CHAPTER I

Introduction

Payroll system is an operation for every organization to pay employee accurately


their salary. It is the administration of the financial record of employees' salaries, wages,
bonuses, net pay, and deductions. It is supported by a database consisting of its employee's
details and their attendance details. According to that end of each month the salary is paid to
the corresponding bank account of the employee.

The idea of taking control of employees pay calculations are quite tedious if done
manually and require more effort and time mainly for big organizations. Hence if this process
is automated, it would be of great benefit as it would require less time to calculate the salary
of the employees. The software for payroll management system service on the cloud is
provided as a solution in this paper. This system provides multiple user data access. Each
user like employee or HR or admin can login into the software by writing username and
password which are allocated to them from the company.

It involves keeping track of hours worked and is capable of keeping a record of


employee data including their pay, allowances, deductions and taxes on monthly bases so
that fresh definitions are reflected from the month onwards, which leaves all the past data
intact. The proposed payroll system is advantageous as it provides a user friendly
environment and also increases security and minimizes human calculation errors.

Objectives
These are multiple objectives behind the designing and implementation of the Web Based
Payroll Management System”:

1. To prepare the detailed salary record of all the employees;

2. To generate Pay Slip through the calculation of salary;

3. Proper usage of manpower;

4. To maintain Allowances, Deductions and Compensations details for the employees;

5. To generate various important reports that provides valuable information to the


management.

Limitation
 This System is in the supervision of the Account officer served as the administrator
for easy filing, updating and saving employee information.
 The employees are capable only to view the list and their pay slip.
 The primary focus of the system is dealing with employee’s records such as
Employee List, Add New Employee, Edit New Employee, Bonus and Payslip for the
administrator.
 The system keeps track and showed the current and updating employee records
using its embedded pay slip.
 The only person who can fully modify all the data inside the database is the
Accounting officer/administrator.
 The system does not include other payroll functions such as decision report system
and expert system.

Significant of study

This study would be advantage to the staff/Jow and individuals that could help to have a
better service for the employee and less error for their payroll system:

 Data Security - The proposed will also prevent unauthorized access to the system.
At the very beginning, the username and password are to be entered by the user and
if it is correct only when the permission to use the software is given to the user.

 Data Redundancy - The data is stored only once which can be accessed by anyone
at any time and at any place. So it can be minimized but cannot be removed
completely.
 Easy to Access - In this database project, data can be easily accessed through
computer networking.
 Cost Reduction - It requires less amount of Cost.
 Time & Efforts Reduction - It requires fewer amounts of time and efforts.
 Security mechanism- Database can be secured by applying password, encryption
and decryption techniques.
 Concurrency Control - This Database provides mechanisms to provide concurrent
access and ensure the correctness of the data.

Definition of terms

Payroll System

- Payroll system is a computerized technique that is used to calculate the sum of


salaries employees who need to be paid in an organization. The name, address,
Social Security number and the bank account numbers are the key elements in a
payroll system. This method saves time.

Employee

- A person employed at a wage or salary.

Database

- An integrated collection of data which provides a more efficient way of storage and
retrieval of data and is capable of processing large portions of data immediately.

System

- A set of related components that produces specific results.

Generating reports

- Data in the form of graphs or tables from database files to be merged with


a document to provide a complete report.

different companies here in the Philippines because payroll system is one of the most
important in establishing a business firms on how you provide the right and appropriate
benefits for the employees in the company. Business firms must operate within the
boundaries of laws and government regulations, Laws have been developed not only to
protect consumers but also to promote competition among business and industries. Over
half a century on, it’s fair to say that payroll is now one of the most commonly automated
business operations; and certainly the most frequently the most used HR Solution that
maintaining payroll record is one of the most important financial tasks in any business.

automated payroll system of Pamana Medical Center (2010). A great payroll is really
one of the most important issues to pay attention in almost every company. It is

3. Researchers (Alvarez, Aldrine, Gecolea ) of Krizalen enterprises(2014) uses a


biometrics with online data analytics dashboard to give krizalen enterprises an
efficient payroll system that can automatically monitor the attendance and trip tickets
of the employees, drivers and helpers with the biometrics technology and data
analytics that would help them in the security and accuracy of the company payroll
and information. Summing up the past situation of payroll inside krizalen enterprises,
there was need for a system that could help them with employee information
management attendance, monitoring, payroll processes, and assistance for the
manager decision making. With this idea, the proponents conducted a study for the
development of software that can minimize data redundancy, inconsistency, and
manipulation. Employees can view their current pay and review their information from
the database. And with updating of the reports that can be viewed through the

Institute under the Department of Science and Technology, it is

ndDevelopment Institute was designed to facilitate the Institute's data entry, processi

transactions.The system allows employees to log in/out as the swipe their Ids

(2013) nowadays all establishment are becoming modernized, they use modern
technologies to make their transaction fast, easy, and accurate in order to avoid
waste of time and for the sake of safety and security. It also helps human to solve
and understand complex problem and analysis such us the computational need of
humans. Especially to business establishment or corporation processing enormous
data and complex transaction. Payroll is an example of a complex transaction
because it is a critical business operation dealing with numerous accounts and
produce plenty and confidential files. Payroll is encompasses every employee of a

with employee payroll system According to the researcher Employee Payroll system
is an application that enables users to create and store Employee Records. This
application also provides a facility which enables an administrator or an employee to
generate a Pay slip. This application is helpful to the organization as it maintains data
of employees related to that organization. Java is used to create this application as it
is a platform independent language and can be used on a standalone machine as
well as on a distributed network. Furthermore applications developed in java can be

addresses issues of homeland security. Scanned fingerprint can also be used to query a
database for someone’s profile,using automated fingerprint identification system, and the
profile canthen be sent to a mobile device such as a personal digital assistant.According

5. According to the study of Preston H. Haskell (2004), two independent methodologies


demonstrate that total construction productivity has increased during the past 37 years, on
the order of 33 percent, or 0.78% per year. We are receiving more building for less
money than we did 37 years ago, and moreover, the product is qualitatively superior.
These improvements are the result of increased productivity made possible by
mechanization, automation, prefabrication, less costly and easier-touse materials, and
lower level of real wages (which, unlike the other drivers, is not a good thing).
Moreover, productivity gains in construction can and must continue. In the his view, the
potential for further productivity enhancements falls into five categories which are
information technology, project delivery, workforce development, materials, and
automation and prefabrication.
Also, on June 2007, a study concerning the building projectsa in the Gaza Strip in
palestine done by Adnan Enshassi found out that productivity is considered the main
value-addingfunction within the construction sector. A total of 45 factors were identified

productivity being based on a careful review of literature and suggestions from local
experts in building construction. Furthermore, this factors considered in the study were
divided into 10 groups, which were ranked according to their importance index:
Materials/tools factors group, Supervision factors group, Leadership factors group,
Quality factors group, Time factors group, Manpower factors group, Project factors
group, External factors group, Motivation factors group and Safety factors group.
In addition, a study done on United Kingdom (1990) concerning the Profitability of UK
construction contractors showed that there is the existence of a positive correlation
between the size and percentage of turnover profitability of the construction companies
in the sample. Evidence was also found to suggest that larger contractors were more
consistent in their profitability levels. Investigation of the possible reasons for differences
in profitability between companies showed the degree and type of diversification into
different activities, particularly housebuilding, to be major factors associated with

enhanced profitability. The apparent stability of profitability at about 3% of turnover per


annum found in this, and other similar studies, suggests the presence of some underlying
homeostatic mechanism of which diversification may be a part.

CHAPTER 3

This chapter describes and discusses how the researchers will gather the necessary
data and information that will be use in the entire study. This chapters will be discuss the
research method, population and sample size, description of the respondents, Sampling
techniques, Data Gathering Procedures, Statistical Treatment & Data.

Research Methodology

The type of research method that is used by the proponents in this study is the
Quantitative and Qualitative research which started by reviewing related literature and
colleting related information. The survey was carried out by Accounting Office employee of
Eastern Samar Sate University Can-avid campus, and also third year BSIT section A of
ESSU campus. Then the researcher conducted an in-depth interview with key persons in
order to gather and collect the needed data for the research. We also used Descriptive
research method. A survey was administered to a selected sample from a specific population
who are related from database. Surveys are used to obtain data from individuals about
themselves, to assess socio demographic profile such as sex, age and their position.
Descriptive research is a purposive process of data gathering, analyzing, classifying, and
tabulating the data.

because the study aims to measure the
levels of rating scale of the respondents to our proposed system.

Research Instrument

The study used test questionnaires in gathering data. The research instrument were the
questionnaire for payroll system. The test questionnaires have 12 questions for each indicator.
The respondents will choose from excellent, very good, good, fair, and poor and put a check
on the corresponding answer which will be based on the level of rating scale to our proposed
system from the questions.
The researchers obtained the respondents through self rating.

Population and Sample Size

The respondents of the study took from the EDP employee of Paranaque city hall, 2 nd
year an 3rd year BSIT from PUP Paranaque campus.
The researchers have chosen the Accounting office employees of Eastern Samar State
University Can-avid campus (ESSUC).
The employee in accounting office of Eastern Samar State University Can-avid has a
total number of 15 employees and in ESSU campus, second year of BSIT section B has a
total number of 40 students and in third year section A of BSIT has a total of 30 students. The
computation below shows the number of respondents that will answer the survey questions.
It shows that 15 EDP employees of Government Paranaque city hall and 6 only
students from second year section 2 of BSIT and 12 students from third year section 1 in PUP
Paranaque campus will be picked to answer the questionnaires. The respondents of the study
are composed of 33 out of population of 97.

Description of the Respondents

University, and 6 students 2nd year section B and 12 students 3 rd year section A of BSIT in
ESSU Can-avid campus were the respondents of the study.
They are described according to their demographic profile such as sex (male and female) and
position.

Sampling techniques

The researchers used Stratified Random Sampling. In this sampling technique, the
researchers got random samples in a population which was composed of BSIT 2-B, with 4
female and 2 male with the total of 6 students and 12 students with 4 male and 8 female with
the total of 12 students in BSIT 3-A, and the employees from ESSU Can-avid, which is 11
male and 4 female with the total of 15 respondents of Accounting Office
From each of this respondents, the sample size was drawn proportionately, regardless of their
gender.

Data Gathering Procedures


The researchers personally administered the test questionnaires to the respondents and
provided them with clear instructions on how to answer. The respondents answered the test
questionnaires at their convenient time and place within the ESSU Campus. The
questionnaires were retrieved on the same day of the administration. Data that was extracted
from the questionnaires will be classified, organize, and tabulated accordingly.
The researchers tabulated the data gathered from the answered questionnaires. Analyzation
and interpretation of data helped to formulate findings, conclusions, and recommendations.

Statistical Treatment & Data

For the purpose of analysis and interpretation, the responses to the terms on the
questionaires were tailed and recorded accordingly and the following assessment tools will be
used:
Frequency and Percentage. This is used to determine the proportions of students who
answered in a certain way.
