CHAPTER I
Introduction
The idea of taking control of employees pay calculations are quite tedious if done
manually and require more effort and time mainly for big organizations. Hence if this process
is automated, it would be of great benefit as it would require less time to calculate the salary
of the employees. The software for payroll management system service on the cloud is
provided as a solution in this paper. This system provides multiple user data access. Each
user like employee or HR or admin can login into the software by writing username and
password which are allocated to them from the company.
Objectives
These are multiple objectives behind the designing and implementation of the Web Based
Payroll Management System”:
Limitation
This System is in the supervision of the Account officer served as the administrator
for easy filing, updating and saving employee information.
The employees are capable only to view the list and their pay slip.
The primary focus of the system is dealing with employee’s records such as
Employee List, Add New Employee, Edit New Employee, Bonus and Payslip for the
administrator.
The system keeps track and showed the current and updating employee records
using its embedded pay slip.
The only person who can fully modify all the data inside the database is the
Accounting officer/administrator.
The system does not include other payroll functions such as decision report system
and expert system.
Significant of study
This study would be advantage to the staff/Jow and individuals that could help to have a
better service for the employee and less error for their payroll system:
Data Security - The proposed will also prevent unauthorized access to the system.
At the very beginning, the username and password are to be entered by the user and
if it is correct only when the permission to use the software is given to the user.
Data Redundancy - The data is stored only once which can be accessed by anyone
at any time and at any place. So it can be minimized but cannot be removed
completely.
Easy to Access - In this database project, data can be easily accessed through
computer networking.
Cost Reduction - It requires less amount of Cost.
Time & Efforts Reduction - It requires fewer amounts of time and efforts.
Security mechanism- Database can be secured by applying password, encryption
and decryption techniques.
Concurrency Control - This Database provides mechanisms to provide concurrent
access and ensure the correctness of the data.
Definition of terms

Related Literature Local Studies Nowadays, many payroll system implemented in
different companies here in the Philippines because payroll system is one of the most
important in establishing a business firms on how you provide the right and appropriate
benefits for the employees in the company. Business firms must operate within the
boundaries of laws and government regulations, Laws have been developed not only to
protect consumers but also to promote competition among business and industries. Over
half a century on, it’s fair to say that payroll is now one of the most commonly automated
business operations; and certainly the most frequently the most used HR Solution that
maintaining payroll record is one of the most important financial tasks in any business.
2. The schools is also not exempted in using a payroll system namely the study
of payroll system for the teachers and staff of Liceo De Calamba (2010) the
researchers (Maligaya, Opeña, James Jordan) viewed that Liceo de Calamba aims
to provide high quality of education for their students and to establish great
relationship with their employees by providing them with the right and appropriate
benefits they must enjoy as population of Liceo de Calamba increases, its system
must perform competitively, Payroll system is needed in order to have an accurate
and error free in their payroll process and services.

Institute under the Department of Science and Technology, it is
saidthat,“Thecomputerized database and attendance on Forest Products Research a

transactions. The system allows employees to log in/out as the swipe their Ids
through a barcode reader attached to a computer terminal. The processing forms
include those for legal holidays, travel order, tardiness, undertime, vacation and
sick leave. Pertinent Report forms have been designed for easier access to all these
data.” .(https://www.scribd.com/doc/250214407/chapter2-payroll-system)
5. Mendrez (2007) made a similar study for Vision Designer Inc. It has an
identification machine aimed at verifying a person entering through the swiping
of identification cards. After entering their given code number, the identification
cardsare swiped in the machines card reader to trigger the verification. If access
granted, the micro switch will then automatically unlock to allow enter. This will help a
lot in monitoring attendances accurately and more precise. A group of computer
engineers in Rebisco Biscuits Corporation proposed at thesis report for what is the
same Innodata Corps is implementing right now a computerized daily time record as
an alternative for Bundy clock. The means of getting inside the company premises is
by swiping cards into a machine that reads every record of each employee then
monitor and displays the time a particular employee logs in and out.

Accuracy in payroll calculation is necessary in every company. It requires
efficiency to pay employees the right amount of money they have earned, Reliable
backup, keeping large amounts of data for payroll can be challenging. This
application stores your data in the database of your system because you can’t store
piles of papers and data manually, it can be easily handled by the person who has
basic knowledge of computer because it provides a user friendly environment, its
hardware and software configuration is not very expensive.

automate all functionalities involved managing leaves and Payroll for the employees
of College, but also to provide full functional reports to management of College with
the details about usage of leave facility & even deduction of income tax & related
taxes can be done by this system. Payroll system is the heart of any Human
Resource System of an organization. The solution has to take care of the calculation
of salary as per rules of the College, income tax calculation and various deductions
to be done from the salary including statutory deductions like Income tax and
provident fund deductions. It has to generate pay-slip, cheque summary and MIS
reports. It is understood that we are tired of managing thousands of odd papers, pay
slips, payroll reports, and salary details and so on. Imagine that we have a payroll
processing system which will generate our pay slips and payroll reports within
seconds. We can help others automated your payroll system by developing a
customized payroll application that suits your specific requirements.

Initially, all processing was performed on mainframe using a batch approach. Time-
sharing was an improvement, but the concept of distributed processing with minicomputers
was a quantum leap in computer affordability and convenience. Many companies are
replacing their mainframes and minicomputers with minicomputers and LAN as indicated in
Understanding Local Area Networks by Neil Jenkins (1995).
Since computer power was the critical resource, efficiency of processing became the
main goal. Emphasis was placed on automating existing process such as purchasing or
paying, often within single department as indicated by Jeffrey A. Hofer on Modern System
Analysis and Design (1996).

Automated Fingerprint Identification System. Via the technology, PNP staff and
experts are able toauthenticate unique body demographics, such as fingerprints in
theparticular case. The technology also allows an almost instantaneousidentification.
The technology was used however by first building aninitial database of 210,000
fingerprints. PNP actually used the said technology in order to identify two “chop-

with a new fingerprint biometric attendance registrysystem, which it says is more
user-friendly and efficient.
The city’s mayor, Jun Bernabe, says the new attendance machineswill enable it to
resolve the issues of long queues as well as employeecomplaints. A total of 40 Model

City hall took 15 units while therest were installed in other local government
facilities.
The upgrade was jointly run by the city government’s HumanResource Management
Office and the Electronic Data Processing (EDP)Office. “Aside from cutting manpower
downtime, it makes timekeepingand payroll preparation simpler, systematic and more

1. According to the researcher of Nyanmaru Computerized Payroll System (2013)
Nowadays all establishment are becoming modernized, they use modern technologies to
make their transaction fast, easy, and accurate in order to avoid waste of time and for the
sake of safety and security. It also helps human to solve and understand complex problem
and analysis such us the computational need of humans. Especially to business
establishment or corporation processing enormous data and complex transaction. Payroll
is an example of a complex transaction because it is a critical business operation dealing
with numerous accounts and produce plenty and confidential files. Payroll is
encompasses every employee of a company who receives a regular wages or other
compensation due to each. Applying manual procedure on a Payroll transaction
involving the vast beatanswer in that problem would be computer because computers can
simulate enormous data and can process complex transaction in a fast and efficient way.It
can generate numerous accounts and data accurately. A Computerized Payroll System
will not only provide accurate calculation andfast process of Payroll transaction but it
will secure data through security.

CHAPTER 3
This chapter describes and discusses how the researchers will gather the necessary
data and information that will be use in the entire study. This chapters will be discuss the
research method, population and sample size, description of the respondents, Sampling
techniques, Data Gathering Procedures, Statistical Treatment & Data.
Research Methodology
The type of research method that is used by the proponents in this study is the
Quantitative and Qualitative research which started by reviewing related literature and
colleting related information. The survey was carried out by Accounting Office employee of
Eastern Samar Sate University Can-avid campus, and also third year BSIT section A of
ESSU campus. Then the researcher conducted an in-depth interview with key persons in
order to gather and collect the needed data for the research. We also used Descriptive
research method. A survey was administered to a selected sample from a specific population
who are related from database. Surveys are used to obtain data from individuals about
themselves, to assess socio demographic profile such as sex, age and their position.
Descriptive research is a purposive process of data gathering, analyzing, classifying, and
tabulating the data.
Research Instrument
The study used test questionnaires in gathering data. The research instrument were the
questionnaire for payroll system. The test questionnaires have 12 questions for each indicator.
The respondents will choose from excellent, very good, good, fair, and poor and put a check
on the corresponding answer which will be based on the level of rating scale to our proposed
system from the questions.
The researchers obtained the respondents through self rating.
The respondents of the study took from the EDP employee of Paranaque city hall, 2 nd
year an 3rd year BSIT from PUP Paranaque campus.
The researchers have chosen the Accounting office employees of Eastern Samar State
University Can-avid campus (ESSUC).
The employee in accounting office of Eastern Samar State University Can-avid has a
total number of 15 employees and in ESSU campus, second year of BSIT section B has a
total number of 40 students and in third year section A of BSIT has a total of 30 students. The
computation below shows the number of respondents that will answer the survey questions.
It shows that 15 EDP employees of Government Paranaque city hall and 6 only
students from second year section 2 of BSIT and 12 students from third year section 1 in PUP
Paranaque campus will be picked to answer the questionnaires. The respondents of the study
are composed of 33 out of population of 97.
Sampling techniques
The researchers used Stratified Random Sampling. In this sampling technique, the
researchers got random samples in a population which was composed of BSIT 2-B, with 4
female and 2 male with the total of 6 students and 12 students with 4 male and 8 female with
the total of 12 students in BSIT 3-A, and the employees from ESSU Can-avid, which is 11
male and 4 female with the total of 15 respondents of Accounting Office
From each of this respondents, the sample size was drawn proportionately, regardless of their
gender.
For the purpose of analysis and interpretation, the responses to the terms on the
questionaires were tailed and recorded accordingly and the following assessment tools will be
used:
Frequency and Percentage. This is used to determine the proportions of students who
answered in a certain way.
Formula:
Where
P = percentage
F = Frequency
n= no. of respondents
