Position Description – Fleet and Asset Coordinator                         

Salary range: $45,000 - $80,000


PRIMARY RESPONSIBILITIES:

  • Responsible for maintaining, coordinating, and supporting SETRAC fixed and mobile assets.
  • Demonstrated mechanical aptitude with the ability to inspect, troubleshoot, and coordinate maintenance and repairs for mobile response assets, ensuring equipment remains safe, reliable, and deployment ready.
  • Collaborate with partners, and transportation resources to maintain safe and efficient movement and storage of all assets.
  • Work with stakeholders and partners in the placement and forward deployment of mobile regional emergency assets.
  • Collaborate with cross-functional teams to align logistics activities with overall SETRAC goals..
  • Maintain purchase records, maintenance records and overall inventory in accordance and within compliance of SETRAC policy along with following regulatory compliance.
  • Establish equipment disposition, inventory procedures, compliance procedures, records, and files in accordance with federal and state grant management standards.


TRAINING AND EXPERIENCE:

  • Experience in fleet management, emergency response logistics, facilities and equipment management, public safety, military logistics, EMS, fire service, or a related field.
  • Experience managing, maintaining, or coordinating repairs for vehicles, trailers, generators, mobile command units, communications equipment, or other deployable assets.
  • Experience coordinating with vendors, contractors, and service providers for maintenance, repairs, and equipment procurement.
  • Experience managing equipment inspections, preventive maintenance, asset inventories, maintenance records, lifecycle management, and regulatory compliance documentation.
  • Experience operating vehicles and trailers, including towing equipment, is preferred.
  • Experience supporting emergency incidents, planned events, disaster response, or other field operations is highly desirable.
  • Must possess a current valid Class B CDL Texas driver’s license or be able to obtain one within 30 days of hire. A Class A commercial driver’s license is preferred.


Physical Requirements / Working Conditions

  • Ability to work in indoor and outdoor environments, including prolonged exposure to heat, humidity, cold, rain, and other inclement weather conditions.
  • Ability to lift, carry, push, and pull equipment weighing up to 50 pounds and move heavier items using appropriate equipment or assistance.
  • Ability to stand, walk, bend, kneel, climb, and work in confined spaces while inspecting, maintaining, and deploying mobile assets.
  • Ability to operate motor vehicles and tow trailers safely and efficiently.
  • Ability to travel throughout the SETRAC region and respond to emergencies, exercises, and deployments outside normal business hours, including nights, weekends, and holidays.
  • Ability to safely operate hand tools, power tools, and equipment necessary to inspect, maintain, and deploy mobile response assets.


This position requires work in both office and field environments and may involve travel throughout the SETRAC region and the State of Texas. The Fleet and Asset Coordinator must be available to support emergency activations, planned events, training exercises, and disaster response operations, which may require extended work hours, including evenings, weekends, and holidays. The position requires the ability to work for prolonged periods in high-stress environments and under adverse weather conditions, including extreme heat, cold, humidity, rain, and other inclement weather.
