A. Client and Mission
This semester our team, Business As Usual, partnered with Base Camp
Childrens Cancer Foundation to grant a 2nd wish to patients with reoccurring
illnesses. Base Camp Childrens Cancer Foundation was founded in 1982 and
is associated with the American Children Cancer Organization. They are
dedicated to providing a year-round base of support for children and families
who are facing the challenge of living with cancer and other life-threatening
hematological illnesses. To accomplish their mission they provide six major
programs for the children including weekly meals, milestone parties to
celebrate the end of their treatment, food gift cards for the families, parental
support groups, overnight camps, and second wishes for children that have
had a relapse in cancer. Our client contact was Terri Jones who is the
President, Founder, and program director for the organization. We were
assigned to work with her on the second wishes program.
B. Overall Smart Goal
Our original SMART goal was to enhance the lives of Brandon and
Caleb and raise awareness for BASE Camp by contributing a minimum of
$1000 before March 27th 2013.
The monetary value in our initial goal was based on the clients request.
On February 24th during our second tabling event, we were able to surpass
our ambitions and decided to create a stretch goal that would better
exemplify our teams abilities. This stretch increased our monetary goal to
$1,500.

Event #1: CVS Tabling Event: Mariah Garcia
Objective: The objective of this event was to raise at least $200 in order to
grant Brandon and Caleb their second wish within the 7 hours of tabling.
Outcome: During this event we were able to pass our goal of $200 and
raised $212.
Qualitative Outcome: I believe this event was a success because we were
very enthusiastic about our cause and were really looking forward to
explaining BASE Camps mission. Helen and I were outside for seven hours in
very cold weather. Customers constantly said that they were more inclined to
donate because of our resilience and dedication. This gave us more drive and
motivation to be successful in our upcoming events.
Lessons Learned: In many business situations you are required to be
prepared with an elevator pitch of projects you are contributing to your
client. This event allowed us to be able to practice shortening a very detailed
cause into a brief 5-10 second statement that would grab a customers
attention. At times I felt we were so passionate about our goal for Brandon
and Caleb, that we did not realize that less can be more. We quickly caught
grasp on how to attract the customers to donate and pin point when it was
necessary to continue explaining. I think this was key to our success in this
event and it was also a great learning experience.
Event #2: CVS Tabling Event 2: Helen Riddle
Objective: The objective of this event was to raise $200 in cash donations
to help grant Caleb and Brandon their wishes. This event was also a way for
us to spread awareness in the community during the time allotted to table.
Outcome: Based on our past tabling event we planned to raised $200 in
cash donations; however modified it to $185 based on the weather. Due to
the inclement weather, we were only able to raise $165.
Qualitative Outcome: What really impacted me during the day at CVS was
the amount of positive feedback we received. So many people were so happy
to hear about our cause and all the hard work we were putting in. We had
one lady tell us that what we were doing was truly amazing. When she heard
us explaining our cause to other shoppers, she felt inclined to donate and
briefly talk with us.
Lessons Learned: Overall the CVS tabling event served as a way to get the
team started. As the project manager, I chose to have one of the events as
early as possible in the semester. I felt it was a way for us to start raising
money and have cash to use for other events. We were lucky to have a
supportive store manager that was more than willing to work with our
schedule. While tabling at CVS we were able to impact several people with
our case. Many locals were eager to hear about BASE Camp and the support
they provide. Knowing where the money was going, was also reassuring to
the CVS customers. Directly asking people for money is not always easy, but
it allowed us to become one step closer to reaching our goal.
Event # 3: CVS Tabling Event 3: Yasin Arshad
Objective: The objective of the tabling event at CVS was to raise and collect
a minimum of $115 before March 27th to help grant Caleb and Brandons
second wish.
Outcome: The original goal for this event was to raise a total of $115 as per
an average of the two previous tabling events. We were in actuality able to
raise a total of $133 which was $18 over the expected.
Qualitative Outcome: There were many individuals who approached us
during the tabling event that not only thanked us for our efforts in spreading
awareness of cancer but also told us their story. One particular individual
chose to stay with us for over five minutes, continuously telling us his story
of the loss of both his sister and mother to cancer. Not only did this keep us
going throughout the rest of the day but it allowed us to feel our efforts were
going toward a good cause.
Lessons Learned: Doing any activity for over six hours in a single day
provides a great number of lessons to be learned. Toward the beginning of
the tabling event at CVS I was actually quite anxious and unprepared as I
had never asked individuals for money or anything. Ive always been raised
to work for the money I am given and it felt quite strange asking individuals
to donate to a specific cause. Learning the lesson on how to properly ask
individuals for money was also something valuable. Tabling actually requires
a great deal of strategy in the realm of timing and method of asking. I
learned how to ask individuals and how to evaluate the best course of action
in a short period of time. In my opinion, the fact that we had two team
members at the event contributed greatly so that others could see that it
was actually a legitimate cause. Also in my opinion, the fact that we were
able to give out cupcakes at the event further aided in our success of raising
money. There were some situations that could have been improved on
however, especially in the realm of choosing days and times. It is natural to
see that a specific day with more traffic would lead to more success so
choosing the correct day was very important. Other than that, the team did
great and learned a lot from this event.
Event #4: Gators Dockside Proceeds Night: Carlos Cortes
Objective: The objective for this event was to raise a minimum of $200 in
order to grant Brandon and Caleb a 2nd wish by March 27th 2013
Outcome: The original goal for this event was to raise a total of $200.
Unfortunately, we were not able to raise any proceeds.
Qualitative Outcome: Though individuals at Gators Dockside respected
and supported our cause, they were unable to give us 10% of their checks
because we did not bring those individuals, we simply approached them and
advocated for BASE Camp
Lessons Learned: As the Project Manager, I was really excited for this
event because not only would it bring money for our cause but it would
spread awareness around the UCF area/ Waterford. At the planning stage of
this event, I hoped to advertise my event through my fraternity and the clubs
that we are associated with. Business as Usual successfully advertised the
event but unfortunately, the manager at Gators dockside was obligated to
change our date with less than a 48 hour notice. This effectively was the
downfall to my event which led to a failed event. However, Helen and I were
fortunate and given the opportunity to speak to the customers about BASE
Camp, Brandon and Caleb. Though the event failed, I learned the importance
agreement understanding and proper scheduling
Event #5: Silent Auction: Katie Swan
Objective: The Objective for this event was to raise a minimum of $500 to
donate to BASE Camp to grand Brandon and Caleb's second wish by march
27th 2013.
Outcome: The Original goal for this event was $500 but ended up raising
$630 which was $130 over the goal.
Qualitative Outcome:
Lessons Learned: I really enjoyed putting this event together. I wish I had
started collecting items for the silent auction sooner, but overall we had over
24 items that got auctioned off. I feel like my team could have contributed a
little more, but the help I did receive was great. I was able to contact a local
radio station and they had the event advertised throughout the week. I was
extremely excited and called that a big success. The only failure I would say I
had was the turn out, the weekend of the event a large country concert
festival was going on and attendance was not as high as expected. Overall
the goal was still met.
Event #6: Base Camp Childrens Cancer Awareness Golf Tournament:

Objective: The objective of the golf tournament was to raise a minimum of
$300 dollars by March 23, 2013.
Outcome: The team planned on raising proceeds of $300. We encountered
difficulties finding golfers to participate in the tournament and our proceeds
came up short equaling $250.
Qualitative Outcome: All the participants of the event gave words of praise
for the execution of the golf tournament. Due to the stormy weather and lack
of time to sign up players I consider the event a success even though we did
not reach our expected proceed goal of $300.
Lessons Learned: I learned many lessons from organizing a large golf
tournament. The event was much more of a challenge than I had originally
anticipated. Finding a contact at the golf course and paying the deposit were
the easier parts of organizing the event. Clear lines of communication were
established early between the golf course and I. Due to my weekly
correspondence with the GM of the golf course I learned valuable lessons in
communication. Once we had an official date, signing up players became the
key issue for our team. I believe this is where we learned our most valuable
lessons.
I first learned not to rush a large scale event. By the time we had
established our date and paid the security deposit there were only two weeks
left to signup players. The first week was coincidentally during spring break,
which limited our teams time to advertise for the tournament. This caused
the team to scramble attempting to sign up players. Lucky for me, I have an
amazing team that went above and beyond in all tasks we undertook. Our
groups work ethic made this stressful event much easier to organize and
execute. Each team member printed out fliers and advertised in the local
community. The golf tournament was a success considering the short time
span to sign players up. The only change we could have implemented to
make the event more successful would have been to start signing players up
earlier.
Secondly, I learned valuable lessons regarding adaptation to change
and negotiations. The golf club originally wanted to charge us a high rate,
which they thought was suitable for the event. Through my persistent
communications with the General Manager I eventually got the rate lowered
to a student rate for all players. Signing up players was also harder than I
had originally anticipated. I had to thoroughly explain our purpose and what
benefit the players contribution would mean to BASE Camp and our
sponsored children. On the day of the tournament a thunder storm almost
completely ruined the day. Utilizing my skills of adapting to change we
decided to delay the tournament one hour due to the inclement weather.

Briefly introduced ourselves to Terri.
Meeting began with a short introduction by Terri, where she discussed how
the organization was founded, and how she became involved with these
children.
Quick Facts
- Founded in 1982 Base Camp works specifically in the local community.
She has been working with cornerstone for seven years. They are
somewhat associated with the American Children Cancer Organization
Works on including children with all types of cancer and their families in all
events They mainly work in three hospitals in the Orlando area. These
include Arnold Palmer, Florida Hospital, and Nemours
There are over 1,000 children that have some sort of cancer Donations
are critical to the organization They have six events that depend on
donations
Important to celebrate milestones for the children.
Is
looking for a better location, ideal would be to build something like the
Ronald McDonald house to host events. Fundraising Focus Terri
mentioned raising money to go toward the Orlando Magic event.
- They will be taking 20 children to a game on February 23, 2013.
The suite costs $2,000. Terri mentioned working to raise money to give to
families for souvenirs and food.
Our overall objective is to raise as much money as we can so that we can
grant as many wishes as possible. As of right now we do not have specific
wishes to grant, but by the end of next week we might have a better idea.
Terri mentioned that it is important to make sure that this wish will not
interfere with the chance of them having a wish granted by the Make A Wish
Foundation
There are three things that qualify kids to be eligible for the 2nd wish. This
includes a second occurrence of their illness, and they have already had a
first wish granted.
Terri approved the idea of a silent auction; make sure to get a good
audience and spread the word
Marketing
Terri mentioned a few key points that represent the image of Base Camp
- Empowerment
- Keeping events simple, and not doing something another organization
already does
- Include all family members, or at least other siblings.
- Base Camp represents a foundation for the children. Something to help
them finish the climb and overcome cancer.
- Create T-shirts (Big Top and Big Frog) and stickers with sponsors.
Moving Forward
As a team our main focus will be to start researching possible sponsors. We
should contact Whole Foods as soon as possible
We have scheduled our next meeting for February 6, 2013 at 6:00pm at the
Arnold Palmer Hospital
On Wednesday we will work on our SMART goals and SEP.
We should have the Client Agreement form signed and turned in.
We have been given approval to use the names and pictures of children, so
we can start working on a video to present to possible sponsors.

Our 2nd Wishes Boys
- Today at the hospital we met with Terri and went over some general
questions.
- She is having T-shirts made for us and has approved our events
- We discussed the sponsor letter, and we are currently waiting on her
approval.
- At the hospital we were also able to meet the two boys that we will be
working to raise money
for.
Brandon:
- Brandon is ten years old and is in the 5th grade. - He has a younger sister
who is 6. - He is battling his second reoccurrence of ALL - He enjoys playing
sports; his favorite sports are soccer, football, and track. - Brandon has a
new Xbox, a Wii, and an iTouch.
- He would like a new, bigger TV for his room so that he can play his video
games
- Some other things that he might enjoy include an itunes giftcard, and new
Wii controller for his
sister, new video games (i.e. Just Dance 4), and Xbox Kinect
- Brandons favorite food is steak
- Brandon spends a lot of time commuting from his home to the hospital
every three weeks.
- He relapsed in November and has treatement for two or three days at a
time.
