In 2026, we removed Playpass-owned third-party tracking and simplified these Terms to reflect our privacy-first commitment. Playpass does not use or share data with third-party analytics or advertising services by default. Organizers may choose to enable their own analytics on connected custom domains, and they are responsible for any required notice and consent.

Terms of Service

By signing up for Playpass or using the Services, you agree to these Terms of Service. The Services include tools for organizers to run recreational sports, and any new features we add are covered by these Terms. We may update these Terms by posting changes at playpass.com/terms, and your continued use means you accept the updated Terms.

These Terms incorporate the Playpass Privacy Policy, Acceptable Use Policy, and Data Processing Addendum.

1. Account terms

  1. You must be 18 years or older or at least the age of majority in the jurisdiction where you reside or use this Service.
  2. To access the Services, you must register an account with accurate information. Playpass may reject your application for an Account, or cancel an existing Account, at our discretion.
  3. Playpass will use the email address you provide as the primary method for communication, and you are responsible for keeping your account credentials secure.
  4. You are responsible for all activity and Materials on or through your Account. A breach of these Terms may result in termination of your Services.

2. Account activation

  1. The person signing up for the Service is the Account Owner. If you are signing up on behalf of an employer, your employer is the Account Owner and you represent that you have authority to bind them.
  2. Payments are processed through Stripe. You are responsible for activating and maintaining your Stripe account.

3. General conditions

  1. Technical support is provided to paying Account holders and is available via email, chat, or phone depending on your billing plan.
  2. These Terms are governed by the laws of the Commonwealth of Virginia and the United States, and disputes are subject to the exclusive jurisdiction of Virginia courts. The United Nations Convention on Contracts for the International Sale of Goods does not apply.
  3. We may amend these Terms by posting updates at playpass.com/terms. Continued use of the Services means you accept the updated Terms.
  4. You must comply with all applicable laws and may not misuse, reproduce, resell, or exploit the Services. You may not purchase ads or domains that use Playpass trademarks without permission.
  5. Questions about the Terms of Service should be sent to support@playpass.com.
  6. You acknowledge and agree that your use of the Service, including information transmitted to or stored by Playpass, is governed by its Privacy Policy at playpass.com/privacy.

4. Playpass rights

  1. We may modify, suspend, or terminate the Services, or refuse service, at any time.
  2. We may remove Materials and suspend or terminate Accounts if we determine they violate these Terms. We do not pre-screen Materials.
  3. Verbal or written abuse of any kind (including threats of abuse or retribution) of any Playpass customer, Playpass employee, member, or officer will result in immediate Account termination.
  4. In account ownership disputes, we may request documentation and transfer or temporarily disable an Account while the dispute is resolved.

5. Limitation of liability

  1. The Service is provided on an "as is" and "as available" basis without warranties, and we do not guarantee uninterrupted, secure, or error-free operation.
  2. To the fullest extent permitted by law, Playpass is not liable for indirect, incidental, special, consequential, or exemplary damages, including lost profits or data.
  3. You agree to indemnify and hold us and (as applicable) our affiliates, partners, officers, directors, agents, employees, and suppliers harmless from claims arising out of your breach of these Terms, violation of law, or infringement of third-party rights.

6. Waiver and complete agreement

The failure of Playpass to exercise or enforce any right or provision of the Terms of Service shall not constitute a waiver of such right or provision. The Terms of Service and the documents it incorporates by reference constitute the entire agreement between you and Playpass and govern your use of the Service, superseding any prior agreements between you and Playpass (including, but not limited to, any prior versions of the Terms of Service).

7. Intellectual property and organizer content

  1. You retain ownership of the Materials you upload. We do not claim intellectual property rights over your Materials, and you may delete your Account at any time.
  2. By uploading Materials, you grant Playpass a non-exclusive license to host, store, and display them as needed to provide the Services. Public Materials may be viewed by others.
  3. You are responsible for ensuring your Materials comply with applicable laws and regulations.
  4. We treat non-public information you provide as confidential and will only disclose it to provide the Services or as required by law. Confidential information does not include information that is public, independently obtained, or required to be disclosed.
  5. Playpass may use the names, trademarks, service marks, and logos associated with your site to promote the Service.

8. Payment of fees

  1. Pricing, plans, and fees are listed at playpass.com/sports-software/pricing and in your Billing page. Playpass may offer a Free plan for some Services.
  2. You may upgrade or cancel a paid plan ("Subscription") from your Billing page, available at playpass.com/billing, and you will retain access through the end of your current billing interval.
  3. Playpass does not provide refunds.
  4. Online registration and referral fees may apply and are displayed on your Billing page.
  5. You must keep a valid payment method on file. Playpass will charge applicable Fees to your authorized payment method until the Services are terminated and all outstanding Fees are paid in full.
  6. If we cannot process payment, we may suspend your Subscription and revert features to the Free plan. If Fees remain unpaid for 60 days, we may terminate your Account.
  7. Fees are billed in advance on monthly or yearly billing dates and are exclusive of applicable taxes. You are responsible for applicable taxes.

9. Cancellation and termination

  1. You may cancel your Account at any time from your organizer site settings, available at playpass.com/settings, or by emailing support@playpass.com and then following the instructions in Playpass' response.
  2. Upon termination, Playpass will cease providing the Services and your Account and organizer site will be taken offline. No refunds are owed, and any outstanding balances become immediately due.
  3. We may suspend or terminate your Account for fraud or misuse of the Services.

10. Modifications to services and prices

  1. Prices for using the Services are subject to change upon 30 days' notice from Playpass. Such notice may be provided at any time by posting the changes to the Playpass Site (playpass.com) or the administration console of your organizer site via an announcement.
  2. Playpass reserves the right at any time, and from time to time, to modify or discontinue, the Service (or any part thereof) with or without notice.
  3. Playpass shall not be liable to you or to any third party for any modification, price change, suspension or discontinuance of the Service.

11. Third party services

  1. Third Party Services are subject to their own terms, and your use is at your own risk.
  2. Playpass does not use third-party advertising or analytics trackers. Any Third Party Services that we integrate directly into the Services are limited to core functionality, such as payments, communications, and Google Maps for location information.
  3. If you enable a Third Party Service, you grant permission for us to share data as needed for integration, and any exchange is solely between you and the Third Party Provider.
  4. Google Maps is a Third Party Service that is used within the Services. Your use of the Service is subject to your acceptance of the Google Maps and Earth Enterprise Universal Acceptable Use Policy, as it may be amended by Google from time to time.
  5. Playpass is not liable for Third Party Services, and you agree to indemnify us for claims arising from your use of them.

12. DMCA notice and takedowns

Playpass supports the protection of intellectual property and asks Playpass merchants to do the same. It's our policy to respond to all notices of alleged copyright infringement. If someone believes that one of our organizers is infringing their intellectual property rights, they can send a DMCA Notice to support@playpass.com. Upon receiving a DMCA Notice, we may remove or disable access to the Materials claimed to be a copyright infringement.

13. Privacy and data protection

Playpass is firmly committed to protecting the privacy of your personal information and the personal information of your customers. By using the Service, you acknowledge and agree that Playpass' collection, usage, and disclosure of this personal information is governed by our Privacy Policy.

Additionally, if: (a) you are established in the European Economic Area (EEA); (b) you provide goods or services to customers in the EEA; or (c) you are otherwise subject to the requirements of the EU General Data Protection Regulation, Playpass' collection and use of personal information of any European residents is also subject to our Data Processing Addendum.
