Cybersecurity in K-12 Education: What Matters Most? In the latest issue of my Cybersecure K-12 newsletter, I asked: With the rise of AI, how should K-12 schools prioritize cybersecurity? Here’s what our 8 respondents thought: 🔐 62.5% (5 votes): Focus on student data protection first 🛡️ 37.5% (3 votes): Invest in AI-specific security tools and software 📚 0%: Educate staff on AI-driven cyber threats 🔄 0%: Regularly update security protocols for AI integration The results are clear (even though more of y’all need to participate next time to get a wider sample! 😉): Protecting student data remains the top priority as AI becomes more integrated into education. If your institution is considering a new Student Information System (SIS) in the next 3-5 years, start getting ready now. Here are some things I recommend institutions complete, especially if moving to Workday Student: 1)       Document every process in its current state as a workflow visual using Microsoft Visio or a similar tool. This seems like it would be easy, but 9 times out of 10 when people see the visual they start to disagree or question how the existing process even works. Don’t underestimate this effort. Once I spent nearly a year just documenting the existing leave of absence/withdrawal policy and designing a new one. It took a long time to hear from all the groups impacted by this process and figure out how to navigate each office’s requirements to rebuild a better one. 2)       Once you have the existing process done, design a future state. Think about your strategic plan. What’s the ideal experience you want? What stays in the existing process and what needs to go? Identify anything in the process that is there because of an existing system limitation. Create a new workflow visual as well as a written document with more detail. The written piece should focus on desired outcomes. This will be great to use when evaluating SIS products and implementing them. 3)       Start your data clean-up. You’re going to need to clean up your educational institutions. If you don’t have to, please let me know because I want to understand how you’re the one school that kept this data clean over the years. 😄 Look for the students that are outliers (e.g. missing programs of study that are required). International addresses are often another issue. Build systems to review and track these data entry errors going forward. 4)       Document all offices key actions in a calendar year. Even if each office has their own calendar of operations, a system like Workday Student it is highly integrated. Offices can no longer work in the silos they used to. Starting to begin awareness and communication about key actions that impact students will help both now and later. 5)       Begin to build skills in your team to do “business analyst” type work. While that may not be a job at your campus, these kinds of skills are critical to implementing and managing technofunctional systems (e.g. Workday Student, Slate). For example, you’ll need staff that have advanced Excel skills. They’ll need to do VLOOKUP/XLOOKUP fast and know exactly what they need to do. That may not be needed in their current jobs. If you start to do some of this other data clean-up work, this is a great opportunity to practice these Excel skills. But other work can also be to learn how to document and gather requirements. That can go into the workflow documentation you are doing. Happy to talk about these tips and others with any school! Just send me a DM! #workdaystudent
