INTRODUCTION Let all things bedonedecentlyand in order - 1Corinthians 14:40 Protocol is defined as the system of rules and acceptable behavior used at official ceremonies and occasions or a code of ceremonial forms and courtesies of procedures accepted as proper and correct in official dealings. The term protocol comes from the Greek words meaning the first glue. Protocol can then be understood as the glue which holds official life in the society together. . If a church is to operate in a decent and orderly fashion Protocol should be followed because God is not the author of confusion but of peace in the church (1 Corinthians 14:33), .A church needs a unit of protocol to be included in her working units. This manual is simply recommendations and not fixed laws because Protocol is a paper exercise belonging to a family of constitutions and covenants. The Protocol unit in churches supports the ministry of the Word and Spirit by rendering practical support that will facilitate the efficient running of every service. Members of this unit have the spiritual gifts of helps, service, leadership, discernment and administration among others. Also, those in the Protocol offices, Communication, Armed Forces and/or parliamentary groups are encouraged to use their talents in this ministry. A cheerful and vibrant personality is a plus for this ministry. Protocol in Rank/Hierarchical standing is recognized among persons in the Word of God. Lets look at Acts 6:1-7 Now in those days, when the number of the disciples was multiplying, there arose a murmuring against the Hebrews by the Hellenists because their widows were neglected in the daily distribution.2. Then the twelve summoned the multitude of the disciples and said, it is not desirable that we should leave the word of god and serve tables.3. Therefore, brethren, seek out from among you seven men of good reputation, full of the holy spirit and wisdom, whom we may appoint over this business;4. But we will give ourselves continually to prayer and to the ministry of the word.5.And the saying pleased the whole multitude. And they chose Stephen, a man full of faith and the Holy Spirit, and Philip, Prochorus, Ncanor, Timon, Parmenas, and Nicolas, a proselyte from antioch,.6. they laid hands on them.7. And the word of God spread, and the number of the disciples multiplied greatly in Jerusalem, and a great many of the priests were obedient to the faith. The Bible never hides the human weaknesses of those who serve the Lord. The people were upset, talking, and complaining. It sounds like life in many churches and organizations today. Its important to study and understand how the apostles handled this problem. The following principles in these verses forms the basis of order in the church. 1. Effectiveness - The apostles knew their purpose and functioned in it. 2. Excellence - The apostles set a high goal of devoting themselves to prayer and the word 3. Efficiency - The apostles realized a great harvest of people because they were efficient in their use of time and resources. 4. Organization and faith - The apostles increased their level of organization to meet the needs of the people. Something happened there that made the church function properly. Those who ministered to the widows did it so in the power of the Holy Spirit. Those who gave themselves to the word and prayer did so with excellence. The number of disciples increased greatly, and the whole project was efficient. As they walked in faith, the apostles created an organization that was remarkable for its effectiveness, excellence, and efficiency. DUTIES AND RESPONSIBILITIES The Protocol department of local church works hand in hand with other departments like the Security, the Hosts and Hostesses, the Heralds, the counselling unit, the Pastoral team, the church office and others as the case maybe. But her primary duty is focused on the assisting and taking care of the Pastors, guest ministers etc. before, during and after the course of the service/meeting or in an event in church. Assist guest and members with seating as needed Distribute literature as called upon, such as announcement slips, prayer focus slips and etc. Offer directions when needed Guide guest through church facilities Greet members and guest as they enter and leave the building Ensure that misplaced items are kept at appropriate place before the owner comes. Perform any other duty the Pastor may request. In charge of protocol generally for the Pastor. Coordinate and direct members who want to see the Pastor. Protocol for guest ministers. Any other duty or assignment that may be assigned by the Pastor.

PROTOCOL STRUCTURE The Protocol Officer Visitor Management is done by the Protocol officer (head protocol unit/or whomever assigned). From the outside looking in, so to speak, the process of managing visits and visitors can often seem deceptively easy. Whats to do, after all? Meet them, feed them, take them out to the mall, and send them on their way right? Anyone who regularly works with visitors knows that common misconception is far from accurate. The Protocol Officer handles local arrangements for distinguished guests, whether domestic or foreign. The intent of honors is to extend a mark of courtesy to distinguished guests. Honors will be accorded only to the distinguished guests and not personal assistances. The protocol Officer functions as coordinator for visits of distinguished persons or guest ministers. Usually, most of the planning for distinguished guests should be clearly defined and worked out by the Church authority. The Protocol Officers duty is to carry out the plan. The procedures outlined, are usually provided primary for the guidance of the Protocol Officer since he /she is charged with the responsibility of making all arrangements for the visit and ensuring all the departments concerned are informed of their responsibilities and duties in connection with the visit. Upon receiving notification of the impending visit of a distinguished guest the Protocol Officer should: Establish a status file folder ( details about the guest) Advice involved persons/departments of the upcoming visit. With the Pastors guidelines and preferences, develop a detailed schedule for visit/event. Distribute copies of the schedule to the persons concerned. When time permits, send a copy of the schedule to the visitor prior to the arrival as a matter of courtesy. This action also gives the guest an opportunity to prepare for the visit and request changes if necessary. Arrange and make sure vehicles are on ground for transportation for the visitor. Arrange for lodging and food. Select and brief escort persons or couples, as appropriate. Ensure all personnel concerned are informed of the visitors security clearance status The leader has overall responsibility for ensuring that every service has enough protocol officers scheduled, and for resolving issues that affect all protocol officers. protocol officers when required, and for ensuring that all protocol officers understand the teams' guidelines.
CHURCH PROTOCOL ETIQUETTE The Church is perhaps one of the last social institutions where dignity, protocol, respect, and reverence are maintained. This is primarily because when we come to the church and its services we are entering the Kingdom of God on earth, His habitation, and we choose to honor this sacred place by our attentiveness to what is proper and orderly. We have the opportunity to reect the image of Christ within us by our actions. You are a chosen generation, a royal priesthood, a holy nation (1 Peter 2:9). This is a guide meant for personal reection, not as a means of judging others. Keep in mind that there are dierent traditions even among the faithful. We come to church to pray and worship God above all else, and that should be our only focus. PROTOCOL Protocol as applied to the Church basically has to do with the conduct and processes that makes event, situations or programs successful. The protocol team of the Church is the arm laden with the responsibility for the enforcement of this process. The main aims of the Protocol team in line with the church Vision and core values are; To set precedence for excellence. To create an overwhelming atmosphere of bliss and purpose during services To relieve the ministry stress and undue Pressure.
REQUIREMENTS FOR BEING PROTOCOL PERSONNEL (MEMBER) To be protocol personnel, the individual must fulfill the following criteria: Be a born again Christian Must have been a member of the church who has finished the 8weeks foundation class PINEWOODS CONSULTS a division of PINEWOODS VINTAGE LIMITED | 6
Belong to a cell group & fellowship group A team player Recommended by Cell Group Shepherd and Fellowship Group Leader A Worshipper Will deliberately on his / her own decision join the protocol team Must agree with the doctrine of the church, which is bible based For full integration must undergo an interview after which his behavior will be monitored for a period. Training will be conducted, which will include practical aspects of service. CODE OF CONDUCT The following rules in the team are applicable to all personnel: Attendance of Programs and Events: All personnel must be in church 30 minutes before Sunday and midweek services. All personnel on special duty must be in program venue 40 minutes before it starts. All personnel must be available 40 minutes before the commencement of any special program All personnel must always be in church when in town All personnel who will not be present in any event should make it known 48 hours before the event or 24 hours in the case of emergency. If the case is too sudden 6 hours will be permitted. Defaulting in any of the above stated guidelines will attract a penalty provided the individual must have been warned 3 times.
Personal Hygiene It is highly and of optimum importance for a personnel to be conscious of his /her personal hygiene. Following the unique nature of the job it is expected that all protocol personnel do the following; Make an effective use of colognes, roll-ons, body spray etc. Personnel must learn to use mouth wash, and effective use of tooth paste. Personnel can chew gums, but must throw it away before he / she reaches the venue of the event. All personnel must use mint or other refreshing substance. Failure to comply with any of the items listed above will lead to the individual being prevented from serving pending when he / she is willing to comply. The Ladies must take good care of their hair. The men should handle their beards and moustache well or do a clean shave. Also they should have a good haircut. Dress Code and Dressing Smart. Dressing is another key factor in protocol, because it speaks a lot about the church when it comes to excellence. Dress codes in the protocol team of the Church are set of rules governing the clothing of personnel particularly when on duty. The following should be clearly noted as regard dressing: The Primary dressing in protocol is corporate, for the men it comprises of complete suite, shirt, and tie. For the ladies the same with an addition of camisole. Miniskirts and very tight trousers are not allowed. The ladies should strictly adhere to this. Traditional attire or jean must not be worn except when instructed. Anybody found wearing a traditional attire or jean on a service day will in addition to being penalized be prevented from serving. Persistent violation of the dress code will be considered a serious breach of the team code. . OTHER ETIQUETTES TO BE OBSERVED Personnel must not chew gums while with a guest or any of the pastors of the Church. Personnel must not discus with a minister/guest in a familiar or uncontrollable manner. Personnel must not initiate a discussion with Minister / Pastor / guest especially during Programs / Events. Personnel must not initiate discussion when driving a guest / Minister or Pastor. Under no circumstance should personnel initiate a business deal with a guest. Personnel must not put on the sound system when driving a guest / minister without his / her consent. Personnel must stay at least ten meter 10m away from the guest / minister , when he / she is discussing with a third party. Personnel must not answer call while on duty. MODUS OPERANDI Sunday Service; the following processes are in place to make the Sunday service a success: Two Personnel are assigned to the senior pastor; one must be present before he arrives. If he is to be picked up, one goes to pick him while the other waits for him. Two personnel are assigned to pastors wife; one must be available before she arrives. Personnel on special duty must arrive on time to check sitting area and make proper adjustment when necessary. Also provision should be made for drinks and refreshment. If the senior pastors desire to be driven to church, personnel are to take charge and pick them from any location. Personnel must liaise with the relevant service team to make sure pastors lounge is in order before he arrives. All personnel assigned to the General Overseer must do the following: Make sure he is properly parked. Pick his belongings from the car. Re park the car if not properly parked. Lead him to the lounge or church hall as he may desire. Pay attention to his needs and details. Follow him wherever he goes. Always have handkerchiefs. Prevent his being congested during ministration. Prevent people of interest from meeting pastor after service. Walk him and his wife to their car. Until he leaves no one leaves. Other personnel are to assist other pastors as the need arises. If we have a guest, equal treatment will be accorded. Including pick up and drop off. Special Programs / Events Same as Sunday service. Ministering outside the Head Quarter Branch Specific personnel will be assigned to escort the General Overseer to the venue. Personnel will drive him to the venue, with another car leading the way. Personnel are to work with the host protocol team for his comfort. Personnel are to make sure he is led back safely and successfully.
