Steps for Bulk Data Uploading in Koha

First you have to prepare the data of your library in Excel sheet or edit
like below format for converting the excel to MARC format,

Remove the header earlier, sort the data according to the new header.(sorting is
optional , it gives clarity in visualizing which data need to be merged)

I give the examples above for few data, if you need to add more data columns you
can use the MARC tags same like this (for MARC tags you can browse in
https://www.loc.gov/marc/bibliographic/ecbdlist.html)

Excel sheet Data Example

First Step:
Download the latest MARC editor form the
(https://marcedit.reeset.net/downloads) for Convert your excel data into MARC
format.

The sheet given in excel sheet contains the bibliographical details about the
document.

Now, open Marc Edit 7 and follow the below procedure.

Home Page of MARC Editor

In the above window Click on Export Tab Delimited Text then below window will
be opened,

First step in this window Here you select/Browse your Excel File,

 Second Step Give the name for Output file

 Third Step give the sheet name for Source File

 Fourth Step click on EDIT LDR/008 in LDR select Book

 Fifth Step by clicking enable UTF-8 Encoded

 Now, click on Next button.

Now the most important part is mapping of the field as per the MARC tag.
Each Field has to be mapped with MARC tags. Just see the procedure.

In the above window, Field 0 contains value of ‘Call Numbers’ and this field
has been mapped to MARC tag number 020$a. In the same way, Field 1 contains
the information about ‘Author’ which has to be mapped to MARC tag number
100$a. Likewise all the fields have to be mapped with MARC tags.

Click on Auto Generate Finally click on ‘Finish Button’, it will save the
record at your destination as you given the name in ***.mrk extension.
The saved file will be visible like this

Now, open the file with MARC Editor.

It will show the record as it appears above in the screen. You can see all the
bibliographical details of documents which have been mapped properly with MARC
tag numbers and the value is given in front of all the numbers.

Important Note: When you save the data, it will save the file with .mrk
extension.

If you like to swap the Data which have multiple subfields then

Goto tools->swap field data.

All the fields with same field value but different subfield values need to be
merged(like 260$a,260$b .. into 260$a$b…)

For merging 260$b to 260$a

Put both original and modified as 260 subfields as b, check Add to existing field ,
Process one field per swap, sort Modified field.

Click process

Repeat these steps for all the fields with same field value but different subfield
values till all is merged to a particular field.

After completing the above process go to FILES> Click on compile files into
MARC>Set the name of the output file.

You have generated the required marc file. The file will be visible like this.

Second Step: Data Migration in Koha:
First login with Koha User ID and Password and get the main Interface of Koha.

Select the option ‘Tools’ in the above window

And Choose the Option ‘Stage Marc Records for Import’ in TOOLS window

Once you click the STAGE MARC RECORDS FOR IMPORT below windows will
appear

Now here by clicking choose file you have to upload the converted .mrc file once you
select the file click on upload file

File will uploaded by showing the above status once file will be uploaded.

Finally, upload the file into Database.


Then, choose the option given in the above screen accordingly and click on ‘Stage
for Import’.

It will import the data into Koha and display the window like this.

Now, click on ‘Manage Staged Record’ in the above window

Choose the ‘Desired Bibliographic Framework’ and click on import the data.

It will import all the record into Database. Finally refresh the KOHA and search the
catalogue and record will be available on the Online Public Access Catalogue.
