Preface
The Industrial Training Guidelines Handbook 2009, aims to provide the students of the School of Engineering and Information Technology with a guideline of what they would need to do for their industrial training placements in the industry. The students should understand that it is a compulsory subject stated in both MQA and EAC. This handbook had been revised from the original which was produced in 2004 to fit in with the MQA and EAC requirements. Students should be aware that the present handbook has had several changes made in the course objectives, course outcomes, assessment methods, industrial training procedures and forms. The changes are parallel with the feedback given by students, lecturers, and industry.

The industrial training program involves four main people. They are the industrial supervisor, the visiting lecturers, the academic supervisor and the student. This guidebook gives an explanation of the duties of each person.

1. Introduction
Industrial Training is a required course for all the students in the School of Engineering and Information Technology (SEIT). It is compulsory for students who have completed their 6 semesters of study to undergo their industry training. This industrial training is a full time attachment with the industry or any government body. It is 3-credit hour course for Engineering and Information Technology students. At the completion of their industrial training, students will be awarded an A, B, C, D or E grade. This grade will contribute to the cumulative grade point average (CGPA).

2. Industrial training course objectives


i. ii. To provide opportunities for students to apply their knowledge in a real world environment; To expose students to an industrial working environment.

3. Industrial training course outcomes


By the end of the course, the student will demonstrate: i. ii. iii. Initiative and responsibility in carrying out assigned tasks; An ability to write technical documents/reports related to the work completed; An ability to creatively utilize technical resources both from prior relevant course work as well from sources students must seek out on their own; iv. An ability to articulate their critical thinking.

4. Status and Number of Credit Hour


The course is compulsory for all the full time registered students at the School of Engineering and Information Technology and it carries a total amount of 3-credit hour for Engineering and Information Technology programs.

5. Duration
Engineering Program
The duration of the Industrial Training is 10 weeks. The approval of the student extension request will depend on the start date of the coming semester since they need to be back to the university to complete their remaining one year of study. Students are required to submit their written reports on the first Monday after the official completion of their Industrial Training.

Information Technology Program


The duration of the Industrial Training is 10 weeks. Students are required to submit their written reports on the first Monday after the official completion of their Industrial Training.

6. Industrial Training Procedure


The Industrial training procedures are divided into three stages; before the industrial training, during the industrial training and after the industrial training. These procedures are elaborated in details in the next section.

The Industrial Training subject is mainly handled by 5 important people. They are: 1) 2) 3) 4) 5) SEIT Chief Industrial training coordinator; SEIT Programs Industrial training coordinator; Industrial training administrator; Visiting lecturer; and Industrial supervisor.

Figure 1 shows the Flowchart for Industrial Training procedure for engineering and information technology programs.

A. Before the Industrial Training i. The Industrial Training Coordinator should make sure all students taking Industrial Training course should fulfill the prerequisite stated in the course syllabus. Students must collect and fill in the Student Registration Form (LI - 1) and return the completed form to the Industrial Training Administrator. Students must undergo placement at locations specified by the school. The SElT Industrial Training Committee will manage all applications for placement. All correspondence will be dealt with by the SEIT office. The Industrial Training placement is determined by the Industrial Training Committee with cooperation from students and the school. Students are not allowed to change placements unless approved by the Industrial Training Committee. Students must attend the two Industrial Training briefings, at dates specified by the school. The purpose of these briefings is to:

Explain the procedure to undergo Industrial Training program. Explain to the students the working ethics that they need to observe and the communication techniques (oral and written).

This briefing is conducted by the Industrial Training Committee. Students must also get a copy of the Industrial Training Guideline Handbook 2009 which is downloadable from the SElT Industrial Training LMS Website. (http://lms.ums.edu.my/).

B. During the Industrial Training i. Students must complete the Industrial Training Commencement Form (LI 2 can be found in this Industrial Training Guideline Handbook 2009) when reporting for duty. Following that, the Industrial Supervisor is to complete his section of the LI-2 form to certify that the student has reported for duty. After the form is completed it should be faxed/mailed to S.E.I.T (the contact details are on page 1). Contact the Industrial Training Administrator for any clarification. This should be done within 7 days from the date of the Industrial Training commencement. Students must prepare a Daily Work Log Book in an A4 hardcover log book in the format provided. The Industrial Supervisor must certify this work log, daily. Industrial Training Visit:

The Industrial Training Committee will arrange the dates in which the Visiting Lecturer will conduct a visit to the organization. The visit is usually conducted between weeks 5 7 of the Industrial Training. If industrial visit is not possible, a telephone interview can be arranged between the student, the academic supervisor and the industrial supervisor. The students are to prepare the logbook, schedule and Forms LI-3A D for this visit.

C. After the Industrial Training i. The students must prepare the Industrial Training Technical Report (LI 4A & LI 4B) and submit it to SElT Industrial Training Administrator on the first Monday after the last day of the 10 weeks Industrial Training. This report must be accompanied with the Receipt of Industrial Training Report Form (LI -5) and the Daily Work Log Book. The Industrial Training Evaluation Form by the Industrial Supervisor must be submitted to the school within 7 days after the training is completed. The Industrial Training Evaluation Form by the Academic Supervisor must be submitted to the school within 7 days after receiving the report. Students must make sure that all these documents be submitted. If any of these documents are missing marks can be deducted from the final grade.

7. Duties of the Industrial Supervisor


An Industrial Supervisor is an officer in the organization where the student is attached and person who will be supervising the work of the student during the attachment. He is appointed based on mutual agreement between SElT and the organization. The appointment of an industrial supervisor is based on his experience or his academic qualification. The proposed duties include;

Supervising student's activities. Discussing with the Program Industrial Training Coordinator on matters relevant to the training, projects and students work performance.

Evaluate and access student performance at the end of industrial training.

8. Duties of the Visiting Lecturer

The Visiting Lecturer appointed by the SEIT to visit the student during the industrial training period. The appointment is based on the expertise and the experience of the lecturer related to the industry. The duties of the Visiting Lecturer include: i. ii. iii. To attend briefing given by the industrial coordinator regarding the visit to the industries. To visit the student to study the suitability of the working environment. To discuss with the Industrial Supervisor on the student performance and any other matters related to Industrial Training. To meet with higher management to establish industrial linkages. To fill in the 3A and 3C forms during the visit. To collect the 3B and 3D forms form the industrial supervisor and student respectively. To submit all the forms to Industrial Training Administration within 7 days upon returning to UMS.

9. Duties of the Academic Supervisor


The Academic Supervisor is a lecturer from SElT and is appointed by the school. The appointment is based on the expertise and the experience of the lecturer and it should be related to the industry. The duties of an Academic Supervisor is to evaluate the student's performance based on the Technical report and Daily Work Log Book

10. Duties of the Student


i. Students must make sure that they know which organization to report to before starting their Industrial Training. Students should report for duty to the Industrial Supervisor assigned by the organization and agreed by the school. Students must complete 10 weeks of industrial training and submit the Industrial Training Technical Report (LI 4A & LI 4B), Receipt of Industrial Training Report Form (LI -5) and the Daily Work Log Book to SElT Industrial Training Administrator on the first Monday after the completion of the 10 weeks Industrial Training. Students must understand and adhere to the rules and regulations of the organization they are placed in. Students must always wear appropriate attire during the Industrial Training according to the dress code of the organization. Students must know how to manage their time efficiently and follow the working hours set by the organization. Students must put on their best behavior in line with the university's guidelines at all times while undergoing the Industrial Training. Students must apply for leave if they are not able to come to work. Students must uphold the UMS image.

11. Evaluation System

13. FAQs
1) What steps should students take to find companies? Firstly students need to fill and submit the LI-1 form and 3 company addresses to the Industrial Training Administrator. Secondly the industrial training committee will apply for industrial training places for the students. Thirdly the company will reply to the School. Finally the industrial training committee will inform the student. Refer to flowchart for the flow of industrial training procedure.

2) Will industrial training students receive allowance? Usually the students do not receive industrial training allowance. However some companies choose give allowance to the students.

3) Are industrial training students insured? If yes, who is the point of contact? Yes. The point of contact is the penolong pendaftar HEP. Please call ++6 088 320000 ext: 1317 and ask to be connected to the penolong pendaftar kanan HEP (En. Roslan Gimba).

4) Can industrial training students apply for a short leave/long leave? No.

5) Can industrial training students take leave from industrial training to attend the Palapes/Suksis program? Yes. But the student needs to apply leave from the company and inform the school with the attached letter from the Palapes/Suksis program. The students are advised to replace the two weeks spent on the Palapes/Suksis program. The two weeks can be replaced by working extra hours for the rest of the 8 weeks of their industrial training period. The students are not allowed replace the two weeks with semester time. 10

6) What is the format of the technical report? The format for the technical report can be found in the Industrial Training Guidelines Handbook 2009.

7) When is the industrial training report due? The technical report should be sent in as soon as the student returns to university. Failing to submit on time may result in failure of industrial training program.

8) What should we do during our industrial training? You should immediately contact your industrial supervisor and spend some time with him designing your industrial training activities. Be creative and propose projects that you might be able to continue as FYP titles on your return to SEIT. You are also reminded to dress professionally, be on time, follow instructions and represent the Universiti Malaysia Sabah with your best behaviour.

14. Appendices Appendix A Industrial Training Technical Report Format Guideline

For Information Techs - relevant software development, network management and troubleshooting, system analysis and design etc.

1. Use Times New Roman font size 11 and 1.5 spacing. 2. Page numbers should be positioned at the top on the right hand-side of the page. 3. Use A4 size paper. 4. Number of pages should be between 30-50 including figures and photos. 5. All tables and figures must be labeled.

Appendix B - Instructions on writing Industrial Training Log Book


A log book is one of the written reports required for Industrial Training assessment. By nature, it should be HANDWRITTEN in a LEDGER BOOK. The log book should comprise the following item: i. Student and Industrial Training Information (Typed on A4 paper and pasted into the first page of the ledger book) ii. Industrial training plan - Outline of training and proposals (Handwritten) iii. Daily report Date, time, activity and tasks (Handwritten) iv. Weekly Report (Handwritten) v. Supervisors and student signatures Log Book: Industrial Training Plan Students are required to discuss with industrial supervisor on training schemes during the training period. It may be in a form of training schedule on different departments, skills or mini projects. The training schedule can also be illustrated in the form of Gantt chart if relevant. Log Book: Daily Report Comprise of detail activities on daily basis. Students need to state the date and time of the activities and tasks that are relevant to industrial training only. Log Book: Weekly Report A summary of the week long activities conducted in the industry. Students are required to assess if the initial plan Industrial Training Schedule was in line with their actual training schedule, problems that occurs, challenges, etc.

Industrial Training Plan The training is conducted in two separate phases; the first training includes understanding of the operation of the company especially on areas related to engineering fields. There are several departments arranged in tiers. The trainee will have to spend one week each at the department and will be expected to give a presentation to the supervisors before the trainee is allowed to continue to the next department. This procedure will proceed until the last department or as the supervisor sees fit. At the second stage of the training, the trainee is required to conduct a mini projects to improve efficiency or solve any engineering problems that are currently faced by the company. The industrial supervisor will give updates on this matter later at the end of the first phase of the training. Weekly Summary

I can safely assume that I have progressed according to schedule. So far, the working condition in the company was very informative and challenging. Fortunately, the staff there was quite helpful thus Im able to complete my task with ease.
