Monitoring Documentation: Checking The Work The Plan For Doing The Work

The document provides templates for monitoring work processes and responding to issues. It includes examples of how to: 1) Create a flowchart to illustrate process steps and responsibilities. 2) Identify key tasks and metrics to monitor, such as cycle time and failures, along with targets and tolerances. 3) Describe how monitored data should be recorded, through charts, plots or checklists. 4) Define containment responses, adjustments, and system improvements when defects occur, including who is responsible for corrective actions and testing solutions.

The Plan For Doing The Work Deployment Detail on Key Tasks Flowchart

Monitoring
Checking the Work Key Process and Output Monitoring Method for Recording Measures Standards Data

Diagram which illustrates process steps separated by function. shows transfers between functions, and which function is responsible at each step. Example: Refer to Worksheet "Deployment Flowchart"

For important / key steps in the Process, shows how the task should be done or refers to a document which describes the step. Example: Monitor the Cycle Time of the batch and the number of failures. Check technical and user manual for log file location

Identifies in a word or phrase what is to be monitored Example: 1. Cycle time to complete the batch (Continuous) 2. Number of failures in batch per week (Discrete)

Numeric Target with Tolerances Example: 1. 2 hours with a tolerance of 15 mins 2. 0 failures with a tolerance of 1.

Describes How The Monitored Data Should Be Recorded Example: Run Chart, Scatter Plot, Checklist etc

Response Plan
Containment Response to Special Causes Procedure for Process Adjustment Procedure for System Improvement

1. Identifies who should do what with the output of the defective process. 2. Describes what should be done for those who were ill- served by these defects. 3. Defines what adjustments should be made to assure that there will be no defects in the next iteration. Example: 1. Support team to look at the issue 2. Respond to customer with corrected data within 2 hours after failure 3. Test for success under similar conditions and deploy solution

Describes what must be done to gain sufficient understanding of this process so that the associates know what adjustments and accommodations are routinely necessary to prevent a recurrence of this problem. Example: Ensure all users are logged out of the system before launching the batch job to ensure ontime and defect free completion

Identifies Who In The Organization Needs What Data In What Form In Order To Make A Sound Decision Regarding New Systems Or Remedies At Deeper Levels In The Organization Example: Service Delivery Leader must be provided with past records and root causes
