Effective Use of Visual Aids in Presentations

Visual aids are important for any presentation to make information more memorable and reduce speaking time. There are several types of visual aids like charts and graphs. Effective use of visual aids involves introducing them briefly, highlighting key points, and drawing conclusions from the information. A presenter should discuss changes, scales, and relationships shown in the visual aid using specialized language. An example is given of how to summarize the information in a bar chart over multiple paragraphs, focusing on trends, comparisons, and details in the data.

WHY WE NEED A VISUAL AIDS ?
Visual are important in any professional
presentation. But when you give a presentation
in a special moment, they are even more
important. Visual information is highly
memorable and reduces the amount of talking
you have to do. Good visual speak to you.
SEVERAL TYPES OF VISUAL AIDS
• Column Charts
• Pie Charts
• Line Charts
• Area Charts
• Bubble Charts
• Surface Charts
• Donut Charts
HOW TO USE VISUAL AIDS ?
• Effective presenters introduce and highlight visual information briefly and clearly, Remember to
keep everything simple
• Commenting on Visuals, You often need to draw your audience’s attention to one or more key
points before you discuss them in more detail.
• 1. Highlights ==== which parts of the visual are most significant? (Ex. I’d like us to look at this part
of the graph in more detail.)
2. Comments === why? (Ex. As you can see, on this part...)
3. Interpretations === what conclusions you can draw? (Ex. I’m sure the significance of this is
clear to all of us.)
• You need to talk about change and development or the scale and speed of the change, so you
need a specialized language of this
• Except in complex technical or scientific presentation, you don’t ussualy need to quote precies
figures. It better to include these in handout or report given out before or after you talk
• Cause, effect and purpose  As a presenter, your job is not
just to present facts, but also to explain the reasons behind
their likely causes and effect.
• English has a lot of expressions which are used to link cause,
effect and purpose but these are mostly used in written
reports. The language used in presentations is often much
simpler.

An Example of using Bar Chart in a
presentation
• In presenting the data table above, you can start by writing an opening
paragraph that contains an introduction to the features in the bar
chart. These features are in the domain (horizontal line) and codomain
(vertical line) on the bar chart.
• Example of the paragraph is "According to the bar chart, students from
four European countries (Sweden, Spain, France and Germany) and
one Middle Eastern country (Syria) are taking Graphic Design at the
college. Some students are enrolled in the Computer-Aided Design
(CAD) core option; the others are taking Photography.“
• Second paragraph, you should discuss interesting things contained in
the bar chart, for example the highest and lowest numbers and the
total data. Therefore, the second paragraph can be written as "Overall,
Sweden has the largest number of enrolled students (17) and Syria the
smallest (5). France and Spain both have 12 students; Germany has 11.
It is noticeable that France and Germany have similar profiles
• In the third paragraph, you can discuss each data based on the large group
that is the focus of each bar on the chart. In the example above, the base
groups are CAD core options and Photography core options. The third
paragraph can be written as "Students from all five countries are enrolled in
CAD, but more females are taking this option than lazy (21 and 9
respectively). For each nationality the females taking CAD out of the females,
except in the case of the Syrians with only females. Sweden has the most
students studying CAD (9); Spain is next with 7, while France has 6. Germany
and Syria have 4 CAD students each. “
• The fourth paragraph can be filled with further explanation about the large
group. For example, "As for the photography option, more females than
males are enrolled from every country except Syria. In fact, no female Syrian
students are taking Photographic Design. Only 1 male from each country is
enrolled in Photography, except for 2 males from Spain . " You need to
remember. In a report whose data is based on a bar chart, you don't need to
write a conclusion, yes. You only need to explain the information in the bar
chart in detail
