Job description
Job purpose
To provide support to the Director of Human Resources in the provision of a comprehensive
people and organisational development service to managers and staff across ClientEarth in
order to support the achievement of organizational goals.

The role will focus on coordinating day-to-day operational aspects of the HR service,
providing advice and guidance on all aspects of human resource policy and procedure and
coordinating learning and development activities; liaising as necessary with HR team
members in Brussels and Warsaw.

To provide advice and guidance to all internal stakeholders (managers and staff in London,
Warsaw and Brussels offices) on all aspects of CIPHR, ensuring the integrity of data is
maintained at all times and ensuring the system is used to its full potential to maximise
support for the organisation.

This is a fixed-term position to cover the current post-holder for a period of three months
from end of May to end of August 2017.

Working relationships

The Human Resources and Training Officer reports directly to the Director of Human
Resources and works closely with HR team in the Brussels and Warsaw offices. The post
holder also liaises with staff and managers across the London office and the wider
organisation, maintaining professional and credible relationships with employees at all
levels.

Key responsibilities

Overall / strategic / organisational


• Support the Human Resources Director in providing the full range of people and
organizational development activities across all departments and locations of the
organisation, liaising as necessary with HR team members in Brussels and Warsaw
• Support the Human Resources Director in the development and review of HR systems
and procedures
• Contribute proactively and appropriately to internal communications as required
• Contribute to the development of cross-organisational initiatives, cooperation and
knowledge sharing
• Comply with ClientEarth's policies and procedures
Employee Relations
Provide advice, support, coaching and guidance on all ClientEarth HR policies, procedures,
systems and practices including:

• sickness/absence management
• employment benefits, contractual entitlements, statutory entitlements and other
relevant legislative rights
• managing staff performance e.g. poor timekeeping, behaviour, conduct and
capability issues
• maternity, paternity, adoption and retirement rights
• disciplinary/grievance handling
Recruitment, selection and induction
Provide a full and comprehensive administration, coordination and advisory service ensuring
best practice and UK employment law is adhered to by all parties. This will include:

• Advertising/posting job vacancies on both internal and external publications/


websites
• Responding to general enquiries
• C.V screening and short listing
• Interviewing (arranging/preparing questions/attending as part of the panel
where appropriate)
• Producing Offer letters (conditional/unconditional) along with contracts of
employment
• Checking eligibility to work documentation (managing visa/work permit
requirements or restrictions)
• Requesting employment history information/confirmation (references)
• Induct new staff and interns on office, IT systems and office security
procedures as appropriate
• Support the Human Resources Director in HR inductions when required.

HR and Training Administration

• Coordinate the provision of accurate and timely monthly payroll information


related to new starters, leavers, internal transfers, promotions and changes to
conditions of employment, ensuring that information is recorded and processed
in a timely and accurate manner.
• Manage and update HR database (CIPHR) and produce workforce information
and statistical analysis in accordance with organisational requirements.
• Maintain comprehensive employee records (manual and electronic) in
accordance with the requirements of the Data Protection Act.
• Coordinate the administrative processes around staff learning and development.
Coordination of Internship Programme

• Coordinate internship programme ensuring procedure and policy are both applied
and respected by all members of staff and recruited interns, including recruitment,
induction and evaluation and follow up processes

Projects & ad hoc tasks

• Participate in a range of HR and/or Organisational Development projects and


initiatives, undertaking research and benchmarking exercises to support
decision-making processes and to progress the human resources and
organisational development strategy and plans.
• Implement, maintain and where necessary, design systems that support efficient
management of the HR function across ClientEarth.

General

• Undertake any other duties as may be reasonably required of this role.

This job description is not contractual and is liable to change over time due to the changing
business needs of ClientEarth.

Location

This position is based in London and might involve some occasional travel within the
EU.

Person Specification
Education and training
• Part qualified HR professional or equivalent work experience

Experience & knowledge

• Good knowledge and understanding of human resources administrative processes


and systems
• Experience of working in a human resources environment
• Working knowledge of statutory framework within which the organisation operates
• Knowledge of employment law in countries of operation (desirable)
• Understanding and commitment to diversity and equal opportunities
• An awareness of environmental issues and a commitment to ClientEarth’s values
and goals
