgent information anytime, anywhere and anyhow.

SIGNIFICANCE OF THE STUDY

The findings of this study will contribute greatly to the benefit of the

school considering that mobile technology era offered many convenient ways in

communication today. When discussing about technology it is almost highly

related to communication. Communication is crucial since without communication

messages or information could not be delivered conveniently. The importance of

this study is to be delivered the information easily and it will lead this generation

to the better and brighter ways.

CHAPTER II

REVIEW OF RELATED LITERATURE

Introduction and Related Theories

The Literature and studies cited in this chapter presents the studies of both local

and foreign sources, this includes about the different concept, ideas, and

understanding, generalization or conclusions and different related to study of

Disseminating information through Short Messaging Services (SMS) notification

which serves as researchers guide in developing this project.

Related Study and Foreign Study Projects

According to Tomaz Smrekar Dissemination of Information in the pre-internet

period official statistics was first available in paper publication, computer printouts

and later on magnetic tapes and CD-ROMs. In time statistical tables became

more detailed and gradually more written material such us statistical analysis,

explanation notes on concepts, sources and methods, and charts were added to

facilitate user interpretation and maximization of the use of statistics. Due to

electronic data processing time series became available. The main users of pre-

internet period – researchers and government officials – were statistically

literate. Less statistically literate users such as journalist and the general public

were not major user groups at that time.

The Internet has introduced a revolution in dissemination, communication and

accessibility of official statistic in the second half of the 1990s.

Liah Shonhe (2017) said communication and information spread has been

revolutionized by technological breakthroughs and rapid advances.

Technological development has greatly changed the way in which information

stored and transmitted. Today libraries have acquired new roles and are making

use of various technologies such as mobile technology and social networks to

disseminate information services due to their ability to provide high speed and

effective access. Usage of Information Communication Technologies present

information seekers with variety of advantages such as; 24/7 connectivity, self-

service platforms, limited access and it is time saving.

As stated by Dutchie Riggsby (1999), the abundance of information that needs

to be disseminated to students about events in space exploration and the

theories and technology utilized maybe overwhelming to the beginning teacher or

lecturer. Educators are constantly faced with the problem of the most effective

and efficient methods for disseminating information to their students.

Jayakumar, C,; Narayanan, A. (1999), the advent of internet Technology and its

adoption by the organizations has resulted in the evolution of intranets. Intranets

ultimately use the technology to meet the information and computational needs to

achieved organizational objectives and goals. Important services like E-mail and

web are handly solution to disseminate information for research and special

libraries. The campus wide network and the creation of networked society are

ubiquitous and an attempt has been made to extend the information service to

the patrons by possible means.

Vimbai Rupere said that with several years since internet access has been

made available to users through the mobile phone, we are still under-utilising this

technology. In the midst of the hive of activity as dozens of people scramble to

get access to a copy of the constitution, various consitituencies could have been

texting, emailing, whatsapping, binuing several keys aspects of the constitution to

the communities. User education must also continue, but this is the least of the

challenges faced in making information dissemination. Info sharing should be

interactive. Monitoring of technologies and trends that transform society is easier

managed by making information dissemination interactive, e. g send text to short

code to request, complete online form to request info, etc.

Sattler DN(2011), the different characteristics of each information dissemination

medium have been studied in different fields. That an effective message could be

issued by a credible source and transmitted in a quick and stable way through

warning message transmission by cellphone and email.

Local Study Projects

According to the study conducted in 2016 by Ramil G. Lumauag (Ed.D.). Mobile

phones are now considered as essential part of people’s daily lives which is used

for communication and provides diversified information. The used for

communication and provides diversified information. The use of mobile phone is

not only limited to communication alone, but now used for subscription to value-

added services like disaster warning, alert systems, and notification. The

development of School event Notification through SMS (SENT SMS) is beneficial

to student, teachers, and parents in receiving first-hand information from the

school right into their mobile phone. With the use of SMS notification students will

be notified with the upcoming events of the school, changes in schedule of

events, and suspension of classes due to bad weather. Teachers will be notified

for schedule for meetings, emergency meetings, and deadlines of requirements.

SMS have been developed with different demands and create a new approach

for interaction and communication. Educational institutions are expected to

extend their services through mobile phones by providing easy access of

information to students, teachers as well as parents. The development of school

event Notification through SMS offer remarkable improvement of communication

between students, parents, teachers, and school through timely delivered SMS

messages.

Marrero (2009) in his study entitled “Student Information System for the

University of the Cordilleras” stressed that the concept of Information Systems

(IS) emerged in the early 1960s. More often, when information system is defined, the field

Information Science is always associated, IS is an academic field that deals with the

generation, collection, organization, storage, retrieval, and dissemination of recorded

knowledge. Furthermore, it is a collection of related components designed to support

operations, management, and decision making in an organization. Generally, IS is supposed

to inform people. Information System supports people or users in making intelligent decisions

based upon the information derived from reliable data.

Local Government Unit Information Dissemination System (LGUIDS) is an

LGU deployed system that enhances information dissemination and data

collection of (1) disaster-related bulletins from PAGASA, PHVOLCS, RDRRMC,

MGB and other disaster/emergency advisory agencies, (2) farming and fishing

updates from DA, BFAR, EMB and (3) community announcements such as

suspension of classes, community activities such as town fiesta, festivals, jobs

fair, public bidding, etc. The LGUIDS generates a visual representation of near

real-time weather parameters from DOST hydrometeorological stations. The

system also serves as repository of local government officials, farmers,

businesses, schools, residents.

Local Government Unit Information Dissemination System (LGUIDS) is an LGU-

deployed system that

 disseminates weather bulletins, earthquake information, tsunami alerts,

volcano advisories and community-concerned announcements

 collects of up-to-date hydrometeorological data from locally-installed

equipment

 generates a visual representation of the weather parameters in the region

 serves as a tool for reporting of onsite situation

 stores contact details, hazard maps, IEC materials, etc.

Junah Loriross Digal said an effective information dissemination system is

important in every organization. This paper examines the Information

Dissemination System (IDS) of the University of Immaculate Conception in terms

of media tool, quality and clarity, and timeliness. A researcher-made

questionnaire was used to evaluate the IDS and it was found that the information

for the entire studentry of both campuses, Fr. Selga campus (main) and Annex

campus (Bonifacio), are publicized through three different media tools– bulletin

boards, sound systems (IC Radio for the Annex campus), and UIC website.

CHAPTER III

TECHNICAL BACKGROUND

Technicality of the Project

Hardware. The hardware devices that we used are: Mobile phones,

desktop computer and flash drives which are used as a medium to create the

project and transfer files from one computer from another. These technologies

are essential in the development and success of the project.

Software. The software that the developers used are XAMPP, Google

Chrome, Microsoft Word, Microsoft Visio, MySQL, PHP, and Sublime Text 3.

They are used primarily to create the system, document it, and making the

diagrams during the development of the system.

Netware. Are the applications that the developers used during the

development of the system. In this system, MySQL, PHP are used to handle the

system’s database relationship and queries.

Peopleware. The individuals that are going to use the system are the

ones who are assigned to serve in the accreditation that is required to

accomplish and submit certain documents regarding the accreditation that is

going on. These individuals are the following: Quality assurance/overall team

leader, area team leader and the focal persons.

Details of the technologies to be used

Hardware. The components that were used during the development of the

system are:

A desktop computer is used by developers to

develop the project during its creation period. It

was also used as a medium to put together all

necessary information for the documentation.

Flash drives is used when the developers are transferring files between

one computer to another and keeping a backup copy of the system’s

important files.

A mobile phone is a telephone with access to a cellular

radio system so it can be used over a wide area, without

a physical connection to a network.

Software. The software that the developers used are:

XAMPP. An open source cross-platform web server which is

used to handle the system’s database.

Google Chrome. A free web browser used as a platform for

thesystem to run and was used in the development of the

system to observe how the system look and behave during

its development.

Microsoft Word. Is used for encoding the documentation of

the project.

Microsoft Visio. For creating diagrams for the documentation


of the system such as activity diagram, system flowchart, and
etc.

Sublime Text 3. Where the developers encode their codes

for the system to be complete and working.

Netware. The applications that are used during the development of the system

PHP. The programming language that the developers

used.

Peopleware – The individuals that are going to use the system are:

CHAPTER IV

MATERIALS AND METHOD

Environment

Clients appreciate this project prescriptions, suggesting that this is a tool

that both students and teachers can use to improve the Dissemination of

information. This project is reliable with the use of Internet and suggests

several opportunities for users to become more proactive and advance in

technology of the society..

Dissemination of Information System mission is to enrich and maintain the

paperless environment, and thereby improve the ability of the students in

technology, while providing users with a safe and hassle-free work environment.

Create a truly team centered work technology in which users take pride in their

work and are excited to contribute their time, passion, and ingenuity to the

success of the society.

When you're a regular students or employee at University, you'll never feel the

need to go anywhere else for distributing and receive the needed information. All

you need to do is use the Dissemination of Information System with SMS

notification. This System will offer a services to handle the needs of your users

satisfaction.

LOCALE

The proponents conducted the research at Cebu Technological

University―Daanbantayan Campus. The University is located at the Northern

Province of Cebu that is the Municipality of Daanbantayan. It takes three and a

half hours to four hours’ drive on average by the public utility vehicle.

Methodology

The method used in this study was the descriptive survey method. The

researchers used questioners as the main source in collecting data. Students

were also asked to give their views, opinions and recommendations regarding

this study. In this way, the researcher collect richer information and it helps to

improve the process of disseminating information.

Research Respondents

Due to the pandemic, the researchers got at least 20 respondents.

The respondents were identified immediately after they’ve done filling the survey

questionnaire.

University Daanbantayan Campus.

Work Plan

Conducting this study the researchers need to develop a work plan to

accomplish those goals. Researcher create a work plan that will help them

manage their time as researchers cannot spend all day writing. Action Plan is a

detailed plan, a form of learning to reach those goals.

Requirement Definition

Requirements Definition is an art and a science. It requires analysts to

work very closely with users and to draw on their communication and technical

solution. One of the major pitfalls is to “leap to a solution” with an inadequate
