General Functions:

Under and the direct supervision of the National project officer, Project Assistant will work closely with POE
Filed Officers providing day-to-day programme and administrative support to the team. The incumbent is
responsible for supporting and implementing activities as outlined below.

Responsibilities and Accountabilities:


1. Provide overall day-to-day administrative support to the POE field officers and Project officer
2. Assist in organizing trainings to health and border management staffs at targeted PoEs;
3. Coordinate and organize different meetings/workshops, training, project related
meetings/representations.
4. Complete PR for all relevant program activities and ensure proper quotation from vendors and follow
up on any finance/admin related paperwork related to the Project.
5. Take minutes of the meeting and keep track of those meetings for filing and reporting purposes.
6. Maintain project related files, documents, equipment and database etc.
7. Undertake field visit related to programme assessment, liaison with counterparts as per programme
requirements.
8. Document and communicate project(s) experiences and lessons to contribute to overall project
implementation as per donor requirement.
9. Undertake any other duties assigned by the Senior Management and Project Manager.
Education, Experience and Skills:
• Completed University degree preferably in Business Administration, Social Sciences, or Social Work, or
competencies equivalent or High school degree/certificate with additional two years of relevant
working experience.
• Three years’ relevant experience. Previous working experience in international organization is an
advantage.
• Experience in organizing consultation, workshops, seminar with high level stake holders.
• Computer/software literate, preferably knowledgeable in basic Microsoft Office and other relevant
applications.
• Strong coordination, negotiation, mobilizing and facilitation skills.
• Ability to work independently under minimal supervision.
• Ability to work effectively and harmoniously within a team of colleagues from varied cultures and
professional backgrounds.

two grades higher than the staff member’s current grade, will be appointed at the interim grade, and six
months later at the higher grade.
