EVENTS OFFICE QUICK GUIDE

MASTER CALENDAR
 The Master Calendar link can be found on the M:Drive in the Master Calendar and other Events Office Links folder or CLICK HERE.

COMP TICKETS
 Complimentary Tickets: As a faculty or staff member of the UCA you receive two (2) comp tickets to most MTD performances.
o Returning faculty and staff can simply log into the Colorado State Community Login at www.csuartstickets.com and enter your CSU
credentials then select your event and choose the Complimentary UCA ticket option.
o New faculty and staff should log into the Colorado State Community Login at www.csuartstickets.com entering your CSU credentials then
complete your profile as requested. Once you have setup your account, send an email to Valerie at [email protected] stating
you have created your account so that we can upgrade you to receive comp tickets.
 Additional Comps: Should you need additional comps to your event please submit an online Comp Ticket Request rather than sending an email. You
can find the link on the M:Drive in the Master Calendar and other Events Office Links folder or CLICK HERE.

EVENT INFORMATION FORMS


 Event Information Forms are required of all events utilizing staffing from the Events Office. Requests for forms and ground plans will be emailed to
you approximately 5-6 weeks prior to your performance. Forms MUST be returned by 4 weeks prior to your event so that we can schedule staff
appropriate to your event needs – we thank you in advance for your courtesy. Event forms and complete instructions can be found on the M:Drive in
the Master Calendar and other Events Office Links folder or CLICK HERE.

IMPORTANT SUBMISSION DEADLINES


 Large Ensemble, Theater and Dance performance dates:
o Peter will contact large ensemble, theatre and dance conductors and directors during October and November to discuss the next season’s
schedule. A draft of the master calendar will then be presented in December at a meeting of all directors. A final approved master
calendar will be available in January.
 Faculty, Studio, Area and Guest Artist recital date requests:
o An email will be sent in February to all music faculty requesting their submission for dates for the following academic year with a deadline
of March 19 (Monday after Spring Break). The programming committee will meet to review date and budget requests and will notify
faculty of approved requests within three weeks of the submission deadline. Recital request forms with complete instructions can be
found on the M:Drive in the Master Calendar and other Events Office Links folder or CLICK HERE.
 Student Recital Date Requests:
o Spring Recitals
 An email will be sent to applied faculty in September requesting submission dates for Spring recitals with the submission
deadline of October 13. Students, faculty and accompanists will receive a confirmation of the student’s assigned date within
two weeks of the submission deadline.
o Fall Recitals
 An email will be sent to applied faculty in March requesting submission dates for Fall recitals with the submission deadline of
April 27 (Last Friday in April). Students, faculty and accompanists will receive a confirmation of the student’s assigned date
within two weeks of the submission deadline.
o Recital Date Request forms with complete instructions can be found on the M:Drive in the Master Calendar and other Events Office Links
folder or CLICK HERE.
 Special Music Event proposals:
o An email will be sent in February to all music faculty requesting their submission for dates for the following academic year (including
summer) with the deadline of March 19 (Monday after Spring Break). The programming committee will meet in March to review date
and budget requests and submit its recommendations to Dan Goble for final approval. Faculty will be notified of approved proposals and
budgets within three weeks of the submission deadline. Special Event proposal forms with complete instructions can be found on the
M:Drive in the Master Calendar and other Events Office Links folder or CLICK HERE.
 Summer Session Residency Programs:
o Summer session residency programs such as Kodály, Dalcroze, MME Summer Conducting, Percussion Camp, LIFT Clarinet Academy, Drum
Major Leadership Camp, etc. must submit their dates for scheduling and marketing purposes – this can be done at any time. Summer
Session Residency Program forms with complete instructions can be found on the M:Drive in the Master Calendar and other Events Office
Links folder or CLICK HERE.

MEETING ROOM MANAGER: Please do not make any reservations for the next academic year until April 15. At that time all class reservations for that year will
have been inputted and you are good to make reservations. CLICK HERE to view MRM using the login name: GUEST; and password: password.
