2.0 COMPANY BACKGROUND
2.1 Background
First IT Station launched their operations on July 12, 2011. They specialize in
sell, service and repair, upgrade computers and printing service. They accept local
orders as well (L.O.). Currently, the business is run by the owner, Saw Zhen Qiang (also
known as Zhenson Saw), and one employee, Ong Wei Siong (also known as Vayne
Ong). The location of the company took place at Jalan Satu, Kompleks Tok Arau, close
to CMart Arau Perlis. The company has been operating for over a decade with a loyal
customer base and a reputation for providing superior service. In addition, they offer
competitive prices and stay up to date on the most recent technological developments
to meet the changing needs of their customers and local students. However, on March
18, 2020, due to MCO, their sales dropped significantly.
2.2 Vision
To provide a service and computer product to the entire community by offering
great quality and maintaining positive customer relationships.
2.3 Mission
To work hard and provide excellent customer service in order to fulfil their needs.
2.4 Objectives
Create a reputable computer company in a big community. When it comes to
service quality and customer satisfaction, First IT Station is unmatched. Additionally,
First IT Station has two objectives: the first is to spread the word about the company to
everyone in the area, and the second is to constantly improve the calibre of services to
satisfy the clients.

3.0 CURRENT SYSTEM DESCRIPTION
The registration system that the company currently uses is usually run manually
and excel files system to record the data that customer walks in and buys any products
that company had will be stored into system only the product name, quantity, and price.
Then, the company will print out the receipt to the customer.
For the ordered item from customer, they usually will write down in a book as
customer name, number phone, deposit, and product name from the customer. They
usually use manually method for the ordered item and do not record it into the system.
They usually write the data in the book and keep the book at the shop so the data will
not be lost.

4.0 PROBLEM STATEMENT
During the first startup of the First IT Station company, the company had problems
regarding their current system where they are still using manually systems and
computer systems such as excel despite having a company that runs their business every
day. The company had problems such as:
1. Unorganized File System
This happened due to file system that only records products name, quantity, and price
only. This will lead to multiple sources and causes some data to be missing or
duplicated. The company will have difficulty accessing the data because the
organizational structure promotes storage of the same data.
2. Missing Data
Since the company still uses manually data into book for the ordered customer, this
will lead to data will be missing and the company will have a miscalculation price
full payment for deposit.
3. Updated data tend to get mixed up with the outdated data
This problem occurs by unnormalized databases where all the data is stored where
including outdated and updated data stored in one table. This will make the company
data have too much redundancy.
4. Formless Data
This will happen due to the staff make error when key in the data into system. The
data will not be valid because of misprint error from the staff.

5.0 SUGGESTION SOLUTION
First IT Station has found a way to upgrade their computer file system to a database
system to accomplish both their future and immediate objectives. They will find the
system of databases to be more effective and compatible with their company's system.
In perspective of the following problems:
Problem: Unorganized file system
Solution: Creating an organized database system could resolve issue
Since the database system has given us some techniques, such applying the 'GROUP
BY' command, we can develop our own database structure or refer to existing data
structures to organize data more effectively.
Problem: Missing Data
Solution: User access control and audit trails
To restrict access to the database system, implement user access control systems. This
lowers the possibility of unintentional or purposeful data loss by ensuring that only
authorized people may alter or remove data. Key in the tangible data in hard copy form
into the database system.
Problem: Updated data tend to get mixed up with the outdated data
Solution: Analyzing the data as an entire entity using a database system
The database system will analyze all the data records to avoid data redundancy.
Therefore, data that is inconsistent or corrupted can be eliminated almost instantly.
Problem: Formless Data
Solution: Data entry verification
Create a verification procedure where a second employee verifies the entered data for
correctness and verifies it. Prior to the data being recorded in the system, this double-
checking method can assist detect mistakes or errors. If there is some corrupted data
applying ‘DELETE FROM” command to delete the data and applying ‘WHERE’
command to specifically choose the data that need to delete.

6.0 OBJECTIVE OF PROPOSED SYSTEM
The "First IT Station System Management Project" will be the name of the new
database system for First IT Station. The Database Management System (DBMS)
system update will automatically move them towards the following new goals that First
IT Station is pursuing:
1. To improving and understand the accessibility and organization of the system
Thanks to the order's accuracy, the system will be better organized. Additionally, the
organization of the new system will make it simpler to retrieve each piece of data.
[Link] avoiding losing data
By using Database Management System (DBMS), The data only can be removed by
authorized person of the DBMS that will keep the data from losing it. All data will be
saved in the DBMS, it will be more secure, with less chance of data loss.
3. To make the system more synchronized
Staff members will have simple access to the data since each table of data is connected
to and reliant upon one another. In addition, the system for administration will be
improved safer.
4. To make the data is free of mistakes.
When a second person is involved to check the job, the information entered by the
employee is more accurate. By using Database Management System (DBMS), The
system has an ability to delete corrupted data and the user can replace it with new
acquired data makes the system run smoother.

7.0 INITIAL ENTITY RELATIONSHIP DIAGRAM
Below is the Entity Relationship Diagram (ERD) for First IT Station:
Based on the diagram, the database used for First IT Station according to the new
DBMS update for their new system consists of 4 entities which are Customer, Order,
Product and Sales. As you can see, all of them are related to one another. To elaborate:
- A customer can make many orders at a time and each order can be made by only
one customer only.
- For each order may have only one product. Each product may have many orders.
- An order can be supplied by one supplier while a supplier can supply many
orders.
