Gmail App Password: Connect Your Inbox
A Gmail app password can connect an eligible Google account to AI Email Filter over IMAP. Availability depends on your security settings and, for Workspace, your organization’s policies. This guide does not assume every account allows the method.
For Gmail’s built-in rules, use the Gmail filter guide; those do not require an external mailbox connection.
Check app-password availability
2-Step Verification is required. Work or school policies, security-key-only settings and Advanced Protection can make app passwords unavailable. Google recommends Google sign-in where an application supports it. Check Google’s account guidance or your administrator if the option is missing.
Create the credential
- Open Google account security and enable 2-Step Verification if needed.
- Open App passwords.
- Create a password with a recognizable name and copy its 16-character value.
Keep it private. App passwords can be revoked and are revoked after a Google account password change.
Connect the Gmail mailbox
Sign in at app.email-filter.ai, add an email account and enter its full address. Check the suggested values. A Workspace address with your own domain may require entering Google’s server manually.
| Field | Gmail IMAP value |
|---|---|
| Email address | Full Gmail or Workspace mailbox address |
| Password | App password supported by that account |
| IMAP server | imap.gmail.com |
| IMAP port | 993 with TLS |
Copy the credential without display spaces. Correct server values cannot override an account policy. Google also documents connecting Gmail to another mail client.
Match troubleshooting to the error
| Symptom | Check |
|---|---|
| App-password option missing | Account security settings and Workspace policy |
| Authentication rejected | Mailbox address, credential, possible revocation and allowed access |
| Connection timeout | Server name, port and network access |
| Connected but no moves | Review results, configured actions and whether moves have been applied |
An authentication failure and a network timeout are different problems. Changing the server name repeatedly will not repair a rejected credential. Use a method supported by both the account and application.
Test the first category
Choose a narrow description and a destination you can inspect. Classify a small selection in the review queue without applying actions, inspect correct and incorrect matches, then adjust the description before moving mail.
For mixed-purpose senders, review existing saved assignments and message-level results separately. Saved sender categories can otherwise be reused for eligible matching messages; a changed subject can trigger another classification.
For a client workflow, see sorting by client and project. Stable addresses and subject references may already be handled by native Gmail filters.
Connection questions
Are Gmail labels ordinary IMAP folders?
Gmail allows more than one label on a message. Inspect the destination and inbox behavior on a small test rather than assuming a conventional folder tree. See Google’s label documentation.
Does an app password keep processing inside Google?
It authorizes an external connection. The application reads email data; a sender, subject and body preview can be sent to the configured model. Review the model and hosting requirements before processing sensitive mail.
Do I need to migrate the inbox?
No mailbox migration is required to connect it. Classification and applying actions are separate steps, so review results before moving mail.
Pricing explains the classifications and plans. Other providers have their own connection guides.
