Start by defining the purpose of your event. Ask yourself: --What’s the event’s primary goal? (Networking, celebration, fundraising) --Who is your target audience? --What kind of experience do you want to offer? Clear objectives will guide your decisions on venue, entertainment, and more, ensuring your event stays focused. 2. Create a Detailed Budget A well-planned budget is key to managing your event’s costs. Break it down into categories: --Venue: Costs, insurance, and fees. --Food & Beverage: Catering and drinks. --Entertainment: DJs, speakers, or performers. --Staffing: Event coordinators and waitstaff. --Marketing: Advertising and promotions.     The best schedule I've seen this year...... Lives in Google Docs. Not in a project management suite. Not in a platform that costs thousands a year. In a shared document built by a venue manager in Glasgow who is obsessive about one thing. The information. Every detail in the right place. Every handoff mapped. Every assumption tested before the first guest walks in. Her duty managers pick up the schedule and run. No phone calls asking what happens next. No gaps where someone assumed someone else would cover it. She didn't buy her way to that. She built it. And that's the part most people skip. They look at the tool before they look at the process. I've watched this pattern across hundreds of events. The schedule fails not because the software is wrong but because the thinking behind it is missing. Here's what actually makes a schedule work: #1. It answers "what happens next" before anyone asks. If your team needs to call you to find out, the schedule isn't doing its job. #2. Every handoff has a name on it. Not a department. A person. With a time. And a backup. #3. Assumptions are tested before they become problems. The power supply, the access route, the bump in sequence. If it says "TBC" on event day, it's already failed. #4. It survives first contact with site. A schedule that only works on screen is a wish list. #5. There's one version, and everyone's on it. Three printouts and a group chat is not a schedule. The right processes within the schedule will always matter more than the right technology behind it.     Advances in Mega-Event Geospatial Tools: During my weeks working in the Olympic venues across Paris, it has been crystal clear just how important it is to have a strong GIS foundation. In the days before the public is admitted, it is a huge challenge finding your way across a chaotic worksite with limited to no signage. Even after the venue is fully operational with the public present, wayfinding across these large venues can be challenging. I find it remarkable that venue staff and volunteers at the event cannot access a hand-held, dynamic online mapping tool that shows resources and colleagues. The civilian TAK software ensemble from the U.S. Department of Defense (https://tak.gov/products) can fill that gap with minimal investment. I urge the LA28 and FIFA colleagues to consider the benefits of incorporating civilian TAK into the venue operations paradigm for our future North American mega-events. The no-charge TAK software client placed in the hands of a staff member with an Android or iOS device can provide the following: * Base geospatial layers with relevant dots showing essential features of the venue, such as Vehicle Screening Areas (VSAs), Pedestrian Screening Areas (PSAs), Automated External Defibrillators (AEDs), toilets, and more. * Dynamic moving dots representing mobile resources such as supervisors and vehicles. * Video streams from closed circuit camera operations that track the status of crowd movement. * "Tap on the dot" capabilities deliver information about a resource on the map. The information can be a simple note (e.g., the name of a point of contact responsible for a structure or system on the venue) or a comprehensive PDF. * Visual geospatial overlays that convey information from crowd management systems on the density of crowds in real time. Likewise, these capabilities can be accessed in the venue control rooms with no-charge TAK clients for Windows or the Web. Ensuring all staff on the venue share a Common Operating Picture (COP) will yield benefits in operating efficiency and visitor safety. A bright spot is the high-quality GIS graphic output available at the venues. Thanks to recent advances in venue design software, there is no shortage of richly informative venue maps in Paris. Powerful software from companies such as OnePlan and Iventis could readily emit GIS products for easy packaging into TAK mission data packages. I will share more about the opportunity to leverage the TAK ecosystem at Mega-Events at the upcoming #CIVTAK24 in Washington, D.C., and at Comms Connect in Melbourne, Australia. Whether you're evaluating 15 cities for a leadership summit or negotiating complex event meeting space for a multi-day conference, how you source determines not just what you pay, and what contract terms you secure, but what you're able to create.     In the last couple of months, having traversed through different cities for large - scale event execution, there are a few things that I have picked up as key learnings as here - under. Executing large-scale stadium catering operations for music concerts and sports events (like IPL in Mumbai / Delhi, ISL, or major festivals e.g. Coldplay Concert in Ahmedabad) requires a finely tuned combination of team management, inter-departmental coordination, and rapid execution under high-pressure environments. Here’s a breakdown of the critical team management and coordination skills needed for successfully delivering these high-volume, high-stakes catering events : 1. Pre-Event Planning & Team Structuring - Workforce planning & forecasting based on event type, crowd size, zones, and VIP vs general areas - Develop an SOP playbook for all teams (F&B hygiene, queue management, escalation matrix) and ensure it's adoption to the tee 🔧 Skillset: Strategic planning, manpower mapping, delegation 2. Cross-Functional Coordination - Coordinating inventory & logistics with procurement and kitchen teams - Syncing with event production teams for live counters, power, water, storage, and layout 🔧 Skillset: Stakeholder management, communication, multi-party coordination 3. Real-Time Command & Control - On-ground command center setup (walkie-talkie grid, team leads, real- time reporting) - Handling live challenges in real time : stock-outs, food temperature, crowd surges, team swaps 🔧 Skillset: Agility, decision-making under pressure, crisis management 4. Team Motivation & Discipline - Quick conflict resolution and motivating teams to accept event vision (especially with temp/contract teams) - Managing long work hours, quick turnovers, and morale during multi-day events 🔧 Skillset: Emotional intelligence, leadership, empathy, people management 5. Technology Utilization - Central dashboard for real-time updates on sales, stock, and customer feedback - Digital checklist adoption for cleanliness, restocking, and compliance 🔧 Skillset: Tech adoption, training, analytical mindset 6. Post-Event Analysis & Reporting - Debriefing with team leads: what worked, bottlenecks, improvements - Generating performance dashboards (sales, wastage, satisfaction scores) 🔧 Skillset: Feedback culture, data-driven thinking, team review process Soft Skills that matter the most : - Calmness under pressure – the biggest superpower - Situational leadership – balancing empathy and authority - Proactive thinking – prevent problems before they erupt - Clarity in communication – especially with large temp teams (hired / outsourced) - Inclusiveness & diversity awareness – teams often include varied regional, gender, and age backgrounds Happy to discuss further for any key learnings by anyone else !

It’s everything the attendee never sees, from tight bump-in schedules, contingency planning, supplier alignment, precise run sheets, transport flows, speaker movements, and timing buffers that absorb issues before they surface. When this layer is done properly, the event feels seamless, calm and controlled, even when there are constant adjustments happening behind the scenes. In reality, these events are highly engineered environments where every touchpoint has been considered, tested and stress-checked.
