By

Group-3 CDAC PATNA

Introduction:-
otel Management System is a software system where the management
H
of the entire hotel is computerized. The hotel management system is designed
using languages like java, javascript , .net node js as the rich GUI for front end and
SQL Server as the secured backend database.
In this project the details are maintained like customer details, reservation
details, Booking details and billing details. The reservation process of reserving
rooms for the customers, canceling the reserved rooms, booking the rooms ,
vacating the rooms, the restaurant management, billing process, etc all are
computerized and the management is done without any difficulty.
The reports can be viewed completely and the head of the management daily
or weekly or monthly can review it. For company auditing it will be more useful.
This Proposed System will be interactive, faster and user-friendly for the end users.
Using the hotel management system, the following activities can be performed.
●Room Service
●Check In
●Check Out
●Staff Master
●Staff Attendance
●Login

Objective:-
Customers can easily go online with their mobile phones or laptops

to browse about hotels within their vicinity.
Guests can be able to book for rooms within their budgets after

seeing and accessing these hotels within their vicinity.

Receptionists can easily access customer’s information online

without delay or with little delay.

Fraud done by the receptionist by not registering every customer

will not occur because the customers details will be online and can be accessed by
the managers too.

Problem Statement:-

● Customers having little or no information about the hotels in their

vicinity.
● A guest checking into a hotel room that is either too expensive or too
unbefitting for his or her personality.
● Prolonged delay by the receptionist in retrieving certain information
about any particular guest on demand.
● Possibility of fraud by the receptionist in not documenting official
information about some guests that checked into the hotel rooms.

Advantages of Proposed System:-

The following are the objectives and highlights of the proposed system

● Secure data
● Faster process
● Error Free
● Better management
● Save a lot of manpower
● Can easily make the daily reports
● Elimination of Paper work.
● High reliability and security.
● Fast and economical.

METHODOLOGY

This section involves data gathering. Area of study, the data quality
controls provided for the study. It also illustrates how the data was analysed and
presented.
The visual aspect refers to the method to be used to create the graphical user interface
with Visual basic application. Rather than writing numerous lines of code to
describe the appearance and location of interface elements, you simply drag and
drop pre-built objects into a place on screen.
Visual Basic revolves around ready-made objects and it is event-driven that is all the
activities in a program are triggered by one event or another. Each object has its
own properties, determining its size, colour, appearance and nature of its text and
much more. Each object also has its own event-Handling procedures. Visual basic
also handles images, menus, dialog boxes, drive and directory list and much more.
The application will be web-based using the ASP.NET platform to eliminate
system compatibility issues, and ensure it runs on all systems provided with
web-Browsers.
MS-SQL is used as the backend where Customer Record and Transactions are stored. It
serves as the Database.
Information Gathering system details are not left out the specific problems are identified.

1.5.1 INFORMATION GATHERING

Information gathering and record keeping in the hotel system is a crucial aspect that is
carried out in an organized way so that.
No system details are left out.
Right problems are identified
Repetitive work is avoided
Wrong or incomplete details are not collected.

To do this, a proper search algorithm must be incorporated; the method involves

using specific search criteria to select information from sources. The overall
methods which are used while gathering information are:

● Interviewing

● Record Inspection

● Observation

SCOPE OF STUDY

The study is focused on the critical operations carried out within the
hotel administrative system. These major operations include

● Front-desk operations (customer management, room allocation, cashier posting)

● Accommodation (Hotel room management, staff schedules, inventory).
● Assets management (Fixed, Floating asset).
● Staff record Management.
● Restaurant & Bar operation.
● Staff payroll (Pay slip).
● Accounts Receivable & Payable.

Modules
● Room Enquiry and Reservation
● Check In/Check-out Module

● Bills and Payments Module

● Staff

● Staff Attendance

● Reports

MODULE DESCRIPTION

Room Enquiry and Reservation Module

This module deals with reservation enquiry and reservation. During

reservation, the details of the customers, type of room required and number of
rooms required are fed into the system. Once these informations are entered, the
system searches for the unoccupied rooms and displays the result. In reservation
enquiry, customers can get the information such as rent of rooms and details of
rooms available.

Check In/Check-out Module

This module deals with the reservation check in (i.e., allocating room for the
customer who has already reserved) Direct check in (i.e., checking in without
reservation), handling checkout of guests and Bill payment.

Bills and Payments Module

This module deals with the generation and tracking of bills and payments made
by the guest. The bills are classified into lodging bills and Restaurant Bill. The
lodging bill is calculated using the check in and checkout details of the person. The
Restaurant bill is generated based on the food items consumed by the guest during
his stay in the hotel.

Reports

This module deals with the generation of the reports for the various modules.
The customer list can be generated. Room status list can be retrieved for reference.
The check in and checkout registers can also be retrieved for any future queries.
