How to create a different calendar and assign it to a task in MS Project

In Assignment 2, the advance work and completion works are to be undertaken during a normal 38 hours a
week. Therefore a standard MS project calendar for these tasks can be used.

However, for weekend occupation and major shutdown tasks a customized calendar should be created in MS
Project. The following example shows how to create a new calendar in MS Project and assign it to a task.

1-Create a new calendar

Open MS Project. On the project tab, click on Change working time. Then click on Create a new
calendar:

Make a copy of standard calendar and name it Weekend occupation:

Now you should create exceptions in your new calendar as follows:


Non-working days: (Tue, Wed, Thurs, Fri)
Sat: from 4am to 12 am
Sun 24 hrs
Mon: from 12 am to 6 am

Here we instruct you how to create an exception for Saturday and nonworking days (Tue, Wed,
Thurs, Fri). You can create exception for Sunday and Monday similarly.

Create an exception for Saturday

On the exceptions tab, create an exception for Saturday:


1-Type Saturday in the exceptions field and click on details.

2-Click on working times and enter from 4am to 12 am.


3-Then select a weekly Recurrence pattern and tick Saturday check box
4-Select the starting time and then enter number of occurrences (End after). Make sure the
starting time and number of occurrences you enter cover your weekend occupation from early
start and late finish time (in other words, consider the float for advance work and weekend
occupation).
Create an exception for nonworking days
On the exceptions tab, create an exception for nonworking days:
1-Type Nonworking days in the exceptions field and click on detail.
2-Select Nonworking and set the Recurrence pattern and Range of occurrences as below:
2-Assign a created calendar to a task
After you create the calendars, you need to assign them the relevant tasks. Here we instruct you how
to assign the Weekend occupation calendar to weekend occupation task:

In the Gantt chart/Task name, type Weekend occupations and set the total duration of weekend
occupation task in hours.

Double click on the Weekend occupation task and select Advance tab. Select the Weekend
occupation calendar as shown below:

Now your start and finish time for the Weekend occupations is calculated based on the new
calendar.
