Repeating dates

A weekly class, a film that runs all month, a tour that leaves every Saturday: these are one event with many dates, not many events. One page, one set of ticket types, and an attendee list that belongs to the date rather than to the whole run.

Repeating dates are in every paid plan. On the free plugin an event is held on a single date, set under Details.

Open the event and go to the Recurring tab.

Making the dates

Turn on This event repeats, then press Add date. The dialog adds a single day, or, with Repeating dates switched on, works a run of them out for you from a pattern:

Repeats: Daily, Weekly or Monthly
Every: every 1 week, every 2 weeks
On these days: for weekly patterns
First date and Until

As you change the fields the dialog tells you how many dates it is about to add, and how many are already on the list, so you can see that "every Friday until December" is fourteen dates before you commit to them. The dates are added to the list and nothing about the pattern is kept, so you can change any one of them afterwards.

The list of dates

Every row is one date. It shows the date, the start time, the session name if it has one, and badges for its state:

New: added in this visit and not saved yet
Cancelled: called off

A date's own details

Click a row to open it. Every field is empty until you fill it, and an empty field follows the event:

Start time : The Sunday matinee at 15:00 while the rest are at 20:00. The row says when the others start, so you can see that this one differs.

Session name : Lesson 3: Watercolour, Opening night. Shown beside the date on the booking form, in the admin, and in the Session list a message can carry. Left empty, the date carries the event's title.

Location : The week the class meets in the other room. Left empty, the date is at the event's venue.

Seats on this date : For the night you sell the balcony as well. It cannot go below what is already sold on the date.

Changes are saved with the event, with the same Save as everything else on the page.

A different price on one date

Pro and Elite plans. Under the fields of an open date, switch on Charges different prices on this date. Each ticket gets a row with a Price, its Seats and an On sale switch for that day, and shows what it usually costs beside them. A field left empty keeps the usual answer, so change only what differs: the dearer ticket on the night with the guest, or the balcony ticket taken off sale when the balcony is closed. A new date needs saving once before it can have prices of its own.

Booking several dates at once

At the bottom of the tab, Customers may book several dates at once decides what an ordinary ticket can do:

Off: a ticket is for one date. The customer picks a date, then tickets.
On: the customer ticks the dates they want and pays for each. Two tickets for three evenings are charged as six.

It needs at least two dates. To sell a set of dates at one price, the whole course or any four sessions, use a package instead. See Courses and passes.

Cancelling one date

Use Cancel this date from the row's menu. The date is struck through, stops taking bookings, and the Event date is canceled workflows fire: one for the date and one per booking on it, so the people affected are told and nobody else is.

Reopen puts it back on sale. The rest of the series is untouched either way.

Removing a date behaves the same way when people are already booked on it: it is cancelled instead of deleted, and they keep their tickets, marked cancelled.

How the customer sees it

The booking form opens on Choose a date and lists the dates still ahead, one per row with the time and what is left. A date that is sold out or cancelled is shown but cannot be chosen.

A booking knows exactly which dates it covers. Seats are counted date by date, the door list is kept per date, and reminders go out before each date the booking covers.
