MEMO TO: All Human Resources Employees

FROM: Melissa Noel, Administrative Assistant

DATE: May 1, 2018

SUBJECT: Location Notations on Company Documents

As of today, all company documents must have their file name/location notation added to the
footer in size 8 font. In order to do this, you will need to use the Quick Parts that’s installed in
Microsoft Word. I have provided instructions below on how to accomplish this:

1. Open Microsoft Word.


2. Click the "Insert" tab.
3. From the "Header & Footer" group, click [Header] or [Footer].
4. From the drop-down menu, choose a Header or Footer style.
5. Return to the "Insert" tab.
6. From the "Text" group, click [Quick Parts] > Select "Field..."
7. Under "Field names," select "FileName."
8. In the "Field properties" section, select a format.
9. In the "Field options" section, check "Add path to filename." The file name will now
appear in the header or footer

Please update all of your saved templates to include this feature in the footer area. Make sure to
use this procedure in all future documents that you create for every company file and document.
If you would like to make an exception, contact Shannon Lee before finalizing the decision. For
your own reference, I have attached example copies of each of the templates.
