CHAPTER I

INTRODUCTION

Lately there have been many different trends in web application development.

Online application development is a fast and ever growing field Jazayeri said “Online

applications have a user interface based on the browser that interacts with the user and

can manage large amounts of data” [2]. The Online applications of an online

appointment system within a college or a university setting is an area of rapid growth

because it is more efficient way of handling administrative issues [3].

The Online appointments systems have been around for a few years. They are

used extensively in hospitals and healthcare settings in order to keep track of patient

records as well as for scheduling appointments. Although this system will be

developed for an educational institution, it is helpful to obtain ideas on how other

areas of business have used such systems [4].

The Guidance and Testing Office (GTO) Online Appointment for Entrance

Examination in Cotabato City State Polytechnic College (CCSPC) is designed to

assist freshmen and transferees student to make an appointment at their convenience

and to provide information about necessary documentation thus reducing waiting

period to have an appointment. This GTO Online Appointment for Entrance

Examination will further enhance the efficiency of the application process and

provide greater flexibility in scheduling.


This system will help both student and administrator to provide a better way for

having a schedule of student entrance examination. Student have to visit the website

to appoint their entrance examination, they have to register a username and password

to make a log-in account to proceed appointment transaction.

Students have to fill-up the form for a registration of personal information to

acquired entrance examination appointment and required to enter Email/Gmail

account to send the confirmation message and verification from admin to print

appointment schedule. By the time of examination student will present the printed

appointment schedule to validate the appointment.

Admin have access to verify student account, Student appointment list, and send

email/gmail confirmation. Admin have daily checking by the month were entrance

examination is on-going to checked and verify student appointment.

1.2 BACKGROUND OF THE STUDY

The Guidance and Testing Office in Cotabato City State Polytechnic College

at Sinsuat Avenue., Cotabato City currently Director is ARMIA U. EBRAHIM, EdD,

RGC. Their mission is

The Guidance and Testing Office rely on papers and use to the computer for

encoding for the information of the students through office application. The records

documents keeps in the storage. The student will transact the schedule were walk-in

but it takes a lot of time and there is the possibility of longer waiting period of time in

order to process the appointment schedule because of the population of the student.

The proponents would like to help and introduced the system which is concentrate the
process of making an appointment through online. An appointment allow student to

interact through web to have an appointment for their Entrance Examination.

Appointment is a time reserve such as; Day, Time and where did they going to take an

entrance examination. Through this system student will lessen their time to take an

appointment, less hassle to go through for an appointment and less human effort.

1.3 OBJECTVES

1.3.1 General Objectives

 The project aims to develop a website for an entrance examination in

Guidance and Testing Office at Cotabato City State Polytechnic

College. The proponent goals is to provide an efficient of making

appointment. Proponents wanted to that students have fast and easy

access to school services.

 To get fast retrieving files of the student

 To have an appointment through web.

 To enhance the function of Administration.

 To reduce delay transaction.

1.3.2 Specific objectives

 To eliminate the use of papers and to improve efficiency and

productive employee.

 To notify student the requirements for entrance examination.

 To reduce paper works.


1.4 SIGNIFICANCE OF THE STUDY

The proponent have faith that this study will help the administration to manage

the schedule of the student in a better way and less spending too much time of taking

an appointment for entrance examination. The administration and student both

benefits in this system because the staff spend less time to collect all the requirements

of the student and stored to the cabinet files. It will help the student who will take an

entrance examination, instead of fall-in line with a large amount number of students,

they only have to do is just to visit the web-site and follow the step to have an

appointment.

Significance of the study with regards of the following users;

School – The proponents have conclude that if ever the system will implement, The

GTO Online appointment for entrance examination will be one of the features in the

school.

Administration – The study provide more efficient and effective way processing of

data, it would help to enlighten and to lessen their work and consumes less time in

handling an entrance examination for incoming and transferee’s students.

Examinees – the one who process the entrance examination appointment and to have

easy way of having a process which a new way of processing method of having

schedule for an entrance examination.

1:4 SCOPE AND LIMITATION

1:4:1 SCOPE

The GTO Online appointment is focused only for the appointment of the student. It

covers the processing methods of appointing online for student entrance examination

to let go manual process such us handwritten document and unorganized records.


Admin have the total access to the system such us verifying and confirming the

appointment of the students.

1:4:2 LIMITATIONS

The system cover is just for freshmen and transferee’s students only, it is an online

appointment for student entrance examination and student that have online

appointment will accommodate only, where conducted at CCSPC Guidance and

Testing Office which located at Sinsuat Ave., Cotabato City. Administrator didn’t

accommodate walk-in. Online appointment will be required.

1:5 OPERATIONAL DEFINITION OF TERMS

Entrance Examination- it is an examination that the administration undergo to the

transferees and new students.

Appointment – is a formal date or plan to meet at the appointed time.

Print – the data output.

Administration - giving an appointment to the student through online.

Staff – one of who will be assist the student to have an appointment

Schedule- The given appointment to the student.
