1. Why do you think planning could be argued as a more important step in creating an effective
document than writing?
ANS:
Like all projects, even one as simple as writing a letter, more planning before the production process
will produce better results. Planning could be arguably more important than the writing itself because
in the planning phase you can map out exactly what you want to write before you start typing.
Planning what you want to write may include the major points that you wish to make, the tone that you
believe will be most effective, how long or how brief the letter should be, and what information you
will use to support your major points. Without this planning phase, you may find yourself staring into
the computer screen, not knowing where to start. Typing without a plan may also lead to lots of
editing. The more editing you must do to fix your document increases the chances of mistakes in your
document. Without planning, your final letter will need careful proofreading, not only for errors, but
also for context. A little bit of planning before writing will save you lots of time and energy in the long
run.
2. You have just finished writing a two-page paper and have only five minutes to e-mail it to your
professor in order to pass the course. Would you spend the time using Words spell checker or would
you proofread it yourself? Choose one or the other and why you chose that particular task.

Instructors: A correct answer should include that proofreading is the better choice because the spell
checker will not catch correctly spelled words that are used incorrectly in the document. Here is an
example of an answer:
I would spend the five remaining minutes by proofreading the document instead of using the spell
checker. By carefully reading the document, I would be able to find the misspelled words by looking
for those with red underlines. I could right-click the words and choose the correct spelling from the list
of suggestions. More importantly I could catch mistakes that would not be caught by the spell checker.
For example, if I used the word their instead of there. Words spell checker would not consider
their a mistake because it is spelled correctly, even though its used incorrectly. Proofreading would
allow me to catch both spelling and grammatical errors whereas relying only on the spell checker may
result in grammatical mistakes, causing me to receive a lower mark on my paper.
3. Why is it better to rely on the Print Preview window, rather than the One Page button in the Zoom
group on the View tab, to preview a document before you print it?

The Print Preview window is better for previewing a document than relying on the One Page button
for the following reasons: When you choose Print Preview, you will see how your document will look
when it is printed in one step. This is also true if you choose the One Page button in the Zoom group,
however, the Print Preview method will automatically hide any nonprinting characters that may be
showing. This would not be true of clicking the One Page button in the Zoom group. You would also
have to click the Show/Hide Paragraphs button in the Paragraph group on the View tab. The Print
Preview window gives you instant access to other print-related commands. You can quickly see other
pages in your document by clicking the Next Page and Previous Page buttons, you can change the
page size, orientation, and/or margins all from the Print Preview window and watch the preview
window update automatically. Finally, you can print from this window without having to go back to
the Word window.
